Follow all instructions from event staff, volunteers, security personnel, park staff, and public safety officials at all times. Outdoor event safety guidance emphasizes clear compliance with event directions and emergency procedures. Be aware that this is an outdoor event and conditions may include heat, sun exposure, wind, uneven ground, and large crowds. Dress appropriately, wear sunscreen, and stay hydrated. The Market operates every Sunday from 10:00 AM to 6:00 PM, rain or shine.

All standard Vendor spaces are designed for one 10' × 10' tent. We welcome a curated selection of local businesses, makers, artisans, and food concepts, including:

Hot food and beverage Vendors
Prepared and packaged foods
Baked goods, sweets, and dairy products
Fresh and healthy food options
Art and handmade products
Clothing and accessories
Wellness brands
Pet-focused products
Other original and approved business concepts
Please complete this application in full and provide clear and accurate information about your business and products.

All Vendors must upload a valid Certificate of Insurance. Food and beverage Vendors must also upload all applicable DBPR, FDACS, Cottage Food, Food Handler, and other required documentation.

Submitting an application does not guarantee approval or a reserved space. Our team reviews every submission to maintain an appropriate category balance and overall Market experience.

If approved, you will receive a confirmation email. Final setup, parking, and Market-day instructions will normally be sent on the Friday before your scheduled Sunday Market.

This application constitutes an electronic agreement. By submitting the application, selecting Market dates, providing payment information, or electronically accepting these Terms & Conditions, you confirm that you have read, understood, and agreed to all requirements below.

VENDOR TERMS & CONDITIONS
By applying to or participating in the Margaret Pace Park Farmers Market operated by East Coast Marketplace LLC (“Market”), the applicant (“Vendor”) agrees to the following Terms & Conditions.

1. MARKET DATES & HOURS
The Market operates every Sunday from 10:00 AM to 6:00 PM, rain or shine, unless otherwise communicated in writing by East Coast Marketplace LLC (“Management”).

Vendors must be completely set up and ready to operate before 10:00 AM and must remain fully set up and operational until 6:00 PM.

Vendors may not stop operating, dismantle their booth, pack merchandise, or leave before 6:00 PM without prior authorization from Management.

Breakdown and cleanup may begin only after the Market closes at 6:00 PM and must be completed within the designated load-out period communicated by Management.

2. VENDOR CATEGORIES & APPROVED PRODUCTS
Vendors must accurately select the category that best describes their business and products.

Vendors may sell only the products, brands, food items, or services approved in their application.

Any changes or additions to a Vendor’s products, menu, services, brands, or business concept must be requested in advance and approved by Management.

Management may limit the number of Vendors within a particular category to maintain an appropriate and balanced Market mix.

Acceptance of one Vendor does not guarantee category exclusivity or acceptance for future dates.

3. LICENSES, PERMITS & LEGAL COMPLIANCE
Each Vendor is solely responsible for obtaining and maintaining all licenses, permits, registrations, certifications, inspections, insurance, and governmental approvals applicable to its operation.

Depending on the Vendor’s products and method of operation, this may include:

Florida DBPR licenses or permits
FDACS permits or registrations
Cottage Food compliance
Food Handler certifications
Temporary food-service permits
Florida sales-tax registration
City or County business requirements
Fire-safety requirements
Any other applicable City, County, State, or Federal authorization
All required documents must be valid, current, and uploaded directly through the Vendor application.

Approval by East Coast Marketplace LLC does not constitute governmental approval to operate.

Vendors who arrive without the required licenses, permits, insurance, or documentation will not be permitted to operate and will not receive a refund or credit.

4. CERTIFICATE OF INSURANCE
A valid and current Certificate of Insurance (“COI”) is mandatory for every Vendor.

The COI must meet all requirements displayed in the Vendor application and must remain valid throughout the Vendor’s participation in the Market.

If the Vendor has not already provided an approved COI, it must be uploaded directly to the original Vendor application no later than seven calendar days before the selected Market date.

A Vendor submitting an application less than seven days before a Market must upload the COI when submitting the application.

If a COI is rejected because it is incomplete, expired, incorrect, or does not meet the stated requirements, the Vendor must upload a corrected COI through the application before the deadline.

COIs sent by email, text message, WhatsApp, social media, direct message, or any other method will not be accepted or considered submitted. The only accepted submission method is through the Vendor application.

