Parking instructions
To ensure a smooth and safe experience for everyone at the event, all vendors must follow the parking and loading guidelines outlined below: Vendor Parking Designated vendor parking will be available on-site. Upon arrival, please follow signage or staff directions to the vendor check-in area to receive your parking instructions. Only one vehicle per vendor will be allowed in the designated vendor parking area unless otherwise approved. Set-Up & Unloading Vendors may pull up directly to their assigned vendor spot for unloading during the designated set-up window. Set-up hours: [12:30-1:30pm] IMPORTANT: If you arrive after the event start time, you will NOT be permitted to drive into the event space to unload. You will need to carry in your materials from the vendor parking lot. Tear-Down & Loading The event ends at 6:00 PM. You may begin packing up at that time, but vehicles will not be allowed to drive into the vendor area for loading until after 6:00 PM, once it is safe to do so. Please do not attempt to drive in early, as this poses a safety hazard to attendees. Thank you for your cooperation in making this a safe and organized event for all! If you have any questions or special loading needs, please contact us in advance.

Health & safety
The safety of our attendees, vendors, staff, and participants is our top priority. Please review and adhere to the following Health & Safety Guidelines to ensure a safe and successful event for everyone. General Safety Follow all posted signs and staff instructions. Security and event staff will be present throughout the event for your assistance and safety. Emergency exits and access points must remain clear at all times. Do not block fire lanes, gates, or emergency vehicle routes. First aid assistance will be available on-site. If you or someone else requires medical attention, alert the nearest staff member immediately. Vendor Safety Requirements Vendors must ensure that all tents, tables, and displays are securely anchored and safe for outdoor use. No open flames, fuel containers, or hazardous materials are allowed unless pre-approved by the event organizers. Electrical equipment must be in good working condition. Extension cords and power strips must be rated for outdoor use and secured to prevent tripping hazards. Keep all walkways and aisles clear of obstructions. Fire extinguishers must be on-hand if you are using any type of cooking equipment or heat source (if permitted). Food Vendor Safety (if applicable) All food vendors must comply with local health department regulations and possess current permits and licenses. Food must be stored, handled, and served following food safety guidelines, including temperature control and hygiene standards. Handwashing or sanitizing stations must be available at your booth. Weather Preparedness This event will take place outdoors Vendors and attendees should come prepared for varying weather conditions. In the event of extreme weather, please listen for announcements or instructions from event staff regarding shelter or evacuation procedures. Crowd & Traffic Management Stay within your designated vendor area. Do not encroach into pedestrian walkways or other vendor spaces. Vehicles are not permitted to drive into the event area after the show begins or before it ends unless authorized by staff. Maintain awareness of your surroundings, and report any unsafe conditions or suspicious activity to staff or security immediately. Cleanliness & Sanitation Keep your vendor area clean and free of trash. Vendors are responsible for disposing of their waste in designated areas. Hand sanitizer stations will be available throughout the venue for public use. Restrooms and sanitation facilities will be maintained regularly by event staff.

Terms & Conditions
By submitting this vendor application and/or participating as a vendor at the above event, you (the "Vendor") agree to the following terms and conditions: 1. Application Approval Submission of a vendor application does not guarantee approval or placement at the event. The Event Organizer reserves the right to approve or deny any application at its sole discretion. Approved vendors will receive a confirmation email with event details upon acceptance. 2. Vendor Fees Vendor fees must be paid in full by [September 15, 2025]. All fees are non-refundable. 3. Set-Up & Tear-Down Vendor set-up begins at 12:30pm on October 12th. All vendors must be fully set up by 2pm. Tear-down cannot begin before the event ends at 6pm, unless approved by the Organizer. Vendors are responsible for their own setup, tables, tents, and signage unless otherwise specified. 4. Space Assignment Vendor space will be assigned by the Organizer. Specific location requests may be considered but are not guaranteed. Vendors must remain within their assigned space and must not obstruct walkways, exits, or neighboring vendors. 5. Permits, Licenses & Insurance Vendors are responsible for obtaining any necessary licenses, permits, or insurance required by law. The Organizer may request proof of such documentation prior to the event. 6. Sales & Taxes Vendors are responsible for all sales transactions and complying with local tax laws. The Organizer is not liable for any vendor’s sales or reporting responsibilities. 7. Conduct & Compliance All vendors must conduct themselves professionally and respectfully at all times. No loud or disruptive behavior, inappropriate content, or illegal items are permitted. The Organizer reserves the right to remove any vendor who violates these rules, without refund. 8. Liability The Organizer, venue, and sponsors are not responsible for any loss, theft, damage, or injury incurred before, during, or after the event. Vendors participate at their own risk and shall hold harmless the Organizer and affiliates from any claims or damages. 9. Weather Policy This is a outdoor event. The event will have a rain date of Oct 19th. The fee will be transferrable to that event date. If you are unable to attend the rain date you forfeit the vendor fee. In case of cancellation the Organizer will notify vendors as soon as possible. 10. No Shows Vendors who fail to show up on event day forfeit their vendor fee. No refunds or credits will be issued for no-shows. 11. Marketing Consent By participating in this event, vendors consent to the use of their business name, logo, and images of their booth/products in promotional materials, photos, and social media by the Organizer. By submitting this form and fee, I acknowledge that I have read, understood, and agree to the above Terms and Conditions.
