LOAD-INA designated Vendor Load-In Zone will be available near the Market.When you arrive:Proceed directly to the designated Load-In Zone.Follow the instructions of East Coast Marketplace staff.Unload your equipment and merchandise quickly.Do not begin fully setting up your booth while your vehicle is in the Load-In Zone.As soon as your vehicle is unloaded, move it immediately to the designated Vendor Parking Area.Return on foot to complete your booth setup.⚠️ The Load-In Zone is for unloading only. It is NOT vendor parking.Please help us keep traffic moving by having your merchandise and equipment organized before arriving.?️ VENDOR PARKINGAfter unloading, all Vendor vehicles must be moved to the designated Vendor Parking Area located approximately one block from the Market.Market:1937 Wilton DrWilton Manors, FL 33305The exact parking location and entrance instructions will be provided to confirmed Vendors before Market Day.Vehicles may NOT remain in the Load-In Zone during Market hours.Please do not park in spaces reserved for customers, neighboring businesses, residents, emergency access, or areas specifically restricted by Market Management.⏰ BE READY BEFORE OPENINGThe Market opens to the public at 10:00 AM.All Vendors must be:✓ Completely unloaded✓ Vehicle removed from the Load-In Zone✓ Parked in the designated Vendor Parking Area✓ Tent secured with proper weights✓ Merchandise displayed✓ Fully ready to serve customers before 10:00 AMLate arrivals may be denied vehicle access to the Market area and may be required to transport their equipment from the Vendor Parking Area.? NO EARLY LOAD-OUTVendors are required to remain open until the official Market closing time of 4:00 PM.DO NOT begin breaking down your booth before 4:00 PM.Vehicles will not be permitted into the designated Load-Out Zone while customers are still actively using the Market area unless specifically authorized by Market Management.? LOAD-OUT PROCEDUREAt 4:00 PM, Vendors should:Begin breaking down their booth.Pack merchandise, tables, displays, tent, and equipment.Keep all packed equipment inside your assigned booth area.Clean your space completely and remove all trash.Once your booth is packed and ready to load, follow staff instructions regarding vehicle access.Retrieve your vehicle from the Vendor Parking Area.Proceed to the designated Load-Out Zone only when permitted.Load your vehicle as quickly as possible.Exit the Load-Out Zone immediately after loading.⚠️ DO NOT bring your vehicle to the Load-Out Zone while you are still breaking down your booth.This creates unnecessary traffic and prevents other Vendors from loading efficiently.? The safety of our Vendors, customers, staff, and community is a top priority. All Vendors participating in the Wilton Manors Farmers Market are expected to maintain a clean, safe, and professional environment and comply with all applicable health, fire, food-safety, and governmental requirements.These guidelines apply to all Vendors, employees, assistants, contractors, and representatives working within a Vendor's booth.1. GENERAL BOOTH SAFETYVendors are responsible for keeping their booth and surrounding area safe throughout the entire Market.All Vendors must:Keep merchandise, boxes, coolers, cords, equipment, and supplies completely within the assigned booth space.Keep sidewalks, walkways, entrances, exits, crosswalks, and emergency access areas clear.Immediately address spills, broken merchandise, loose cords, or other hazards.Maintain sufficient space for customers to enter and exit the booth safely.Never create trip hazards in public walkways.Follow all safety instructions provided by East Coast Marketplace staff, property management, fire officials, law enforcement, or governmental authorities.Management may require the immediate correction or removal of any equipment, display, product, or activity considered unsafe.2. TENTS & CANOPIESAll tents and canopies must be properly secured.Tent weights are mandatory on every tent leg.Vendors must:Use professional tent weights appropriate for outdoor conditions.Secure each leg independently.Keep weights positioned so they do not create a trip hazard.Never leave an unsecured tent unattended.Immediately lower or dismantle a tent when instructed by Management because of wind or severe weather.Stakes may not be driven into pavement, landscaping, sidewalks, or other property unless specifically authorized.Management reserves the right to prohibit or remove any tent considered unsafe.3. WEATHER & EXTREME CONDITIONSThe Market operates outdoors, and Vendors should arrive prepared for changing South Florida weather.Vendors are responsible for protecting themselves, their staff, merchandise, and equipment from:RainWindHeatDirect sunlightSudden weather changesManagement may delay opening, temporarily suspend