Approval of a Vendor’s application remains conditional until the COI has been reviewed and approved.

A Vendor without a valid and approved COI on file by the deadline will not be admitted to the Market or permitted to set up. The Vendor will lose the reserved space without refund, credit, or transfer. No exceptions.

Vendors are responsible for monitoring their insurance expiration date and uploading a renewed COI before the current policy expires.

5. SETUP, BREAKDOWN & ATTENDANCE
Vendors must:

Arrive during the assigned load-in period.
Follow all Market load-in, vehicle-access, unloading, parking, and booth-placement instructions.
Complete setup and be ready to operate before 10:00 AM.
Remain fully operational until 6:00 PM.
Wait until the Market closes before beginning breakdown.
Complete breakdown and cleanup within the assigned load-out period.
Leave the assigned space completely clean.
Remove all merchandise, equipment, trash, food waste, grease, and wastewater.
Early breakdown is prohibited without prior authorization from Management.

Late arrivals, early departures, no-shows, failure to follow setup procedures, or failure to comply with load-in and load-out instructions may result in removal or exclusion from future Markets without refund or credit.

6. TENTS, EQUIPMENT & SAFETY
Unless otherwise approved, each Vendor space is designed for one 10' × 10' tent.

Vendors are responsible for providing their own:

Tent or canopy
Tables and chairs
Displays
Tent weights
Lighting, if required
Approved extension cords and electrical equipment
All other equipment necessary to operate safely and professionally
All tents must be securely weighted at all times. Each tent leg must be independently weighted. Stakes may not be used unless specifically authorized.

Management may require a Vendor to modify, reinforce, lower, or remove any tent, display, sign, or equipment that presents a safety concern.

Vendors must keep sidewalks, entrances, exits, fire lanes, walkways, and emergency-access areas clear at all times.

7. FOOD VENDOR HEALTH & SAFETY
Food and beverage Vendors must follow all applicable health, sanitation, storage, preparation, and service requirements.

Where applicable, Vendors must provide:

Handwashing facilities
Sanitizing equipment
Food-temperature control
Protective food coverings
Clean food-preparation surfaces
Wastewater containment
Fire extinguishers
Approved propane and fire-safety equipment
Required licenses, permits, and certifications
Cooking equipment, propane, generators, open flames, and equipment producing heat may only be used where permitted and must comply with all applicable park, fire, and governmental requirements.

Management may stop food preparation or sales whenever a condition presents a health, sanitation, fire, or safety concern.

8. ELECTRICITY & GENERATORS
Electricity is not guaranteed unless specifically approved by Management.

Vendors may not connect to electrical outlets without prior authorization.

Generators must be approved in advance and must be quiet, properly maintained, safely positioned, and operated in compliance with applicable fire and safety regulations.

Extension cords must be outdoor-rated and properly secured to prevent trip hazards.

9. CLEANLINESS & WASTE
Vendors must maintain a clean, organized, safe, and professional booth throughout the Market.

Each Vendor is responsible for all trash, packaging, food waste, grease, wastewater, and debris generated by its operation.

Dumping grease, oil, wastewater, food waste, chemicals, or other liquids onto streets, sidewalks, landscaping, drains, the park, or surrounding property is strictly prohibited.

Vendors may be charged for cleaning, waste removal, repairs, or property damage caused by their operation.

10. DATE RESERVATIONS & AUTOMATIC PAYMENT AUTHORIZATION
When a Vendor selects and reserves one or more Market dates, the Vendor agrees to maintain a valid payment card on file.

Unless the Vendor cancels the upcoming Sunday date in writing no later than Monday at 7:00 PM Eastern Time, the system will automatically charge the applicable Vendor fee to the card on file on Tuesday.

By submitting the application, selecting Market dates, and providing payment information, the Vendor expressly authorizes East Coast Marketplace LLC to charge the card on file every Tuesday for each upcoming Sunday Market date that remains reserved.

The applicable fee will be the Vendor rate displayed for the selected date and category.

A reserved space is not confirmed until:

The Vendor has been approved.
The applicable payment has been successfully processed.
All required documents have been submitted and approved.
A declined or failed payment may result in the immediate cancellation of the reserved space. Management is not required to hold a space while waiting for updated payment information.

