1. Application & Approval
Submission of an application does not guarantee acceptance.
All vendors are subject to approval by HIP’S LEAGUE LLC.
Vendor may only sell items approved in their application. Unauthorized merchandise is strictly prohibited.
Booth space is confirmed only upon full payment.
2. Booth Requirements
Each booth space is 10’ x 10’.
Vendor agrees:
Vendor must provide their own tent, tables, chairs, lighting, and extension cords.
Electricity is NOT provided for standard lawn booth spaces.
Limited electrical access may be available for approved food trucks only, as designated by the Organizer.
Vendors requiring power must disclose this in their application. Unauthorized use of venue power sources is strictly prohibited.
Tent weights are MANDATORY.
NO staking, drilling, digging, or ground penetration is permitted on school property.
Vendor is fully responsible for any damage to grass, irrigation systems, pavement, or venue property.
Vendor must provide their own tent, tables, chairs, lighting, and extension cords.
Electricity is NOT provided for standard lawn booth spaces.
Limited electrical access may be available for approved food trucks only, as designated by the Organizer.
Vendors requiring power must disclose this in their application. Unauthorized use of venue power sources is strictly prohibited.
Vendor must maintain a clean booth area at all times.
All trash and materials must be removed at load-out.
Vendor acknowledges that the outdoor vendor area is located on a natural grass lawn with slight slope and uneven terrain.
Vendor is responsible for ensuring their setup is stable and safe under these conditions.
HIP’S LEAGUE LLC and the venue are not responsible for instability, equipment shifting, or damage resulting from ground conditions.
3. Legal Compliance
Vendor is solely responsible for:
Collection and reporting of sales tax.
Maintaining a valid California Seller’s Permit onsite.
Compliance with all applicable federal, state, and local laws.
Food vendors must comply with all LA County Health regulations and possess required permits.
HIP’S LEAGUE LLC and the venue assume no responsibility for vendor legal compliance.
4. Insurance (If Requested)
Vendor agrees to provide, upon request:
Certificate of Liability Insurance
Minimum $1,000,000 General Liability Coverage
Naming HIP’S LEAGUE LLC and the venue Redondo Beach Union High School Auditorium as Additional Insured
5. Weather & Force Majeure
This is an outdoor event and will proceed rain or shine unless canceled by Organizer.
Vendor assumes all weather-related risks.
No refunds will be issued due to weather conditions.
Organizer reserves the right to delay, suspend, relocate, or cancel the event due to safety concerns or circumstances beyond its control.
6. Prohibited Items
The following are strictly prohibited:
Weapons
Illegal substances
Alcohol (unless pre-approved in writing)
Explicit or inappropriate materials
Unauthorized use of HIP’S LEAGUE or Heiva i Los Angeles branding
Violation may result in immediate booth closure without refund.
7. Conduct
Vendor agrees to:
Maintain professional conduct
Respect Polynesian culture and event values
Avoid aggressive sales tactics
Keep pathways clear
Follow directions from event staff
Organizer reserves the right to remove vendor without refund for misconduct or non-compliance.
8. Liability & Indemnification
Vendor understands and agrees:
HIP’S LEAGUE LLC, its officers, directors, staff, volunteers, sponsors, and venue are not liable for theft, damage, injury, weather, or loss of any kind.
Vendor assumes full responsibility for their property, employees, contractors, and customers.
Vendor agrees to indemnify, defend, and hold harmless HIP’S LEAGUE LLC and the venue from any claims, damages, losses, or legal actions arising from vendor participation.
9. Payment & Cancellation Policy
All booth fees are non-refundable in the event of vendor cancellation or no-show.
No refunds will be issued due to weather conditions, low attendance, reduced sales, or other circumstances beyond the Organizer’s control.
In the event that the Organizer cancels the event due to severe weather, government order, venue closure, or other force majeure circumstances, booth fees will be issued as a credit toward a future HIP’S LEAGUE event. No cash refunds will be provided in such cases.
If the Organizer cancels the event for reasons not related to force majeure, booth fees will be refunded in full.
The Organizer reserves the right to modify event layout, programming, or schedule without refund.
