Hosted in the heart of Downtown Somerville, this event will transform Main Street and Division Street into an open-air festival, featuring live performances, cultural demonstrations, artisan vendors, and interactive activities for all ages. Attendees will enjoy a diverse marketplace with handcrafted goods, international artisans, and unique cultural exhibits, while the main stage will showcase live music and traditional dance performances. A variety of interactive workshops, including calligraphy, henna art, and world dance classes, will provide immersive cultural experiences. Vendor Information: We are accepting applications for artisan, craft, and cultural vendors offering authentic handmade goods, artwork, and globally inspired merchandise. Terms & Conditions
1. Event Overview The International Somerville Street Fair will take place on Sunday, June 1, 2025, from 12:00 PM – 6:00 PM in Downtown Somerville, NJ. Vendors must comply with all guidelines to ensure a safe, enjoyable, and successful event for all participants. 2. Vendor Eligibility & Selection Vendors do not need to be officially aligned with the cultural theme of the event; however, priority will be given to those that offer cultural flair through their products, services, or presentation. Food Vendors: Priority will be given to local restaurants within the Somerville district. Outside food vendors will be considered on a case-by-case basis, with a focus on offerings that complement rather than compete with existing local restaurants. All vendors must submit a completed application and full payment by the stated deadline. 3. Booth Space & Setup Vendors will be assigned a 10’x10’ space (unless otherwise specified). Vendors may provide their own tables, chairs, displays, and tent canopies (if applicable). Tables, chairs and pop up tents are available for rent, if needed. Please indicate your need in the application submission. All tents must be properly weighted (minimum 40 lbs per leg) to ensure safety in case of wind. No stakes may be driven into the pavement. Setup begins at 8:00 AM, and all vendors must be fully set up by 11:30 AM. Late arrivals may be denied entry without a refund. Vendors must remain in their designated area and may not extend into walkways, neighboring spaces, or fire lanes. There will be no early breakdown for any reason. 4. Food Vendor Requirements Any and all food-related businesses must submit the necessary health department permits and follow through with required inspections a minimum of 14 days prior to the event (by May 18, 2025). Failure to complete the health department approval process by the deadline may prohibit your attendance at the event, and vendor fees will not be refunded in such cases. Food vendors must adhere to all local and state health regulations regarding food handling and service. 5. Fees & Payment Vendor fees are non-refundable within 72 hours of the event (after May 29, 2025). If you need to cancel or cannot attend, refunds will be issued on or before May 29, 2025. Requests made after this date, for any reason, will not be refunded. Payment must be submitted in full with the application to secure a vendor space. 6. Permits & Compliance Vendors are responsible for complying with all local, state, and federal regulations related to their business. 7. Load-In & Load-Out Procedures Vendors will receive detailed load-in and load-out instructions on May 29th. Vehicles are not permitted in the event area after the designated setup period. Vendors must pack up and vacate the area by 8:00 PM. No early breakdowns are allowed. 8. Power & Utilities Electricity is not provided. Open flames, propane tanks, or other hazardous materials must be approved in advance. 9. Waste Disposal & Clean-Up Vendors are responsible for keeping their space clean and disposing of all trash properly. Food vendors must have a waste disposal plan, including proper grease/oil disposal (no dumping in street drains). Vendors must leave their area in the same condition as found. A cleanup fee may be charged for failure to comply. 10. Weather Policy This is an outdoor, rain-or-shine event. Vendors must prepare for varying weather conditions. In the case of severe weather (lightning, high winds, or extreme conditions), organizers will determine if postponement or cancellation is necessary. If the event is completely cancelled, refunds will be issued. Application fees will not be refunded. 11. Liability & Insurance Vendors participate at their own risk and must carry appropriate liability insurance. The Downtown Somerville Alliance and the Borough of Somerville are not responsible for lost, stolen, or damaged property. Vendors must provide a Certificate of Insurance (COI) naming Downtown Somerville Alliance and the Borough of Somerville as additional insured parties if required. 12. Prohibited Items & Activities Vendors may not sell counterfeit or illegal items, weapons, alcohol, tobacco, or any hazardous materials. Amplified sound is not allowed at vendor booths unless pre-approved as part of an interactive demonstration. Vendors may not distribute flyers, brochures, or promotional materials outside of their assigned booth space. 13. Code of Conduct Vendors must conduct themselves professionally and respectfully. Harassment, disruptive behavior, or failure to comply with event staff instructions will result in removal without refund. Vendors must respect event organizers, neighboring booths and event attendees. Any inappropriate or rude behavior towards event organizers or volunteers will result in immediate removal without refund and no longer considered for future events in Downtown Somerville. 14. Acceptance of Terms By submitting an application and payment, vendors acknowledge that they have read, understood, and agree to abide by these Terms & Conditions. Failure to comply may result in removal from the event without refund.