11. CANCELLATIONS, NO-SHOWS, REFUNDS & CREDITS
To avoid being charged for an upcoming Sunday Market, the Vendor must cancel the reserved date in writing no later than Monday at 11:59 PM Eastern Time.

Once payment has been processed on Tuesday, all fees are final, non-refundable, non-transferable, and cannot be applied as a credit toward another date.

The following do not qualify for a refund, credit, or transfer:

Cancellations submitted after the Monday deadline
Late arrivals
No-shows
Failure to attend
Early departures
Rain, heat, wind, low attendance, or weather concerns
Insufficient staffing or inventory
Vehicle or equipment problems
Illness or personal scheduling conflicts
Missing or expired licenses, permits, insurance, or COI
Failure to comply with Market rules
Removal or suspension caused by a Vendor violation
If a Vendor cancels after payment has been processed or does not appear for the selected date, no refund or credit will be issued. No exceptions.

12. WEATHER & EVENT CHANGES
The Market operates rain or shine.

Rain, heat, wind, low attendance, weather forecasts, or other ordinary weather conditions do not qualify a Vendor for a refund or credit.

Management reserves the right to modify Market hours, delay opening, suspend operations, evacuate, postpone, or cancel a Market date because of severe weather, unsafe conditions, governmental instructions, or circumstances outside Management’s reasonable control.

If Management cancels an entire Market date before operations begin, Management may determine whether a refund, credit, or rescheduled date will be provided based on the circumstances.

13. PROFESSIONAL CONDUCT
Vendors and their employees, contractors, representatives, and guests must maintain a professional, respectful, and family-friendly environment.

The following conduct is prohibited:

Harassment or discrimination
Threats or fighting
Aggressive sales tactics
Intoxication
Excessively loud music
Disruptive behavior
Excessive profanity directed at others
Refusal to follow instructions from Market staff, park representatives, City personnel, law enforcement, fire officials, or public-safety personnel
Violations may result in immediate removal and exclusion from future Markets without refund or credit.

14. VENDOR SALES & CUSTOMER RESPONSIBILITY
Vendors operate as independent businesses and are solely responsible for:

Their products and services
Product quality and safety
Pricing
Sales
Taxes
Customer disputes
Refunds
Chargebacks
Employees and contractors
Representations made to customers
East Coast Marketplace LLC does not guarantee minimum attendance, sales, revenue, exposure, or profitability.

15. LIABILITY & INDEMNIFICATION
Vendors participate at their own risk and are responsible for their merchandise, equipment, tents, employees, contractors, products, services, and operations.

East Coast Marketplace LLC, the property owner, venue partners, sponsors, and their respective officers, employees, agents, and representatives are not responsible for Vendor losses resulting from theft, weather, property damage, equipment failure, accidents, customer actions, or circumstances outside their reasonable control.

To the fullest extent permitted by law, each Vendor agrees to release, indemnify, and hold harmless East Coast Marketplace LLC and all related parties from claims, damages, losses, liabilities, and reasonable costs arising from the Vendor’s products, services, employees, equipment, booth, negligence, misconduct, or violation of these Terms.

16. MARKETING & MEDIA
Photography and video recording may occur throughout the Market.

By participating, Vendors grant East Coast Marketplace LLC permission to photograph or record their booth, products, signage, logo, employees, representatives, and Market participation.

East Coast Marketplace LLC may use this content for promotional, advertising, social-media, website, press, and other Market-related purposes without additional compensation.

17. BOOTH ASSIGNMENTS & SPACE MANAGEMENT
Booth locations are assigned exclusively by Management and may be changed when necessary for safety, Market operations, traffic flow, accessibility, category balance, special events, or governmental requirements.

A Vendor’s previous booth location does not guarantee the same placement at future Markets.

Vendors may not move, exchange, share, sell, sublease, transfer, or assign their space without prior written approval from Management.

Only approved businesses, products, and representatives may operate from an assigned booth.

18. COMMUNICATIONS
Final setup, load-in, parking, booth-placement, and Market-day instructions will normally be sent on the Friday before the Vendor’s scheduled Sunday Market.

Vendors are responsible for monitoring the email address, telephone number, text messages, and Vendor platform provided during registration.

Failure to read or receive a communication does not excuse failure to comply with Market rules or instructions.

