About the application

Thank you for your interest in DFW Fiber Fest 2027!

 

DFW Fiber Fest welcomes applications from yarn dyers, fiber producers, makers, designers, tool and equipment suppliers, independent shops, and other businesses serving the fiber arts community. Our goal is to create a strong variety of products, price points, businesses, and experiences for our attendees.

 

How Vendors Are Selected

 

All applications are reviewed before acceptance. Selection is based on several factors, including:

  • Relevance to fiber and textile arts
  • Quality and originality of products
  • Overall booth presentation
  • Product diversity within the Marketplace
  • Balance among product categories
  • Available space

Returning vendors are valued members of the DFW Fiber Fest community, but previous participation does not guarantee acceptance or the same booth location from year to year. This allows us to welcome new businesses, maintain a diverse Marketplace, and continually improve the shopping experience for attendees and vendors.

 

What You'll Need to Apply

 

Please provide complete information about the products you plan to sell and submit at least 4 current photos that accurately represent your merchandise and your booth or display from another event. If you have not exhibited previously, photos showing how you plan to present your products are welcome.

 

Only products and product categories described or pictured in your application may be sold at the event unless additional items are approved in advance.

 

Please note that you will need to provide valid payment information when applying. You will not be charged unless you are accepted, and no payment will be processed before February 15, 2027.

 

We offer an Early Bird discount to those who apply by October 31, 2026. To take advantage, please enter the applicable discount code with your payment information. Codes:  EARLY27SR for Stitcher's Row or EARLY27 for any other booth type.

 

Booth Assignments

 

Booth assignments are made by DFW Fiber Fest based on Marketplace layout, booth configuration, vendor needs, product mix, traffic flow, and the overall attendee experience.

 

Returning vendors may request a previous location or a different location when applying. We will consider requests whenever possible, but specific booth locations cannot be guaranteed.

About the event

DFW Fiber Fest is a nonprofit, volunteer-run fiber arts festival bringing together makers, teachers, vendors, and fiber enthusiasts from across Texas and beyond.For more than 20 years, our annual festival has created a place for the fiber community to learn, shop, create, and connect. The event features an extensive schedule of classes taught by nationally and regionally recognized instructors, a 50,000-square-foot marketplace filled with yarn, fiber, tools, supplies and handmade goods, and hands-on activities and special events throughout the weekend.

Terms & Conditions

2027 VENDOR TERMS & CONDITIONS

 

By submitting an application to DFW Fiber Fest, the applicant acknowledges and agrees to the following Terms & Conditions.

 

APPLICATION & ACCEPTANCE

Submission of an application does not guarantee acceptance. All applications are reviewed by DFW Fiber Fest. Vendor selection is based on factors including relevance to the fiber arts, product quality and originality, product mix, booth presentation, available space, and the overall balance of the Marketplace.

 

Previous participation does not guarantee acceptance, booth size, or booth location.

 

Application information must be accurate and complete. DFW Fiber Fest may request additional information or photographs as part of the review process.

 

Acceptance applies only to the business named in the application and may not be transferred or assigned.

 

PRODUCTS

The majority of products displayed and sold must be directly related to fiber or textile arts, their tools and materials, or products specifically designed for the fiber arts community.

 

Vendors may sell only products and product categories represented in their application unless additional products are approved in advance by DFW Fiber Fest.

 

DFW Fiber Fest reserves the right to require removal of merchandise that was not disclosed or approved, does not meet Marketplace requirements, or is inconsistent with the nature of the event.

 

BOOTH SPACE & ASSIGNMENTS

Booth assignments are made by DFW Fiber Fest based on Marketplace layout, booth configuration, vendor needs, product mix, traffic flow, and the overall attendee experience. Location requests will be considered but cannot be guaranteed.

 

Booths may not be transferred, assigned, resold, or shared with another business without prior written approval.

 

All merchandise, displays, signs, equipment, and activities must remain within the vendor's assigned booth space. Vendors may not use aisles, neighboring booths, or other common areas without authorization.

 

DFW Fiber Fest reserves the right to adjust booth assignments or Marketplace layout when necessary for the safe and effective operation of the event.

 

EARLY BIRD DISCOUNT

An Early Bird discount is available for applications submitted by October 31, 2026. 

 

To receive the discount, applicants must enter the applicable promotional code when submitting their application through Eventeny. The discount cannot be applied retroactively after an application has been submitted.

 

To save $25 on Singles, Doubles, Triples, and Quads, use code EARLY27.

To save $15 on Stitcher's Row booths, use code EARLY27SR.

 

 

The Early Bird discount does not affect the vendor selection process or guarantee acceptance into the Marketplace.

 

FEES & PAYMENT

Applicants are required to provide a valid payment method through Eventeny when submitting an application. No DFW Fiber Fest booth fees will be charged unless the application is accepted.

 

If accepted, the applicant authorizes DFW Fiber Fest to charge the payment method provided through Eventeny for the approved booth space and selected options according to the published payment schedule.