operations, require tents to be lowered, evacuate an area, close the Market early, or cancel the Market when conditions create a safety concern.If Management issues an emergency weather instruction, Vendors must comply immediately.4. FOOD SAFETYAll food and beverage Vendors are responsible for complying with the requirements applicable to their specific operation and products.Where applicable, food Vendors must:Maintain required food-service licenses and permits.Maintain proper hot and cold holding temperatures.Protect food from contamination.Store food above the ground.Keep raw and ready-to-eat foods properly e appropriate utensils and food-handling procedures.Maintain clean preparation and serving surfaces.Protect food from customers, insects, dust, weather, and environmental contamination.Properly store and dispose of food waste.Follow applicable requirements from Florida DBPR, FDACS, local authorities, and other agencies with jurisdiction over their operation.East Coast Marketplace approval to participate does not replace any governmental license, inspection, or permit requirement.5. HANDWASHING & SANITATIONFood Vendors must maintain appropriate handwashing and sanitation facilities whenever required for their operation.Depending on the Vendor's operation, this may include:Dedicated handwashing stationPotable waterSoapDisposable paper towelsWastewater collection containerSanitizing solutionAppropriate warewashing facilitiesHandwashing water and wastewater may not be discharged onto sidewalks, streets, landscaping, storm drains, or Market property.6. PERSONAL HYGIENEAnyone handling food must maintain appropriate personal hygiene.Food handlers should:Wash hands frequently and whenever contamination may have occurred.Wear clean clothing.Keep hair appropriately restrained when necessary.Avoid unnecessary bare-hand contact with ready-to-eat e gloves appropriately when required.Replace contaminated gloves immediately.Anyone experiencing symptoms that could create a food-safety risk should not handle or serve food.7. TEMPERATURE CONTROLPotentially hazardous or time/temperature-controlled foods must be maintained at safe temperatures in accordance with applicable regulations.Vendors are responsible for having sufficient:RefrigerationCoolersIceHot-holding equipmentThermometersBackup temperature-control proceduresFood that has been held outside required safe conditions may not be sold.8. COOKING EQUIPMENT & OPEN FLAMESAny Vendor using cooking equipment, propane, grills, fryers, burners, open flames, or other heat-producing equipment must receive any required approvals and comply with applicable fire oking Vendors must:Keep cooking equipment stable and away from customer access.Maintain appropriate separation from combustible materials.Protect customers from hot surfaces, flames, grease, and cooking equipment.Keep propane cylinders properly secured and positioned.Regularly inspect hoses and connections.Never leave active cooking equipment unattended.Have the appropriate fire extinguisher readily accessible.Management or fire officials may prohibit equipment that does not meet safety requirements.9. FIRE EXTINGUISHERSFood Vendors using cooking equipment must have the appropriate fire extinguisher required for their operation.The extinguisher must:Be operational.Be properly rated for the type of cooking/equipment being used.Be readily accessible.Not be buried behind merchandise or equipment.Have any inspection or certification required by applicable regulations.Fryers or operations involving cooking oils may require specialized fire-suppression equipment.10. PROPANE & FUELPropane cylinders and other approved fuels must be stored and used safely and in accordance with applicable fire regulations.Vendors must never:Store damaged cylinders.Leave propane unsecured.Position fuel where customers can interfere with it.Smoke or create unauthorized ignition sources near fuel.Refill fuel containers within the public Market area.Any suspected gas leak requires the immediate shutdown of equipment and notification to Market Management.11. ELECTRICAL SAFETYElectrical equipment must be suitable for its intended use and maintained in safe condition.Vendors must:Use outdoor-rated extension cords when appropriate.Keep connections protected from water.Secure cords to prevent trip hazards.Avoid overloaded outlets, power strips, and extension cords.Never use damaged or exposed wiring.Obtain Management approval before connecting to Market/property electrical sources.Unauthorized electrical connections are prohibited.12. GENERATORSGenerators may only be used when permitted by Management.Approved generators must:Be in good operating condition.Be positioned where exhaust will not affect customers or Vendors.Be kept away from combustible materials.Be operated safely and according to manufacturer