Shamrock Social at EpicCentral

1. General Event Policies Shamrock Social at EpicCentral (“the Event”) is a production of the City of Grand Prairie and will take place on the EpicCentral property. Attendance or participation in any capacity—including as a guest, vendor, sponsor, performer, or volunteer—constitutes full acceptance of these terms and conditions. The City of Grand Prairie and EpicCentral reserve the right to modify, postpone, or cancel the event at any time for reasons such as severe weather, safety concerns, or directives from city officials. All attendees and participants are expected to adhere to all rules, regulations, and applicable laws while on property. 2. Admission and Ticketing All ticket sales are final, and Shamrock Social is a rain-or-shine event. Refunds, transfers, or credits will not be issued for weather-related circumstances or failure to attend. Entry to the event is valid only with an official ticket, wristband, or approved vendor or sponsor credential. Any duplication, resale, or misuse of tickets is strictly prohibited and may result in denied entry without refund. Event staff reserve the right to inspect bags and personal belongings at entry and throughout the event for safety purposes. 3. Code of Conduct Shamrock Social is a family-friendly event designed to provide a positive experience for all attendees. Disorderly conduct, harassment, public intoxication, illegal substance use, or any behavior deemed disruptive or offensive by event staff will result in immediate removal from the premises without refund. All guests, vendors, sponsors, and participants are expected to treat others—including staff, volunteers, and city officials—with respect and professionalism. Any damage caused to City property, event equipment, or the venue due to negligence or misconduct will be the financial responsibility of the individual or business at fault. 4. Vendor Policies Vendors will not receive access to event grounds or pre-event communications until payment of the vendor invoice is received in full. Each vendor will be provided a 10’ x 10’ booth space for activation and must bring their own tent, tables, chairs, and any power sources needed. Unless specified otherwise, electricity and water will not be provided. Silent generators are permitted; however, generators that produce excessive noise or fumes may be prohibited. Vendors must remain fully operational for the entire event duration and may not pack up early without prior approval from EpicCentral staff. All vendor areas must remain clean, and trash, liquid, or solid waste must be properly disposed of before departure. Tents or setups deemed unsafe or improperly weighted will be required to be corrected or removed immediately. Shamrock Social is a rain-or-shine event, and refunds or transfers will not be issued unless approved by EpicCentral management. 5. Sponsor Policies Sponsorship activations, logo placements, and promotional benefits are executed according to the terms agreed upon at the time of payment. Sponsors must submit all required logos, artwork, and branding materials by the deadlines provided by EpicCentral staff to ensure proper inclusion in event marketing. The City of Grand Prairie and EpicCentral reserve the right to adjust the placement or visibility of sponsor logos, signage, or promotional materials as needed to maintain brand consistency and meet city standards. Sponsors may only distribute marketing materials within their assigned area unless given prior approval by event organizers. Sponsorship payments are final and non-refundable unless the event is canceled by the City of Grand Prairie. 6. Photography, Media, and Promotion By attending or participating in Shamrock Social, all guests, vendors, sponsors, and participants consent to being photographed or recorded by the City of Grand Prairie, EpicCentral staff, and approved media personnel. All photos, videos, and other media captured during the event may be used by the City of Grand Prairie and EpicCentral for marketing, advertising, and promotional purposes across web, social media, print, and other platforms without compensation or further consent. Media representatives must obtain proper credentials prior to covering the event. 7. Safety and Liability Participation in all Shamrock Social activities—including, but not limited to, contests, races, games, and performances—is voluntary and undertaken at the participant’s own risk. The City of Grand Prairie, EpicCentral, and all affiliated sponsors, vendors, and representatives assume no liability for injuries, losses, damages, or theft that occur before, during, or after the event. Attendees and participants are responsible for their personal property and should follow all safety instructions provided by event staff, security personnel, and law enforcement officers. Failure to comply with safety directives may result in removal from the premises. 8. Weather and Force Majeure Shamrock Social is a rain-or-shine event; however, in cases of severe weather, unsafe conditions, or directives from city officials, the City of Grand Prairie reserves the right to delay, shorten, or cancel the event. In the event of cancellation due to natural disasters, government orders, or other circumstances beyond the control of the organizers, refunds or rescheduling decisions will be made solely at the discretion of the City of Grand Prairie. Participants are encouraged to prepare accordingly for varying weather conditions. 9. Parking and Transportation Parking for Shamrock Social is available on a first-come, first-served basis in designated areas around EpicCentral. The City of Grand Prairie is not responsible for any damage, theft, or loss to vehicles or personal property while on site. Vehicles parked illegally, blocking traffic, or in restricted areas may be ticketed or towed at the owner’s expense. Attendees are encouraged to carpool or utilize rideshare options to reduce congestion. 10. Final Acknowledgment and Agreement By purchasing a ticket, applying as a vendor, entering into a sponsorship, or otherwise participating in Shamrock Social, all parties acknowledge and agree to these terms and conditions in full. For myself, my guests, and anyone entitled to act on my behalf, I waive and release the City of Grand Prairie, EpicCentral, and all affiliated sponsors, vendors, and representatives from all claims or liabilities arising from my participation in this event, even if caused by negligence or carelessness. I understand that submission of an application, purchase of a ticket, or digital acknowledgment constitutes a binding agreement. I also grant the City of Grand Prairie permission to contact me via email or SMS regarding this and future EpicCentral events.