19. ACCEPTANCE, ENFORCEMENT & REMOVAL
Submitting an application does not guarantee approval, category availability, or a reserved space.

Management reserves the right to approve or deny any application and to stop the sale of any unapproved, inappropriate, illegal, or unsafe product.

Failure to follow Market rules may result in:

Immediate cessation of sales or operations
Removal from the current Market
Cancellation of the Vendor’s next scheduled participation
Cancellation of additional reserved dates
Temporary suspension
Permanent termination from the Market
Management is not required to provide multiple warnings before taking action.

Any Market date canceled because of a Vendor’s violation will not qualify for a refund, credit, or transfer.

20. ELECTRONIC ACCEPTANCE
By submitting this application, selecting Market dates, providing payment information, making payment, electronically accepting these Terms, or participating in the Margaret Pace Park Farmers Market, the Vendor confirms that:

The Vendor has read and understands these Terms & Conditions.
The information provided in the application is complete and accurate.
The Vendor agrees to follow all Market rules and instructions.
The Vendor accepts responsibility for obtaining all required licenses, permits, insurance, and approvals.
The Vendor authorizes the automatic charges described above.
The Vendor understands and accepts the cancellation, no-refund, and no-credit policies.
The Vendor understands that participation may be canceled or terminated for failure to comply.
REQUIRED ACKNOWLEDGMENTS
☐ I understand that the Margaret Pace Park Farmers Market operates every Sunday from 10:00 AM to 6:00 PM, rain or shine, and that I may not begin breakdown or leave before closing without authorization.

☐ I expressly authorize East Coast Marketplace LLC to charge the card on file every Tuesday for each reserved Sunday Market date unless I cancel in writing by Monday at 7:00 PM Eastern Time.

☐ I understand that once my card has been charged, there will be no refunds, credits, or transfers, including if I cancel, arrive late, fail to attend, lack required documentation, or am removed for violating Market rules.

☐ I understand that a valid and approved COI must be uploaded directly to my Vendor application at least seven calendar days before my selected date. COIs sent by email, text message, WhatsApp, social media, or any other method will not be accepted.

☐ I understand that food and beverage Vendors must upload all licenses, permits, and food-safety documentation applicable to their operation.

Any changes or additions to a Vendor’s products, menu, services, brands, or business concept must be requested in advance and approved by Management.

Management may limit the number of Vendors within a particular category to maintain an appropriate and balanced Market mix.

Acceptance of one Vendor does not guarantee category exclusivity or acceptance for future dates.

3. LICENSES, PERMITS & LEGAL COMPLIANCE
Each Vendor is solely responsible for obtaining and maintaining all licenses, permits, registrations, certifications, inspections, insurance, and governmental approvals applicable to its operation.

Depending on the Vendor’s products and method of operation, this may include:

Florida DBPR licenses or permits
FDACS permits or registrations
Cottage Food compliance
Food Handler certifications
Temporary food-service permits
Florida sales-tax registration
City or County business requirements
Fire-safety requirements
Any other applicable City, County, State, or Federal authorization
All required documents must be valid, current, and uploaded directly through the Vendor application.

Approval by East Coast Marketplace LLC does not constitute governmental approval to operate.

Vendors who arrive without the required licenses, permits, insurance, or documentation will not be permitted to operate and will not receive a refund or credit.

4. CERTIFICATE OF INSURANCE
A valid and current Certificate of Insurance (“COI”) is mandatory for every Vendor.

The COI must meet all requirements displayed in the Vendor application and must remain valid throughout the Vendor’s participation in the Market.

If the Vendor has not already provided an approved COI, it must be uploaded directly to the original Vendor application no later than seven calendar days before the selected Market date.

A Vendor submitting an application less than seven days before a Market must upload the COI when submitting the application.

If a COI is rejected because it is incomplete, expired, incorrect, or does not meet the stated requirements, the Vendor must upload a corrected COI through the application before the deadline.

COIs sent by email, text message, WhatsApp, social media, direct message, or any other method will not be accepted or considered submitted. The only accepted submission method is through the Vendor application.

Approval of a Vendor’s application remains conditional until the COI has been reviewed and approved.

A Vendor without a valid and approved COI on file by the deadline will not be admitted to the Market or permitted to set up. The Vendor will lose the reserved space without refund, credit, or transfer. No exceptions.