requirements.Not create an unreasonable noise disturbance.Be protected from public access.Fuel must be stored safely and in accordance with applicable requirements.13. TRIP & FALL PREVENTIONWalkways must remain clear at all times.Vendors must secure:Extension cordsTent strapsDisplay supportsTable coveringsSignageBoxesCoolersEquipmentNothing may extend into customer walkways in a manner that creates a hazard.Any spill must be cleaned immediately.14. CLEANLINESS & WASTE DISPOSALEach Vendor is responsible for keeping its booth clean throughout the Market and leaving the space clean after load-out.Vendors must properly dispose of:TrashCardboardFood wastePackagingCooking wasteBroken productsOther materials generated by their operationAbsolutely no grease, cooking oil, wastewater, chemicals, food liquids, ice water containing waste, or other contaminants may be dumped onto the street, sidewalk, landscaping, parking areas, or storm drains.Vendors may be responsible for cleanup or property damage costs resulting from improper disposal.15. SHARP OBJECTS & EQUIPMENTKnives, tools, glass, machinery, cooking utensils, and other potentially hazardous equipment must be stored and operated safely.Sharp objects must not be accessible to customers or children.Broken glass or other dangerous debris must be secured and removed immediately.16. CHILDREN & PETSThe Market is a family-friendly environment.Vendors must keep potentially dangerous equipment, hot surfaces, electrical equipment, sharp objects, and chemicals inaccessible to children.Vendors bringing permitted animals into their booth are responsible for maintaining control of the animal and complying with applicable property and health regulations.Animals must not be allowed to contaminate food preparation, storage, or service areas.17. VEHICLE SAFETYDuring designated Load-In and Load-Out periods:Drive slowly and cautiously.Follow Market staff directions.Watch continuously for e only designated vehicle routes and loading areas.Do not block emergency access.Do not leave vehicles unattended in the Load-In/Load-Out Zone longer than necessary.Once unloaded, Vendor vehicles must be moved to the designated Vendor Parking Area approximately one block from the Market.Vehicles may not enter the Market during public operating hours without authorization from Management.18. SMOKING & INTOXICATIONSmoking or vaping must comply with property rules and applicable law and may not occur in areas where it creates a safety, food-sanitation, or customer-experience concern.Vendors and Vendor staff may not operate cooking equipment, vehicles, machinery, or conduct Market business while impaired by alcohol or drugs.19. EMERGENCIESIn the event of an emergency:Call 911 for an immediate police, fire, or medical emergency.Then notify East Coast Marketplace staff as soon as it is safe to do so.Vendors must never obstruct emergency personnel, emergency vehicles, fire lanes, exits, or evacuation routes.Follow instructions from emergency personnel and Market Management immediately.20. ACCIDENTS & INCIDENT REPORTINGAny significant accident, injury, fire, property damage, customer incident, or safety concern occurring within or involving a Vendor's booth must be reported to Market Management as soon as reasonably possible.Vendors should document incidents involving their operation and maintain any records required by their insurer or applicable law.21. INSPECTIONSEast Coast Marketplace staff may inspect Vendor spaces for compliance with Market safety ernment inspectors, fire officials, health officials, property representatives, or other authorities may also inspect Vendor operations.Vendors are responsible for cooperating with authorized inspections and maintaining required documentation at the Market.22. FAILURE TO COMPLYA Vendor may be required to immediately correct an unsafe condition.Serious health or safety violations may result in:Suspension of cooking or salesRemoval of unsafe equipmentTemporary booth closureRemoval from the MarketSuspension from future Market datesManagement is not required to provide multiple warnings when an issue creates an immediate health, fire, sanitation, or public-safety risk.VENDOR HEALTH & SAFETY CHECKLISTBefore opening your booth each Sunday, confirm:☐ Tent is securely weighted☐ Booth and walkways are free of trip hazards☐ Required licenses and permits are available☐ Food is properly protected and temperature controlled☐ Handwashing/sanitation equipment is operational, if required☐ Fire extinguisher is accessible, if required☐ Propane/cooking equipment is safely secured, if applicable☐ Electrical cords and equipment are safe☐ Trash and wastewater containers are available☐ Emergency and customer walkways are clear☐ No loose equipment or merchandise creates a safety hazard☐ Booth is clean and ready for customers

