Health & Safety Guidelines Elks Lodge • Middletown, CT Vendor Booth Safety Vendors must keep all aisles, exits, and walkways clear at all times. Displays must be stable and secure. Heavy items should be placed on lower shelves whenever possible. No merchandise may extend into customer walkways. Boxes, totes, dollies, and extra inventory must be stored neatly under or behind your table. Tables must not block fire exits, extinguishers, or emergency access routes. Vendors are responsible for maintaining a clean and safe booth throughout the event. Electrical Safety Use only heavy-duty extension cords and power strips in good condition. Do not overload electrical outlets. Tape cords securely to the floor where customers may walk. Damaged electrical equipment may not be used. Battery-operated lighting is encouraged when possible. Fire Safety No open flames are permitted unless specifically approved by the venue. Wax warmers, hot plates, or heating devices require prior approval. Candles may be displayed but should remain unlit unless authorized. Keep flammable materials away from electrical equipment. Smoking or vaping is prohibited inside the building. Health & Cleanliness Wash or sanitize hands frequently. Vendors selling products intended for skin contact should provide hand sanitizer when practical. Keep food and drinks within your booth area. Dispose of trash properly. Notify event staff immediately of any spills so they can be cleaned to prevent slips. Customer Safety Keep shopping aisles free of trip hazards. Do not allow customers behind your display tables. Report any injuries or accidents immediately to event management. Children must remain supervised by their parent or guardian. Move-In & Move-Out Use caution while unloading vehicles. Do not leave equipment unattended in walkways. Load-in carts should be removed promptly after setup. Follow event staff directions during setup and breakdown. Emergency Procedures In the event of an emergency, remain calm. Follow instructions from event staff or emergency personnel. If evacuation is necessary, leave immediately through the nearest marked exit. Do not re-enter the building until permission is given. Vendor Responsibility Each vendor is responsible for: Their own merchandise. Their own equipment. Any damage caused by their display. Maintaining any required licenses or insurance for the products they sell, if applicable. Professional Expectations Greet customers with a friendly attitude. Keep your booth staffed during event hours. Maintain a clean, organized, and professional display. Be respectful of neighboring vendors and event staff. Help create a welcoming atmosphere for everyone. For your event, I'd also recommend adding these Ethereal Elements–specific policies: No AI-generated counterfeit or trademark-infringing merchandise. No offensive, hateful, or explicit products. No illegal substances, weapons, or hazardous materials. No strong fragrances or diffusers that could affect neighboring vendors without prior approval. All vendors must remain set up until 5:00 PM. Early breakdown is not permitted except in an emergency. Vendors must carry out everything they bring in ("Leave No Trace"). Any safety concern should be reported immediately to Erin or event staff.