Vendors are responsible for monitoring their insurance expiration date and uploading a renewed COI before the current policy expires.

5. SETUP, BREAKDOWN & ATTENDANCE
Vendors must:

Arrive during the assigned load-in period.
Follow all Market load-in, vehicle-access, unloading, parking, and booth-placement instructions.
Complete setup and be ready to operate before 10:00 AM.
Remain fully operational until 6:00 PM.
Wait until the Market closes before beginning breakdown.
Complete breakdown and cleanup within the assigned load-out period.
Leave the assigned space completely clean.
Remove all merchandise, equipment, trash, food waste, grease, and wastewater.
Early breakdown is prohibited without prior authorization from Management.

Late arrivals, early departures, no-shows, failure to follow setup procedures, or failure to comply with load-in and load-out instructions may result in removal or exclusion from future Markets without refund or credit.

6. TENTS, EQUIPMENT & SAFETY
Unless otherwise approved, each Vendor space is designed for one 10' × 10' tent.

Vendors are responsible for providing their own:

Tent or canopy
Tables and chairs
Displays
Tent weights
Lighting, if required
Approved extension cords and electrical equipment
All other equipment necessary to operate safely and professionally
All tents must be securely weighted at all times. Each tent leg must be independently weighted. Stakes may not be used unless specifically authorized.

Management may require a Vendor to modify, reinforce, lower, or remove any tent, display, sign, or equipment that presents a safety concern.

Vendors must keep sidewalks, entrances, exits, fire lanes, walkways, and emergency-access areas clear at all times.

7. FOOD VENDOR HEALTH & SAFETY
Food and beverage Vendors must follow all applicable health, sanitation, storage, preparation, and service requirements.

Where applicable, Vendors must provide:

Handwashing facilities
Sanitizing equipment
Food-temperature control
Protective food coverings
Clean food-preparation surfaces
Wastewater containment
Fire extinguishers
Approved propane and fire-safety equipment
Required licenses, permits, and certifications
Cooking equipment, propane, generators, open flames, and equipment producing heat may only be used where permitted and must comply with all applicable park, fire, and governmental requirements.

Management may stop food preparation or sales whenever a condition presents a health, sanitation, fire, or safety concern.

8. ELECTRICITY & GENERATORS
Electricity is not guaranteed unless specifically approved by Management.

Vendors may not connect to electrical outlets without prior authorization.

Generators must be approved in advance and must be quiet, properly maintained, safely positioned, and operated in compliance with applicable fire and safety regulations.

Extension cords must be outdoor-rated and properly secured to prevent trip hazards.

9. CLEANLINESS & WASTE
Vendors must maintain a clean, organized, safe, and professional booth throughout the Market.

Each Vendor is responsible for all trash, packaging, food waste, grease, wastewater, and debris generated by its operation.

Dumping grease, oil, wastewater, food waste, chemicals, or other liquids onto streets, sidewalks, landscaping, drains, the park, or surrounding property is strictly prohibited.

Vendors may be charged for cleaning, waste removal, repairs, or property damage caused by their operation.

10. DATE RESERVATIONS & AUTOMATIC PAYMENT AUTHORIZATION
When a Vendor selects and reserves one or more Market dates, the Vendor agrees to maintain a valid payment card on file.

Unless the Vendor cancels the upcoming Sunday date in writing no later than Monday at 7:00 PM Eastern Time, the system will automatically charge the applicable Vendor fee to the card on file on Tuesday.

By submitting the application, selecting Market dates, and providing payment information, the Vendor expressly authorizes East Coast Marketplace LLC to charge the card on file every Tuesday for each upcoming Sunday Market date that remains reserved.

The applicable fee will be the Vendor rate displayed for the selected date and category.

A reserved space is not confirmed until:

The Vendor has been approved.
The applicable payment has been successfully processed.
All required documents have been submitted and approved.
A declined or failed payment may result in the immediate cancellation of the reserved space. Management is not required to hold a space while waiting for updated payment information.

11. CANCELLATIONS, NO-SHOWS, REFUNDS & CREDITS
To avoid being charged for an upcoming Sunday Market, the Vendor must cancel the reserved date in writing no later than Monday at 11:59 PM Eastern Time.

Once payment has been processed on Tuesday, all fees are final, non-refundable, non-transferable, and cannot be applied as a credit toward another date.