VENDOR TERMS & CONDITIONS
Location: 1937 Wilton Drive, Wilton Manors, FL 33305
Grand Opening: Sunday, October 4, 2026
Market Schedule: Every Sunday, 10:00 AM–4:00 PM
Market Operator: East Coast Marketplace LLC

By applying, selecting a Market date, providing payment information, paying for, or participating as a Vendor at the Wilton Manors Farmers Market (“Market”), the applicant (“Vendor”) agrees to the following Terms & Conditions.

1. MARKET HOURS, SALES CUTOFF & VENDOR COMMITMENT
The Market operates every Sunday from 10:00 AM to 4:00 PM, rain or shine, unless otherwise announced by East Coast Marketplace LLC (“Management”).

Vendors must be completely set up and ready to operate before 10:00 AM and must remain fully set up and operational until 4:00 PM.

Vendors may not stop operating, dismantle their booth, pack merchandise, or leave before 4:00 PM without prior authorization from Management.

All sales must stop promptly at 4:00 PM. Vendors may not sell products, process transactions, serve customers, or accept payments after 4:00 PM.

Breakdown begins at 4:00 PM and may not begin earlier. Vendors must complete breakdown, load-out, and cleanup and must be completely off the Market property no later than 6:00 PM. No exceptions.

Participation in one Market date does not guarantee acceptance or availability for future dates.

2. LOAD-IN & SETUP
Vendor load-in instructions and assigned arrival times will be communicated by Management before the scheduled Market.

All Vendors must:

Arrive within the designated load-in period.
Be completely set up and ready for customers before 10:00 AM.
Follow all instructions regarding vehicle access, unloading, parking, booth placement, and pedestrian safety.
Move vehicles to the designated Vendor parking area immediately after unloading.
Keep fire lanes, sidewalks, entrances, exits, and emergency access areas clear at all times.
Wait for authorization before bringing vehicles into any designated load-in or load-out area.
Late arrivals may lose their assigned space without refund or credit.

3. BOOTH SPACE
Unless otherwise approved in writing, standard Vendor spaces are designed for one 10' × 10' tent.

Vendors are responsible for providing their own:

Tent or canopy
Tables and chairs
Displays
Tent weights
Lighting, if required
Approved extension cords and electrical equipment
All equipment necessary to operate safely and professionally
Vendors may not expand beyond their assigned footprint without prior approval from Management.

Management reserves the right to determine or modify booth locations, Market layout, Vendor placement, and category distribution.

4. TENT WEIGHTS & SAFETY
Tent weights are mandatory.

Each tent leg must be independently and securely weighted. Stakes may not be used unless specifically authorized by Management.

Management may require a Vendor to modify, reinforce, lower, or remove any tent, display, sign, or equipment that creates a safety concern.

Vendors who fail to secure their tents and equipment properly may be prohibited from operating and may be removed without refund or credit.

5. RAIN-OR-SHINE & WEATHER POLICY
The Market operates rain or shine.

Florida weather can change rapidly. Vendors are responsible for bringing appropriate protection for their merchandise, equipment, displays, employees, and operations.

Rain, heat, wind, low attendance, weather forecasts, or other ordinary weather conditions do not qualify a Vendor for a refund or credit.

Management reserves the right to delay, modify, suspend, evacuate, or cancel the Market when conditions create a safety concern or when required by the property owner, municipality, law enforcement, emergency management, or another governmental authority.

If Management cancels an entire Market date before operations begin, Management may determine whether a refund, credit, or rescheduled date will be provided based on the circumstances.

6. DATE RESERVATIONS, AUTOMATIC CHARGES & PAYMENT AUTHORIZATION
When a Vendor selects and reserves one or more Market dates, the Vendor agrees to maintain a valid payment card on file.

Unless the Vendor cancels the reserved date through the designated Vendor system no later than Monday at 7:00 PM Eastern Time before the scheduled Sunday Market, the system will automatically charge the applicable Vendor fee to the card on file on Tuesday.

By submitting the application, selecting a Market date, and providing payment information, the Vendor expressly authorizes East Coast Marketplace LLC to automatically charge the card on file every Tuesday for each upcoming Sunday Market date that remains reserved.

The applicable Vendor fee will be the amount displayed for the selected Market date and Vendor category.

