THIS IS THE APPLICATION FOR VENDOR BOOTH SPACE, AKA MARKETPLACE.

 

DEFINITION:

 

This is an application for the Base Con Marketplace, which will be part of Fayetteville Fan Fest being held at the Crown Expo Center October 18th and 19th.

 

"Vendors"

 

We define "VENDOR" as a person or company offering something for sale, or resale. For Fayetteville Comic Con, these items often include Comic Books, Toys, Posters and Prints, Clothing and Apparel, Specialty Foodstuffs, Arms and Armor, Movies, Books, Collectibles, statues, plush, action figures, Pop Funko, etc., typically and best themed to traditional or emerging "Geek" fandoms.

 

WE HOLD ALL VENDORS THEIR STAFF AND FAMILY TO OUR ZERO TOLERANCE POLICY. VIOLATORS WILL BE REMOVED AND NO REFUNDS GIVEN. We understand that some "GEEK" properties (Star Wars, Marvel, DC, Harry Potter, etc.) require licencing for use. With that understanding, Fayetteville Fan Fest, Raleigh Llama Productions, Inc., the Cumberland County Civic Center Commission, OVG360, Oak View Group, and their agents, representatives, and employees bear no responsibility for violations or infringements. All risk is born by the Vendor.

 

This is also the category for artist selling a large selection of self-created or co-created work, requiring the space to display product walls larger than 6’ x 10”.

 

This includes 3D Print Shops that are manufacturing work based on others intellectual property.

 

These will be the traditional 10’ x 10’ (100 ft2) in-line or corner booths, curtained, including electric, draped tables and chairs. Two corner booths can be combined into an endcap (10’ x 20’, 200 ft2), a corner and an inline may be combined (10’ x 20’, 200 ft2) or any combination that does not exceed four (4) total, resulting in a maximum of 400 ft2. There is a 10’ height restriction for these spaces. Additionally there are limited Wall Space Double Booths (10'x20') that are located against a showroom wall that are slightly discounted from the typical inline price.

 

Corner Booths are 10 x 10 and have full curtain, two 8' tables, chairs and access to electricity (bring extension cord and surge strip to connect). Corner booths may be combined to form an Endcap (two corners), but these are limited.
 
In-Line Booths are 10 x 10 and have full curtain, one 8' table (clothed and skirted), chairs and access to electricity (bring extension cord and surge strip to connect). In-Line Booths may be purchased in sets up to three in a row, or up to two may be combined with a corner.

 

The maximum space allocated can be two corners and two inlines to form a 20 x 20 end cap. Fayetteville Fan Fest may make these standalone islands, at their discretion.

 

All Wall Spaces are 10' x 20' have full curtain, two 8' tables (clothed and skirted), chairs and access to electricity (bring extension cord and surge strip to connect).

 

All final location assignments are at the discretion of the showrunner.

 

INFORMATION:

 

Due to new show backer requirements, all application will be required to pay a $25.00 non-refundable application fee, which will be charged at submission of the application. In the past, other arrangements were possible, but the number of unpaid no-shows in the past must be recognized. This is only per application, not per space, so multiple booths only have a single application fee.

 

Additionally, the new contract with the venue has increased in cost, and the show backer has asked for a quicker return on investment. What that means is that space must be paid in full as soon as the space is reserved. The option to pay day of show has been extremely curtailed. The only option will be to schedule the payment to the card on file at a later date. Personally, I hate to force this but Fayetteville Fan Fest can only be possible with these controls in place.

 

So, I ask that you pay-in-full for your Fall Spot, and in return I am offering an Early Bird discount of 15%, which will also save on the fees for paying through this Eventeny platform. I will keep the early-bird at 15% through July 31st, 2025.

We will offer that Fayetteville is a military and working class community, and we have seen vendors do very well when they understand that economic driver. We also do our best to keep Booth Prices as low as possible (with only an 8% additional increase this year from the prices held for the final FCC show, even though our costs have increased, to give even more opportunity for our vendors to profit. Simply put, the typical guest at our shows has the ability to pay for, but not OVERPAY for items.