The following do not qualify for a refund, credit, or transfer:

Cancellations submitted after the Monday deadline
Late arrivals
No-shows
Failure to attend
Early departures
Rain, heat, wind, low attendance, or weather concerns
Insufficient staffing or inventory
Vehicle or equipment problems
Illness or personal scheduling conflicts
Missing or expired licenses, permits, insurance, or COI
Failure to comply with Market rules
Removal or suspension caused by a Vendor violation
If a Vendor cancels after payment has been processed or does not appear for the selected date, no refund or credit will be issued. No exceptions.

12. WEATHER & EVENT CHANGES
The Market operates rain or shine.

Rain, heat, wind, low attendance, weather forecasts, or other ordinary weather conditions do not qualify a Vendor for a refund or credit.

Management reserves the right to modify Market hours, delay opening, suspend operations, evacuate, postpone, or cancel a Market date because of severe weather, unsafe conditions, governmental instructions, or circumstances outside Management’s reasonable control.

If Management cancels an entire Market date before operations begin, Management may determine whether a refund, credit, or rescheduled date will be provided based on the circumstances.

13. PROFESSIONAL CONDUCT
Vendors and their employees, contractors, representatives, and guests must maintain a professional, respectful, and family-friendly environment.

The following conduct is prohibited:

Harassment or discrimination
Threats or fighting
Aggressive sales tactics
Intoxication
Excessively loud music
Disruptive behavior
Excessive profanity directed at others
Refusal to follow instructions from Market staff, park representatives, City personnel, law enforcement, fire officials, or public-safety personnel
Violations may result in immediate removal and exclusion from future Markets without refund or credit.

14. VENDOR SALES & CUSTOMER RESPONSIBILITY
Vendors operate as independent businesses and are solely responsible for:

Their products and services
Product quality and safety
Pricing
Sales
Taxes
Customer disputes
Refunds
Chargebacks
Employees and contractors
Representations made to customers
East Coast Marketplace LLC does not guarantee minimum attendance, sales, revenue, exposure, or profitability.

15. LIABILITY & INDEMNIFICATION
Vendors participate at their own risk and are responsible for their merchandise, equipment, tents, employees, contractors, products, services, and operations.

East Coast Marketplace LLC, the property owner, venue partners, sponsors, and their respective officers, employees, agents, and representatives are not responsible for Vendor losses resulting from theft, weather, property damage, equipment failure, accidents, customer actions, or circumstances outside their reasonable control.

To the fullest extent permitted by law, each Vendor agrees to release, indemnify, and hold harmless East Coast Marketplace LLC and all related parties from claims, damages, losses, liabilities, and reasonable costs arising from the Vendor’s products, services, employees, equipment, booth, negligence, misconduct, or violation of these Terms.

16. MARKETING & MEDIA
Photography and video recording may occur throughout the Market.

By participating, Vendors grant East Coast Marketplace LLC permission to photograph or record their booth, products, signage, logo, employees, representatives, and Market participation.

East Coast Marketplace LLC may use this content for promotional, advertising, social-media, website, press, and other Market-related purposes without additional compensation.

17. BOOTH ASSIGNMENTS & SPACE MANAGEMENT
Booth locations are assigned exclusively by Management and may be changed when necessary for safety, Market operations, traffic flow, accessibility, category balance, special events, or governmental requirements.

A Vendor’s previous booth location does not guarantee the same placement at future Markets.

Vendors may not move, exchange, share, sell, sublease, transfer, or assign their space without prior written approval from Management.

Only approved businesses, products, and representatives may operate from an assigned booth.

18. COMMUNICATIONS
Final setup, load-in, parking, booth-placement, and Market-day instructions will normally be sent on the Friday before the Vendor’s scheduled Sunday Market.

Vendors are responsible for monitoring the email address, telephone number, text messages, and Vendor platform provided during registration.

Failure to read or receive a communication does not excuse failure to comply with Market rules or instructions.

19. ACCEPTANCE, ENFORCEMENT & REMOVAL
Submitting an application does not guarantee approval, category availability, or a reserved space.

Management reserves the right to approve or deny any application and to stop the sale of any unapproved, inappropriate, illegal, or unsafe product.