A booth is not confirmed until:

The Vendor has been approved.
The applicable payment has been successfully processed.
All required documentation has been submitted and approved.
A declined or failed payment may result in the immediate cancellation of the reserved space. Management is not required to hold a space while waiting for replacement payment information.

7. CANCELLATIONS, NO-SHOWS, REFUNDS & CREDITS
Once a Vendor’s payment has been processed, all fees are final, non-refundable, non-transferable, and cannot be applied as a credit toward another date.

The following do not qualify for a refund, credit, or transfer:

Vendor cancellations submitted after the Monday deadline
Late arrivals
No-shows
Failure to attend
Early departures
Rain, heat, wind, low attendance, or weather concerns
Insufficient staffing or inventory
Vehicle or equipment problems
Illness or personal scheduling conflicts
Missing or expired licenses, permits, insurance, or COI
Failure to comply with Market rules
Removal or suspension resulting from a Vendor violation
If a Vendor cancels after payment has been processed or does not appear for the selected Market date, no refund or credit will be issued. No exceptions.

8. VENDOR APPROVAL & PRODUCT CATEGORIES
All Vendors, products, services, and displays are subject to approval by Management.

Approval applies only to the products, services, brands, and business concept described in the Vendor’s application.

Vendors may not introduce substantially different products, services, brands, or concepts without prior written approval.

Management may limit the number of Vendors within a category to maintain a balanced Market.

Acceptance of one Vendor does not constitute category exclusivity unless Management expressly agrees to exclusivity in writing.

9. LICENSES, PERMITS & LEGAL COMPLIANCE
Each Vendor is solely responsible for obtaining and maintaining all licenses, permits, registrations, certifications, insurance, tax documentation, and governmental approvals required for its operation.

This includes, when applicable:

Business licenses
Florida sales tax registration
Food-service licenses
Temporary food-service permits
Cottage Food compliance
Health permits
DBPR or Department of Agriculture requirements
Insurance certificates
Fire-safety requirements
City, County, State, or Federal authorizations applicable to the Vendor
Approval by East Coast Marketplace LLC does not constitute governmental approval to operate.

Vendors who arrive without the required licenses, permits, insurance, or documentation will not be permitted to operate and will not receive a refund or credit.

10. FOOD VENDORS
Food Vendors must comply with all applicable food-safety and sanitation requirements.

Where applicable, Vendors must provide:

Handwashing facilities
Sanitizing equipment
Food-temperature control
Food protection
Wastewater containment
Fire extinguishers
Propane and fire-safety equipment
Required licenses and permits
Food preparation, cooking equipment, propane, generators, open flames, and similar equipment may only be used where permitted and must comply with applicable regulations.

Management may stop food preparation or sales whenever a condition presents a potential health, fire, or safety concern.

11. ELECTRICITY & GENERATORS
Electricity is not guaranteed unless specifically included or approved in advance by Management.

Vendors may not connect to electrical outlets without authorization.

Generators must be approved in advance and must be quiet, properly maintained, safely positioned, and operated in compliance with applicable fire and safety regulations.

Extension cords must be outdoor-rated and properly secured to prevent trip hazards.

12. CLEANLINESS & WASTE
Vendors must maintain a clean, safe, and professional booth throughout the Market.

Each Vendor is responsible for all trash, packaging, food waste, grease, wastewater, and debris generated by its operation.

At the end of the Market, the Vendor’s assigned space must be left completely clean.

Dumping grease, oil, wastewater, food waste, chemicals, or other liquids onto streets, sidewalks, landscaping, drains, or other areas of the property is strictly prohibited.

Vendors may be charged for cleaning, damage, waste removal, repairs, or restoration caused by their operation.

13. PROFESSIONAL CONDUCT
The Wilton Manors Farmers Market is intended to provide a welcoming, respectful, family-friendly, and community-oriented environment.

Vendors and their employees, contractors, representatives, and guests must behave professionally toward:

Customers
Other Vendors
Market staff
Property representatives
City personnel
Members of the community
Harassment, threats, fighting, aggressive behavior, discrimination, intoxication, disruptive conduct, refusal to follow staff instructions, or excessive profanity directed at others may result in immediate removal and suspension from future Markets.