 

Revenue generated from the sale of goods in North Carolina is subject to Sales Tax, enforceable by the North Carolina Department of Revenue. For record, we ask for a Tax ID during registration, but the supply of that identification is at the discretion of the seller. With that understanding, Fayetteville Fan Fest., Raleigh Llama Productions, Inc., the Cumberland County Civic Center Commission, OVG360, Oak View Group, and their agents, representatives, and employees bear no responsibility for violations or infringements. All risk is born by the Vendor. Bootleg Merchandise is discouraged, although we will not actively police this issue, as we hold no expertise in product. If bootleg merchandise is brought to our attention, we will investigate and communicate concern to the vendor in question. We hold a responsibility to our attendees to deal in a fair and equitable fashion. Any risk associated with this topic is borne by the Vendor. In stark contrast to an item being fake, a bootleg piece has no intention of marketing itself as the real thing, the aim of a bootleg piece isn’t to copy existing pieces, only to creatively appropriate brands, mimicking the original but making it the designers own, resulting in a unique looking product. We do not allow the sale of pirated, fake or counterfeit items. If these are brought to our attention, we will investigate and communicate concern to the vendor in question. We hold a responsibility to our attendees to deal in a fair and equitable fashion. Any risk associated with this topic is borne by the Vendor, including the acknowledgement that Fayetteville Fan Fest can, at any time, restrict the ability of a Vendor to sell the item, where continued violation may result in removal from the Marketplace.

 

FINAL DETAILS:

 

This is an electronic agreement and by submitting, you are validating and approving this agreement electronically. Location assigned is the discretion of event management. All effort is made to lock space at least 21 days prior to the event, but last minute cancellations or additions may cause assigned space to change. All vendor booths must be paid for at registration. No alternate arrangements can be made, unless you contact RAleigh Llama Productions first. No previously established pay-at-the-show agreements can be honored without new arrangements being made.

 

In general, Load-In starts at noon on the Friday and goes until 10:00 PM. Additional load-in may occur on Saturday from 7:00 AM until 9:00 AM, with the show floor opening at 10:00 AM and closing at 6:00 PM. Vendors  may access the show floor on Sunday at 8:00 AM with the show floor opening at 10:00 AM and closing at 6:00 PM. Load out must be complete by 10:00 PM on Sunday.

THIS IS THE APPLICATION FOR ARTIST ALLEY SPACE, AKA ARTIST ALLEY.

 

DEFINITION:

 

This is an application for the Base Con Artist Alley, which will be part of Fayetteville Fan Fest being held at the Crown Expo Center October 18th and 19th.

 

"Artists"

 

We define "ARTIST" as those selling self-produced works of any type, primarily art prints, stickers, crafts and other 2-D and 3-D offerings. This does not include 3D Print Shops that are manufacturing work based on others intellectual property.

 

NOTE that these will be 8’ x 8’ space, meaning that with a 24" (2') wide table provided, there will be six (6) feet maximum reserved behind the table. This is a larger, more accessible artist alley per-artist footprint. the overall result will mean a decrease in the number of spaces reserved for artists. Like the vendor space, costs have increased by 8% over the price last offered by the previous show.

 

Space includes an 8’ Table, not draped, electric, and chairs. A total of two spaces may be purchased to combine into a 16’ frontage of two tables. There is a 10’ height restriction for these spaces. Every opportunity will be made to assure ease of access to the purchased space.

This is an application for the Base Con Author Alcove, AKA The Book Nook, which will be part of Fayetteville Fan Fest being held at the Crown Expo Center October 18th and 19th.

 

"Authors"

 

Those selling self-published or authored materials, non-comic book. This does not include business selling bulk, non-attendee authored works.

 

These will be 8’ x 6’ space, including an 8’ Table, not draped, electric, and chairs. A total of two spaces may be purchased to combine into a 16’ frontage of two tables. There is a 10’ height restriction for these spaces. Every opportunity will be made to assure ease of access to the purchased space.

 

These table are discounted $40 from Artist Space for a reason. We ask each Author to leave two books with the show runner to use as donation to the Fayetteville Veterans Association Hospital.

THIS IS THE APPLICATION FOR COMIC CREATORS TABLES, AKA "SHOOTER'S GALLERY" in honor of Jim Shooter..

 

DEFINITION:

 

This is an application for the Base Con Comic Creators Boulevard, aka "Shooter's Gallery" which will be part of Fayetteville Fan Fest being held at the Crown Expo Center October 18th and 19th.

