By submitting an application, you acknowledge that you have read, understand, and agree to the following terms and conditions. Vendor Acceptance * Submission of an application does **not** guarantee acceptance. * Vendors are selected to maintain a balanced variety of products and categories. * The event organizer reserves the right to accept or decline any application. * Vendor fees are due upon acceptance unless otherwise specified. Booth Space * Standard booth spaces are **10' x 10'** unless otherwise noted. * Vendors must remain within the boundaries of their assigned space. * Booth assignments are determined by the event organizer and are final. Setup & Breakdown * Vendor check-in and setup will begin prior to the event. Specific arrival times will be provided before the event. * **All vendors must be fully set up no later than 9:30 AM.** * Vehicles must be moved to designated parking areas immediately after unloading. * Early breakdown is **not permitted**. Vendors are expected to remain open until **4:00 PM** unless approved by the event organizer. * Vendors are responsible for leaving their space clean and free of debris. Vendor Responsibilities: Vendors are responsible for providing: * Tent (if outdoors) * Tables and chairs * Displays and signage * Extension cords and power supplies (if needed) * Adequate tent weights (**minimum 40 pounds per tent leg**) Tent stakes are **not permitted** unless specifically approved by the venue. Weather Policy This is a **rain or shine** event. The event will only be canceled or delayed in the event of severe weather or other unsafe conditions as determined by the event organizer. No refunds will be issued due to weather unless the organizer cancels the event. Product Guidelines: * Vendors may only sell products that have been approved through their application. * Counterfeit, illegal, offensive, or unsafe products are strictly prohibited. * Food vendors must comply with all applicable state and local health regulations and obtain any required permits or licenses. * Vendors are responsible for collecting and remitting any applicable sales taxes. Insurance & Liability: Vendors participate at their own risk. The Moose Lodge, event organizers, volunteers, sponsors, and affiliates are not responsible for lost, stolen, or damaged merchandise, equipment, vehicles, personal belongings, or injuries occurring before, during, or after the event. Vendors are encouraged to carry their own liability insurance. Conduct: Vendors are expected to conduct themselves professionally and respectfully. The event organizer reserves the right to remove any vendor without refund for: * Unsafe behavior * Aggressive or disruptive conduct * Selling unapproved merchandise * Failure to follow event rules or staff instructions Electricity: Electricity is **not guaranteed**. Vendors requiring power must note it on their application and provide any extension cords or equipment necessary if power is available. Cancellations: Vendor cancellations must be submitted in writing. Vendor fees are non-refundable once accepted unless the event is canceled by the organizer. Photography: By participating, vendors grant permission for photographs and videos of their booth, products, and displays to be used for marketing and promotional purposes without compensation. Submission of an application constitutes agreement to all terms and conditions listed above. Failure to comply may result in removal from the event without refund.