14. SALES & CUSTOMER RESPONSIBILITY
Vendors operate as independent businesses.

Each Vendor is solely responsible for:

Its products and services
Product quality and safety
Pricing
Sales
Taxes
Customer disputes
Refunds
Chargebacks
Employees and contractors
Representations made to customers
East Coast Marketplace LLC does not guarantee minimum attendance, sales, revenue, exposure, or profitability.

15. PROHIBITED ITEMS, GLASS & PETS
Glass of any kind is prohibited on the Market property. This includes glass bottles, jars, containers, merchandise, decorations, and display materials.

Pets are not permitted in Vendor booths or Vendor operating areas.

Service animals, as defined by applicable law, are not considered pets and are permitted. Service animals must remain under the control of their handler.

Vendors may not sell or display illegal, counterfeit, stolen, dangerous, unauthorized, or unapproved merchandise.

Management may prohibit any product, service, display, signage, music, activity, or conduct that it reasonably determines is inappropriate, unsafe, unlawful, inconsistent with Market standards, or not included in the Vendor’s approved application.

16. BOOTH SHARING & SUBLEASING
Vendor spaces may not be sold, transferred, assigned, shared, or subleased to another person or business without prior written approval from Management.

Only approved businesses, products, and representatives may operate from an assigned booth.

17. CERTIFICATE OF INSURANCE
A valid and current Certificate of Insurance (“COI”) is mandatory for every Vendor.

The COI must meet all requirements displayed in the Vendor application and must remain valid throughout the Vendor’s participation in the Market.

If the Vendor has not already provided an approved COI, it must be uploaded directly to the original Vendor application no later than seven calendar days before the selected Market date.

A Vendor submitting an application less than seven days before a Market must upload the COI when submitting the application.

If a COI is rejected because it is incomplete, expired, incorrect, or does not meet the stated requirements, the Vendor must upload a corrected COI through the application before the deadline.

COIs sent by email, text message, WhatsApp, social media, direct message, or any other method will not be accepted or considered submitted. The only accepted submission method is through the Vendor application.

Approval of a Vendor’s application remains conditional until the COI has been reviewed and approved.

A Vendor without a valid and approved COI on file by the deadline will not be admitted to the Market or permitted to set up. The Vendor will lose the reserved space without refund, credit, or transfer. No exceptions.

Vendors are responsible for monitoring their insurance expiration date and uploading a renewed COI before the current policy expires.

18. INSURANCE, LIABILITY & INDEMNIFICATION
Vendors participate at their own risk and are responsible for their property, merchandise, equipment, employees, contractors, products, services, and operations.

East Coast Marketplace LLC is not responsible for Vendor losses resulting from theft, weather, property damage, equipment failure, accidents, customer actions, or other circumstances outside Management’s reasonable control.

To the extent permitted by law, each Vendor agrees to indemnify and hold harmless East Coast Marketplace LLC, the property owner, and their respective officers, employees, agents, and representatives from claims, damages, losses, liabilities, and reasonable costs arising from the Vendor’s products, services, employees, equipment, booth, negligence, misconduct, or violation of these Terms.

19. DAMAGE TO PROPERTY
Vendors are responsible for any damage caused by themselves, their employees, contractors, representatives, vehicles, tents, displays, cooking equipment, or operations.

Vendors may be charged for repair, replacement, cleaning, or restoration costs.

20. MARKET LAYOUT & ASSIGNED LOCATIONS
Booth locations are determined exclusively by Management.

Management may relocate a Vendor when reasonably necessary for:

Safety
Traffic flow
Category balance
Accessibility
Property requirements
Emergency access
Market operations
Special events
A Vendor’s previous location does not guarantee the same placement at future Markets.

Vendors may not change, exchange, or move their assigned location without prior approval from Management.

21. ATTENDANCE & COMPLIANCE
Vendors are expected to attend every Market date they select and reserve.

Failure to follow Market rules will result in the cancellation of the Vendor’s next scheduled participation without refund or credit.

Depending on the nature or severity of the violation, Management may also:

Stop the Vendor’s sales or operations
Remove the Vendor from the current Market
Cancel additional reserved dates
Temporarily suspend the Vendor
Permanently terminate the Vendor’s participation
Management is not required to provide three warnings before taking action.

Violations involving safety, missing insurance or permits, unauthorized products, pets, glass, early breakdown, sales after 4:00 PM, failure to leave by 6:00 PM, harassment, threats, fraud, property damage, or refusal to follow instructions may result in immediate removal or suspension.

