Thank you for your interest in joining the Baton Rouge Fantasy Ball as an author vendor!

We welcome independent and traditionally published authors whose work complements our fantasy, romance, romantasy, paranormal, and fantasy atmosphere.

Selected authors will receive a designated vendor space to sell books, offer signings, promote their work, and connect with attendees throughout the evening.

Authors are responsible for providing their own 5–6 ft. table, table covering, signage, displays, and all materials needed for their setup. Tables larger than 6 ft. must receive prior approval.

Submitting an application does not guarantee acceptance. Applications are reviewed based on available space, event and genre fit, and creating a diverse selection of authors and vendors for our guests.

Vendor Space & Location: Author vendor spaces will be located downstairs near the event entrance. Authors must provide their own 5–6 ft. table and complete table setup. All displays and merchandise must remain within the assigned space and may not obstruct walkways, entrances, or neighboring vendors.

• Sales & Payments: Authors are responsible for their own sales transactions, payment processing, applicable taxes, inventory, and merchandise. Wi-Fi and cellular service within the venue may be limited or unreliable***. Vendors should come prepared with a backup method for accepting payments that does not rely solely on a wireless connection.

• Acceptance & Fees: Submission of an application does not guarantee acceptance. Once your application has been accepted, the applicable vendor fee will be charged to the bank account or payment method provided during the application process. Your space is not considered reserved until your application has been accepted and payment has been successfully processed.

• Setup & Breakdown: Accepted authors are required to arrive no later than 45 minutes before the event begins for unloading and setup. Vendor spaces must be completely set up before guest entry. Authors may begin breaking down 30 minutes prior to the event’s scheduled close. Additional loading and setup instructions will be provided prior to the event.

• Event Protocol: Vendors are expected to maintain a professional and welcoming environment and follow instructions provided by Baton Rouge Fantasy Ball staff and venue personnel.

• Parking & Loading: Parking, loading/unloading instructions, and vendor access information will be provided to accepted applicants prior to the event.

• Responsibility: Authors are responsible for their own merchandise, equipment, displays, and personal belongings. Baton Rouge Fantasy Ball and the venue are not responsible for lost, stolen, or damaged property.

• Event Changes: Baton Rouge Fantasy Ball reserves the right to make reasonable adjustments to vendor placement, event schedules, setup procedures, and other operational details as necessary.
