Vendor & Sponsor Terms and Conditions Event Date: Saturday, December 20th, 2025 Event Location: The Mill on Etowah, 225 Reformation Pkwy, Canton, GA Hosted By: Goin’ Social Events (“Event Organizer”) By submitting an application to participate as a vendor or sponsor in Polar Express: A Winter Wonderland 2025, you (“Participant”) agree to the following terms and conditions: 1. Application Approval -Submission of an application does not guarantee acceptance. -Applications are reviewed on a first-come, first-served basis and subject to approval by Goin’ Social Events. -Once approved, a confirmation email and payment instructions (if applicable) will be sent to the email provided in your application. -All application fees are non-refundable, regardless of approval status or withdrawal. 2. Fees & Payment -All vendor and sponsorship fees (including the application fee) must be paid in full by the deadline provided in your acceptance email. -All fees, including the application fee, are non-refundable and non-transferable under any circumstance — including but not limited to weather, scheduling conflicts, or personal reasons. -Failure to submit payment by the stated deadline may result in forfeiture of your space and participation rights. 3. Setup & Breakdown -Vendors will receive a detailed setup and breakdown schedule prior to the event. -Setup times will be enforced to ensure safety and organization. -Vendors must remain open and operational during all posted event hours. -Early breakdown is strictly prohibited and may affect eligibility for future events. 4. Space & Equipment -Each approved vendor will be assigned a designated booth space. -Vendors are responsible for providing their own tents, tables, chairs, and display materials unless otherwise stated in a sponsorship package. -All tents must be properly weighted and secured. Unsecured tents will not be allowed. -Electrical access must be requested in advance and is subject to approval and availability. 5. Permits, Licensing & Compliance -Vendors must comply with all applicable local, state, and federal laws, including health and safety codes. -Food vendors must have valid health permits and proof of insurance. -All products must be safe, legal, and appropriate for a family-friendly environment. 6. Insurance & Liability -Vendors and sponsors participate at their own risk. -Goin’ Social Events, The Mill on Etowah, and all affiliates, employees, and volunteers are not responsible for any loss, theft, damage, or injury that occurs before, during, or after the event. -Participants agree to indemnify and hold harmless Goin’ Social Events, The Mill on Etowah, and all event partners from any and all claims, damages, or liabilities arising from participation. -Vendors are encouraged to carry general liability insurance naming Goin’ Social Events LLC as an additional insured. 7. Weather Policy -This is a rain-or-shine event. -Heated tents and covered areas will be provided where applicable. -No refunds will be issued due to weather, natural disasters, or other circumstances beyond the organizer’s control. 8. Behavior & Conduct -All participants must maintain a positive, professional, and family-friendly atmosphere. -Offensive or inappropriate materials, language, or conduct are not permitted. -The organizer reserves the right to remove any participant violating these standards without refund. 9. Event Changes or Cancellation -Goin’ Social Events reserves the right to modify, reschedule, relocate, or cancel the event for reasons beyond its control (including but not limited to weather, emergencies, or government restrictions). -If the event is canceled by the organizer, participants may receive a credit or partial refund at the sole discretion of Goin’ Social Events. -Application and administrative fees remain non-refundable under all circumstances. 10. Promotion & Media Consent -By participating, vendors and sponsors grant Goin’ Social Events permission to use business names, logos, images, and footage for promotional purposes in print and digital media. -No additional compensation will be provided for the use of such materials. 11. Acceptance of Terms -By submitting an application, you acknowledge that you have read, understood, and agree to comply with all terms and conditions outlined above. -Failure to adhere to these terms may result in removal from the event and exclusion from future Goin’ Social Events productions.