Any Market date canceled because of a Vendor’s violation will not qualify for a refund, credit, or transfer. No exceptions.

22. PHOTOGRAPHY & MARKETING
Photography and video recording may occur throughout the Market.

By participating, Vendors grant East Coast Marketplace LLC permission to photograph or record their booth, products, signage, employees, representatives, and Market participation.

East Coast Marketplace LLC may use this content for reasonable promotional, advertising, social-media, website, press, and Market-related purposes without additional compensation.

23. MARKET COMMUNICATIONS
Final load-in, parking, booth placement, and event-day instructions will normally be sent on the Friday before the Vendor’s scheduled Sunday Market.

Vendors are responsible for monitoring the email address, telephone number, text messages, and Vendor platform provided during registration.

Important communications may include:

Load-in instructions
Weather updates
Parking instructions
Market maps
Payment information
Schedule changes
Emergency notices
Vendor requirements
Failure to read or receive a communication does not excuse failure to comply with Market rules or instructions.

24. CHANGES TO MARKET OPERATIONS
Management may reasonably modify Market procedures, operating rules, booth layouts, load-in procedures, parking requirements, hours, or other operational requirements when necessary for safety, governmental compliance, property requirements, or effective Market management.

Material changes affecting an upcoming Market will be communicated to Vendors as reasonably practicable.

25. INDEPENDENT VENDOR STATUS
Vendors are independent businesses and are not employees, partners, agents, joint venturers, or representatives of East Coast Marketplace LLC.

Nothing in these Terms creates an employment, franchise, partnership, or agency relationship.

26. ACKNOWLEDGMENT & ACCEPTANCE
By submitting an application, selecting a date, providing payment information, electronically accepting these Terms, making payment, or participating in the Wilton Manors Farmers Market, the Vendor confirms that:

The Vendor has read and understands these Terms & Conditions.
The information provided in the application is complete and accurate.
The Vendor agrees to follow all Market rules and instructions.
The Vendor accepts responsibility for obtaining all required licenses, permits, insurance, and approvals.
The Vendor authorizes the automatic charges described in these Terms.
The Vendor understands and accepts the cancellation, no-refund, and no-credit policies.
The Vendor understands that participation may be canceled or terminated for failure to comply.
REQUIRED ACKNOWLEDGMENTS
☐ I understand that the Market operates every Sunday from 10:00 AM to 4:00 PM, rain or shine. I understand that all sales must stop at 4:00 PM, breakdown begins at 4:00 PM, and I must be completely off the property by 6:00 PM.

☐ I expressly authorize East Coast Marketplace LLC to charge the card on file every Tuesday for each reserved Sunday Market date unless I cancel the date through the designated Vendor system by Monday at 7:00 PM Eastern Time.

☐ I understand that once my card has been charged, there will be no refunds, credits, or transfers, including if I cancel, arrive late, fail to attend, lack required documentation, or am removed for violating Market rules.

☐ I understand that a valid and approved COI must be uploaded directly to my Vendor application at least seven calendar days before my selected date. COIs sent by email, text message, WhatsApp, social media, or any other method will not be accepted.

☐ I understand that glass and pets are prohibited and that service animals, as defined by applicable law, are not considered pets.

