VENDOR RULES AT A GLANCE
Please read these requirements carefully before submitting your application.

SETUP & LOAD-IN
Vendor load-in begins at 6:30 AM.
All vendor vehicles must be out of the Circle Drive by 7:45 AM.
Walk-up vendors may arrive and unload between 7:00–8:45 AM.
All vendors must be completely set up and ready for guests by 9:30 AM, but you may begin selling as soon as your setup is complete.

Breakdown BEGINS AT 4:00 PM. You will NOT be allowed to return if you break down early without permission from the event organizer.

VEHICLES
Once unloaded, all vendor vehicles must be moved to the designated vendor parking area. No vendor vehicles may remain in the Circle Drive after 7:45 AM.

TENTS & EQUIPMENT
Vendors are responsible for providing their own tent, tables, chairs, displays, and equipment.
White tents only. This is for uniformity. There will be no exceptions to this as allowing one vendor a different color is not fair to the other vendors.
Proper tent weights/tie-downs are required. No exceptions.
Vendors are responsible for securing their displays and merchandise against wind and weather.

ABSOLUTELY NO GENERATORS ALLOWED FOR THIS EVENT.

DURING THE MARKET
Vendors are expected to remain open and staffed for the entire scheduled market.
Vendors may not begin packing up or removing displays before the market ends.
No early breakdown is permitted unless specifically approved by event management.

CLEAN-UP
Each vendor is responsible for leaving their space clean and removing all merchandise, trash, boxes, displays, tents, tables, and personal belongings at the conclusion of the event.

By submitting your application, you acknowledge that you have read and agree to these requirements.

Vendor Market Terms & Conditions
By submitting a vendor application for a Cape Fear Vineyard & Winery vendor market, you acknowledge and agree to the following terms and conditions.

1. Application & Acceptance
Submitting an application does not guarantee acceptance as a vendor. Cape Fear Vineyard & Winery reserves the right to review applications and select vendors based on available space, product variety, event theme, and overall market balance.

Vendors will be notified of acceptance and provided with event-specific information following approval.

2. Vendor Fees & Payment
All vendor fees must be paid by the deadline provided with the vendor acceptance confirmation. A space is not considered secured until the required payment has been received.

Vendor fees are non-refundable unless the event is canceled by Cape Fear Vineyard & Winery and the venue determines that a refund is appropriate.

3. Vendor Space
Each vendor is responsible for providing their own tables, chairs, tents, displays, signage, electricity needs, and other necessary equipment unless otherwise stated by the event organizer.

Vendor spaces may vary in size and location. Specific placement requests are not guaranteed. Cape Fear Vineyard & Winery reserves the right to assign or change vendor locations as needed for event operations, safety, traffic flow, or weather conditions.

4. Tents & Safety
Vendors using tents or canopies must provide appropriate weights and tie-downs for all tents. Tents must be properly secured at all times.

White tents are required, no exceptions.

Open flames, hazardous materials, or equipment that may create a safety concern are not permitted without prior written approval.

5. Setup & Check-In
Vendors must follow the designated vendor load-in and setup schedule provided by the event organizer.

Vendors must be completely set up and ready for guests by the required event start time.

Vehicles must be moved from designated event/vendor areas by the stated deadline so that the market area is clear for guests.

Late arrivals may not be guaranteed access to their assigned space.

6. Breakdown & Departure
Vendors agree to remain open and available for the duration of the scheduled market unless otherwise approved by event management.

Early breakdown is not permitted unless specifically approved in advance. Vendors may not begin packing up, removing displays, or loading vehicles while the market is still operating without approval.

At the conclusion of the event, vendors are responsible for removing all merchandise, equipment, trash, and personal belongings from their space.

7. Products & Vendor Conduct
Vendors are responsible for ensuring that all products sold or distributed comply with applicable federal, state, and local laws and regulations.

Vendors must accurately represent their products and are responsible for collecting and reporting any applicable sales tax.

Vendors are expected to conduct themselves in a professional, respectful, and courteous manner toward guests, staff, other vendors, and event participants.

Cape Fear Vineyard & Winery reserves the right to ask a vendor to remove any product, display, signage, or material that is deemed inappropriate, unsafe, offensive, or inconsistent with the event.

8. Food & Beverage Vendors
Food vendors must have all required permits, licenses, insurance, and certifications applicable to their business and type of service.

Food vendors are responsible for complying with all applicable health and safety requirements.

Outside alcohol sales or distribution are strictly prohibited unless specifically authorized in writing by Cape Fear Vineyard & Winery.

9. Insurance & Liability
Vendors participate at their own risk and are responsible for their merchandise, equipment, vehicles, displays, and personal belongings.

Cape Fear Vineyard & Winery is not responsible for lost, stolen, or damaged merchandise or equipment.

Vendors are responsible for any damage caused to the property by themselves, their employees, representatives, or equipment.

Cape Fear Vineyard & Winery is not responsible for injury, loss, or damage arising from a vendor's products, activities, displays, equipment, or operations.

10. Weather & Event Cancellation
Outdoor events are subject to weather conditions. Cape Fear Vineyard & Winery will make the final determination regarding event cancellation, postponement, relocation, or modification based on safety and operational considerations.

In the event of severe weather or circumstances beyond the venue's control, the venue will communicate any changes to vendors as soon as reasonably possible.

11. Photography & Promotion
By participating in the market, vendors acknowledge that photographs and video may be taken during the event and may be used by Cape Fear Vineyard & Winery for marketing, promotional, social media, website, and advertising purposes.

Vendors are encouraged to promote the event through their own social media and marketing channels and may be provided with promotional materials to assist with event promotion.

12. Vendor Exclusivity & Product Variety
Cape Fear Vineyard & Winery reserves the right to limit the number of vendors offering substantially similar products in order to maintain a diverse and enjoyable shopping experience for guests.

Acceptance into one event does not guarantee acceptance into future events.

13. Removal from Event
Cape Fear Vineyard & Winery reserves the right to refuse participation or remove a vendor from the event if the vendor violates these terms, creates a safety concern, engages in inappropriate conduct, or otherwise interferes with the operation of the event.

No refund will be issued to a vendor removed from the event due to violation of these terms.

14. Agreement
By submitting this application, I confirm that I have read, understand, and agree to comply with these Vendor Market Terms & Conditions and any additional event-specific instructions provided by Cape Fear Vineyard & Winery.

I understand that failure to follow these requirements may result in denial of participation or removal from the event without refund.