Failure to follow Market rules may result in:

Immediate cessation of sales or operations
Removal from the current Market
Cancellation of the Vendor’s next scheduled participation
Cancellation of additional reserved dates
Temporary suspension
Permanent termination from the Market
Management is not required to provide multiple warnings before taking action.

Any Market date canceled because of a Vendor’s violation will not qualify for a refund, credit, or transfer.

20. ELECTRONIC ACCEPTANCE
By submitting this application, selecting Market dates, providing payment information, making payment, electronically accepting these Terms, or participating in the Margaret Pace Park Farmers Market, the Vendor confirms that:

The Vendor has read and understands these Terms & Conditions.
The information provided in the application is complete and accurate.
The Vendor agrees to follow all Market rules and instructions.
The Vendor accepts responsibility for obtaining all required licenses, permits, insurance, and approvals.
The Vendor authorizes the automatic charges described above.
The Vendor understands and accepts the cancellation, no-refund, and no-credit policies.
The Vendor understands that participation may be canceled or terminated for failure to comply.
REQUIRED ACKNOWLEDGMENTS
☐ I understand that the Margaret Pace Park Farmers Market operates every Sunday from 10:00 AM to 6:00 PM, rain or shine, and that I may not begin breakdown or leave before closing without authorization.

☐ I expressly authorize East Coast Marketplace LLC to charge the card on file every Tuesday for each reserved Sunday Market date unless I cancel in writing by Monday at 7:00 PM Eastern Time.

☐ I understand that once my card has been charged, there will be no refunds, credits, or transfers, including if I cancel, arrive late, fail to attend, lack required documentation, or am removed for violating Market rules.

☐ I understand that a valid and approved COI must be uploaded directly to my Vendor application at least seven calendar days before my selected date. COIs sent by email, text message, WhatsApp, social media, or any other method will not be accepted.

☐ I understand that food and beverage Vendors must upload all licenses, permits, and food-safety documentation applicable to their operation.

Event Terms & Conditions – Vendors
By applying to and participating in East Coast Marketplace – Margaret Farmers Market (“Event”), you agree to the following terms and conditions:

1. Event Dates & Hours
The market operates on Sundays from 10:00 AM to 6:00 PM, rain or shine, unless otherwise communicated in writing by the organizer. Vendors must be fully set up and ready to operate by opening time and remain set up until closing, unless specifically authorized by the organizer.

2. Vendor Categories & Products
Vendors must accurately select the category that best describes their products (hot food, prepared foods, beverages, art/handmade, clothing/accessories, wellness, pet products, etc.) and may only sell items approved in their application. Any changes or additions to product lines must be requested in advance and approved by the organizer.

3. Licenses, Permits & Compliance (Food Vendors)
All food and beverage vendors are responsible for holding and maintaining all required licenses, permits, and inspections, including:

A valid Florida DBPR food permit, and
Any required Food Handler certifications for staff handling food,
plus any applicable city/county requirements. Vendors must upload the required documentation through this application when requested. Vendors agree to comply with all federal, state, and local health, safety, and business regulations at all times.
4. Insurance – Certificate of Insurance (COI)
All vendors are required to carry general liability insurance and to provide a Certificate of Insurance (COI) naming the organizer and/or venue as additional insured if requested. Vendors participate at their own risk and are responsible for submitting accurate and current insurance documentation.

5. Setup, Breakdown & Attendance
Vendors must arrive on time for setup, follow all load-in instructions, and complete setup within the time window provided by the organizer. No early breakdown is allowed without prior approval. Breakdown and clean-up must be completed within the time window designated after 6:00 PM. Vendors are responsible for keeping their area clean during the event, removing all trash, and returning the space to its original condition.

6. Tents, Equipment & Safety
Vendors are responsible for providing their own 10x10 tent, tables, displays, and any required equipment, unless otherwise stated. All tents must be properly weighted and secured for wind safety at all times. Any electrical needs must be requested in advance and approved by the organizer. Vendors agree to operate safely, keep walkways clear, and immediately report any hazards or incidents to the organizer.

7. Health & Safety Guidelines
Vendors must follow all applicable health and safety regulations, including state and local rules for food handling, storage, and service. Food vendors must keep all food at safe temperatures, use proper coverings, wear gloves when appropriate, and maintain clean work surfaces and equipment. All vendors must keep their booth area free of hazards (loose cords, unstable displays, blocked walkways) and promptly address any spills or safety issues. Any equipment producing heat or flame must be supervised and operated in compliance with fire and park regulations. Vendors must comply with on-site instructions from the organizer, park staff, or public safety officials regarding weather, crowd control, and emergency procedures.