 

"Comic Creators"

 

Those selling either comics or signatures on comics where they are credited creators of the work. Either independent or mainstream individual creators presenting content in comic book form or comic book publishing companies promoting their work.

 

These will be 8’ x 8’ space, including an 8’ Table, not draped, electric, and chairs.There is a 10’ height restriction for these spaces. Every opportunity will be made to assure ease of access to the purchased space.

 

These tables are being offered "in trade" plus the required application fee.

 

Comic Creators are asked to produce an original piece of art that will go to auction for the American Cancer Society, with proceeds being donated in the name of Jim Shooter. This Auction will be held at the end of Saturday, October 18th.

 

Each accepted application will be given ten (10) complimentary passes so that the creator, on their own, may market and target their appearance to fans who are most likely to purchase work from the creator. This is a $250 value.

This is an application for the Base Con BUY/SELL/TRADE COLLECTORS SPACE, which will be part of Fayetteville Fan Fest being held at the Crown Expo Center October 18th and 19th.

 

"BUY/SELL/TRADE COLLECTORS"

 

These are individuals (not established collectible dealers) looking to off load collections, whether they be comic books, toys, roll play, video games, trading cards or other collectibles. Additionally, these individuals may be looking to buy collections.

 

WE HOLD ALL BUY/SELL/TRADE COLLECTORS, THEIR STAFF AND FAMILY TO OUR ZERO TOLERANCE POLICY. VIOLATORS WILL BE REMOVED AND NO REFUNDS GIVEN. These will be 8’ x 6’ space, including an 8’ Table, not draped, electric, and chairs. A total of two spaces may be purchased to combine into a 16’ frontage of two tables. There is a 10’ height restriction for these spaces. Every opportunity will be made to assure ease of access to the purchased space. There will be NO ROOM behind these tables for shelving and any product placed in front of the table may not extend past two feet from the tables front edge.

 

All final location assignments are at the discretion of the showrunner.

 

INFORMATION:

 

Due to new show backer requirements, all application will be required to pay a $25.00 non-refundable application fee, which will be charged at submission of the application. In the past, other arrangements were possible, but the number of unpaid no-shows in the past must be recognized. This is only per application, not per space, so multiple booths only have a single application fee.

 

Additionally, the new contract with the venue has increased in cost, and the show backer has asked for a quicker return on investment. What that means is that space must be paid in full as soon as the space is reserved. The option to pay day of show has been extremely curtailed. The only option will be to schedule the payment to the card on file at a later date. Personally, I hate to force this but Fayetteville Fan Fest can only be possible with these controls in place.

 

So, I ask that you pay-in-full for your Fall Spot, and in return I am offering an Early Bird discount of 15%, which will also save on the fees for paying through this Eventeny platform. I will keep the early-bird at 15% through July 31st, 2025.

These are registered and established local clubs or fan groups or chapters of national clubs or fan groups.

In consideration for attendance or permission to provide floor space to exhibitors, vendors, artists, performers, agencies and/or organizations as part of the Fayetteville Fan Fest's - Base Con produced by Raleigh Llama Productions Inc., DBA Fayetteville Fan Fest and Base Con, being held at the Crown Expo Center, 1960 Coliseum Dr, Fayetteville, NC 28306 including October 17th (set-up) and show dates of October 18th and 19th, 2025, the exhibitor, vendor or artist agrees to indemnify, hold harmless, defend, release, and forever discharge Fayetteville Fan Fest, Base Con, Raleigh Llama Productions, Inc. DBA Fayetteville Comic Con, the Cumberland County Civic Center Commission, OVG360, Oak View Group, and their agents, representatives, and employees, and any person or persons under its direction and control from, and waive any and all responsibility of same, for any and all liability, claims, demands, actions, loss or expense (including costs and attorneys’ fees), loss or damage of any kind whatsoever imposed by law upon the same for damages because of bodily injury, including death at any time resulting therefrom, sustained by any person or persons, or on account of damages to property, including loss of use thereof, arising out of or in consequence of the performance of this agreement, provided such injury to persons or damage to property results from and is caused by the negligent or willful acts or omissions of Raleigh Llama Productions, Inc DBA Fayetteville Fan Fest, Base Con, The Cumberland County Civic Center Commission, OVG360, Oak View Group, its officers, agents, employees, or any person or persons under its direct supervision and control.