Historic Virginia Key Farmers Market Vendor Terms and Conditions & Health and Safety GuidelinesThese Vendor Terms and Conditions and Health and Safety Guidelines apply to all vendors, exhibitors, food operators, service providers, staff, and contractors participating in the farmers market at Historic Virginia Key Beach Park. The market takes place in a protected public park environment, and all participants must operate in a way that preserves the site, protects public safety, and complies with all park, city, county, and state requirements.Vendor Terms and Conditions1. Compliance with Park RulesAll vendors must comply with all applicable park rules, permit conditions, and directions issued by park management, event organizers, security personnel, and authorized public officials. The park requires permittees to use the facility only for approved activities, keep the permit on site, and follow operational restrictions established by management.2. Protected Park StandardHistoric Virginia Key Beach Park is a protected natural and historic site, so vendors must operate with a strict low-impact approach at all times. Vendors may not damage lawns, dunes, trees, structures, utilities, paved areas, signage, fencing, or natural habitat, and any damage caused by a vendor, vendor staff, or vendor guests may result in removal from the event and financial responsibility for repairs.3. Approved Vendor Status and DocumentationEach vendor must provide all documents requested by the organizer before approval, including business identification, licenses, insurance, tax documents, and product descriptions, as applicable. If a vendor category requires additional approval from the park, City of Miami, Miami-Dade County, DBPR, FDACS, fire authorities, or health authorities, the vendor is responsible for obtaining and maintaining those approvals.4. Insurance RequirementsVendors may be required to maintain general liability insurance and, when requested, provide a Certificate of Insurance naming the Virginia Key Beach Park Trust and the City of Miami as additional insureds. Vendors offering amusement equipment, food operations with elevated risk, propane use, or specialized installations must meet any higher insurance thresholds required by the venue or organizer.5. Booth Use and Space LimitsVendors may only use the booth space assigned by the organizer and may not expand into walkways, emergency lanes, landscaping, neighboring booths, or protected areas. No vendor may make physical changes to the site layout without approval, and all display equipment must remain within the designated footprint.6. Setup, Breakdown, and Site AccessAll vendors must follow assigned load-in, setup, breakdown, and load-out schedules. Vehicles must remain on paved roadways and in designated parking or loading areas only, because the park restricts vehicles to authorized surfaces and designated spaces. Trailers, gas-powered generators, and other prohibited logistics are not allowed unless specifically authorized in writing.7. Cleanliness and Leave No TraceAll vendors must follow a strict leave no trace standard. At the end of the event, each vendor must remove all merchandise, packaging, food waste, grease, ice, water, decor, tables, tents, and equipment, and must leave the area clean and free of debris. Failure to clean the space properly may result in cleanup charges, denial of future participation, or both.8. Prohibited Materials and Waste ControlsThe park prohibits glass containers and Styrofoam items, including Styrofoam plates, cups, and containers. Helium balloons and confetti are also prohibited. Vendors must use event-approved disposal methods and may not dump gray water, oil, charcoal, food scraps, or any waste onto the ground, into landscaping, or into park drains.9. Decorations, Signage, and AttachmentsDecorations and signage may not be attached to walls, poles, trees, fences, benches, or park structures using nails, screws, glue, staples, tape, or other damaging materials. Vendors may not hang items from trees or install anything that could disturb natural or historic features of the park.10. Noise and ConductNoise must remain controlled within the vendor’s immediate area and may not disturb neighboring vendors, wildlife conditions, park visitors, or the overall event environment. Music with explicit lyrics is not permitted on park premises, and vendors must conduct themselves professionally at all times.11. Restricted Substances and Illegal ActivityAlcohol, firearms, illegal drugs, gambling, and unlawful conduct are prohibited unless expressly authorized by applicable law and the event organizer. Any vendor violating these rules may be removed immediately and reported to the proper authorities.12. Food Vendor ResponsibilitiesFood vendors must hold all required food permits and licenses and must comply with all applicable public health requirements. Food vendors operating under a permanent Florida food license or temporary event approval must have required documentation available for inspection. Any vendor using cooking systems, hot holding, refrigeration, or propane must comply with fire, food safety, and inspection requirements.13. Grilling, Propane, and Cooking ControlsThe park allows only limited fire and grilling activity under strict controls. Grills or cooking equipment must never be operated under covered shelters, tents, or enclosed spaces. Personal propane tanks are generally prohibited under park rules unless specifically approved for the event, and any approved propane must be safely secured upright and handled in accordance with fire safety requirements.14. Utilities and EquipmentVendors must bring only approved equipment and may use electricity only if pre-approved by the organizer. Water fountains are for drinking water only and may not be used for washing equipment, bathing, or cleaning utensils. Vendors may not use the park as a free kitchen, soup line, restaurant back-of-house, or unauthorized food prep zone beyond the approved event operation.15. Hours and RemovalVendors must be fully set up by the required time, remain open during required event hours, and exit the park by the deadline established by the organizer or park management. The park rules require permittees and participants to vacate the facility by closing time unless otherwise approved.16. Enforcement and RemovalThe organizer reserves the right to deny setup, suspend operations, require immediate corrective action, or remove any vendor whose booth, conduct, documentation, products, equipment, or staff violate these Terms and Conditions or any applicable law or permit condition.