8. Fees, Payments & Refunds
Booth fees must be paid in full after approval, by the deadlines communicated in this application or by invoice. Unless expressly stated otherwise, all fees are non‑refundable, including in the case of no‑shows, late arrivals, or vendor cancellations. Credit transfers to future events are at the sole discretion of the organizer. The organizer may offer different booth rates for returning/existing vendors versus new vendors; eligibility for any discounted rate is determined solely by the organizer.

9. Weather & Event Changes
This is primarily a rain‑or‑shine event. The organizer reserves the right to modify event hours, postpone, or cancel a date in the case of severe weather, unsafe conditions, or circumstances beyond its control. In such cases, the organizer will communicate updates as soon as reasonably possible. Any credits or adjustments due to weather or cancellation are at the sole discretion of the organizer.

10. Conduct & Branding
Vendors agree to maintain a professional, respectful, and family‑friendly environment. Harassment, discrimination, aggressive sales tactics, excessively loud music, or any behavior deemed inappropriate by the organizer may result in immediate removal from the event and/or exclusion from future events. Vendors agree to use the event’s name and branding only as permitted and not to misrepresent their relationship with East Coast Marketplace.

11. Liability & Indemnification
Vendors participate in the event at their own risk. The organizer, property owners, venue partners, sponsors, and their agents are not responsible for loss, theft, damage, or injury to persons or property. Vendors agree to release, indemnify, and hold harmless the organizer and related parties from any claims arising out of or related to their participation, to the fullest extent permitted by law.

12. Marketing & Media
By participating in the event, vendors grant the organizer permission to use photos, video, and recordings of their booths, products, logos, and participation for promotional and marketing purposes, without additional compensation.

13. Assignment & Space Management
Booth locations are assigned at the discretion of the organizer and may be adjusted as needed for event operations, flow, and safety. Vendors may not sublease, share, or transfer their space without prior written approval from the organizer.

14. Acceptance & Enforcement
Submission of an application does not guarantee acceptance. The organizer reserves the right to approve or deny any application and to remove vendors who fail to comply with these terms and conditions. Failure to follow guidelines may result in immediate removal from the event and/or exclusion from future events.

By submitting this application and/or paying event fees, you acknowledge that you have read, understand, and agree to these Terms & Conditions for Margaret Farmers Market.

Setup, Breakdown & Attendance Vendors must arrive on time for setup, follow all load-in instructions, and complete setup within the time window provided by the organizer. No early breakdown is allowed without prior approval. Breakdown and clean-up must be completed within the time window designated after 6:00 PM. Vendors are responsible for keeping their area clean during the event, removing all trash, and returning the space to its original condition. Failure to remove all trash off-site will result in a $100.00 cleaning fee charged to the card on file. 6. Tents, Equipment & Safety Vendors are responsible for providing their own 10x10 tent, tables, displays, and any required equipment, unless otherwise stated. All tents must be properly weighted and secured for wind safety at all times with a minimum of 20 lbs of weight per tent leg. Any electrical needs must be requested in advance and approved by the organizer. Vendors agree to operate safely, keep walkways clear, and immediately report any hazards or incidents to the organizer. 7. Health & Safety Guidelines Vendors must follow all applicable health and safety regulations, including state and local rules for food handling, storage, and service. Food vendors must keep all food at safe temperatures, use proper coverings, wear gloves when appropriate, and maintain clean work surfaces and equipment. Vendors must maintain a valid credit card on file within the application. Weekly Auto-Billing: For each reserved Sunday market, the Eventeny system will automatically process and charge the booth fee using the card on file every Tuesday prior to the event. Cancellations & Refunds: To cancel without being charged, vendors must officially cancel their reservation within Eventeny before Tuesday. Once the card on file is charged on Tuesday, all fees are strictly non-refundable and non-transferable. No refunds or credits will be granted for any reason, including vendor cancellations after payment, no-shows, or late arrivals. Force Majeure: Only if an event is entirely canceled by the organizer due to adverse weather or circumstances beyond our reasonable control, a credit will be issued for a future date. 9.