 

Accepted vendors may pay in full or, if offered, select the available payment plan. Selecting a payment plan changes the timing of payment only and does not change the total amount owed or the cancellation and refund policy.

 

Vendors are responsible for Eventeny, payment processing, and other transaction fees associated with their payments. These fees are charged in addition to DFW Fiber Fest booth and option prices.

 

Vendors are responsible for maintaining a valid payment method through the final payment date. If a scheduled payment cannot be processed, the vendor will be notified and given a deadline to resolve the outstanding balance. Failure to complete payment by that deadline may result in cancellation of the vendor's acceptance and release of the booth space.

 

CANCELLATIONS & REFUNDS

All vendor cancellations must be submitted in writing.

 

Cancellations received on or before March 31, 2027, are eligible for a refund of eligible DFW Fiber Fest booth fees paid, less a cancellation fee of $75 per 10' × 10' booth unit reserved.

 

Cancellations received after March 31, 2027, are not eligible for a refund.

 

Payment processing, platform, and other transaction fees are handled according to the policies of the applicable payment provider and are not considered part of DFW Fiber Fest booth fees when calculating a refund.

 

Selecting a payment plan does not extend the cancellation deadline or otherwise change the cancellation and refund policy.

 

VENDOR RESPONSIBILITIES

Vendors are responsible for complying with all applicable federal, state, and local laws and regulations related to their business and participation in the event, including applicable sales tax, permits, licenses, product labeling, and safety requirements.

Vendors are responsible for their merchandise, equipment, displays, employees, representatives, and business activities throughout the event.

 

Vendors must comply with DFW Fiber Fest policies and all applicable requirements of the Irving Convention Center. Additional event and operational requirements will be provided to accepted vendors before the event and will become conditions of participation.

 

DFW Fiber Fest may establish reasonable additional safety, risk-management, insurance, or documentation requirements when necessary based on venue requirements, event operations, or the nature of a vendor's products or activities.

Vendors are responsible for any damage, cleaning charges, fines, or other costs resulting from the actions of the vendor, its employees or representatives, or its booth, merchandise, displays, or equipment.

 

MARKETPLACE OPERATIONS

Vendors must complete setup before the Marketplace opens and maintain a staffed, professional, and operational booth during all published Marketplace hours.

Packing or dismantling a booth before the Marketplace officially closes is not permitted without authorization from DFW Fiber Fest.

 

Vendors must comply with assigned load-in and load-out procedures, schedules, access requirements, and deadlines.

 

DFW Fiber Fest may establish or modify reasonable operational, safety, venue, or participation requirements when necessary for the effective operation of the event.

 

CONDUCT & SOLICITATION

Vendors and their representatives are expected to conduct themselves professionally and respectfully toward attendees, volunteers, other vendors, instructors, venue personnel, and DFW Fiber Fest representatives.

 

Sales, demonstrations, promotions, distribution of materials, and solicitation must take place within the vendor's assigned booth unless specifically authorized by DFW Fiber Fest.

 

Vendors may not roam the Marketplace or other event areas to solicit attendees, direct customers to their booth, distribute promotional materials, or otherwise conduct business outside their assigned space.

 

Activities that obstruct aisles, interfere with another vendor, disrupt event operations, or negatively affect the attendee experience are prohibited.

 

DFW Fiber Fest reserves the right to address violations and, in cases of serious or repeated noncompliance, require a vendor or vendor representative to leave the event. Removal for violation of event policies does not entitle the vendor to a refund.

 

SAFETY, RISK & LIABILITY

Vendors participate at their own risk and are responsible for safeguarding their merchandise, equipment, displays, and other property.

 

To the extent permitted by law, DFW Fiber Fest is not responsible for theft, loss, damage, injury, business interruption, or other losses arising from participation in the event except where liability cannot legally be excluded.

 

Vendors are responsible for maintaining a safe and accessible booth and correcting any condition determined by DFW Fiber Fest or the venue to present a safety or accessibility concern.

 

EVENT CHANGES OR CANCELLATION

DFW Fiber Fest reserves the right to modify event dates, hours, location, Marketplace layout, or other event details when circumstances require.

 

If circumstances outside the reasonable control of DFW Fiber Fest require the event to be postponed, relocated, shortened, or canceled, any refund or credit will be determined based on the circumstances and financial commitments already incurred by the organization.

 

DFW Fiber Fest is not responsible for vendors' travel, lodging, shipping, inventory, staffing, or other expenses resulting from an event change or cancellation.

 

PHOTOGRAPHY & PROMOTION

By participating in DFW Fiber Fest, vendors grant DFW Fiber Fest permission to photograph or record their booth, displays, products, and representatives during the event and to use those photographs and recordings for event-related promotional, educational, archival, and communications purposes without additional compensation.

 

ACKNOWLEDGMENT

By submitting an application, the applicant confirms that they have read, understand, and agree to these Terms & Conditions.

 

If accepted, the vendor agrees to comply with all applicable policies, deadlines, venue requirements, and operational instructions provided by DFW Fiber Fest for the 2027 event. Failure to comply may result in corrective action, removal from the event, or loss of eligibility for future participation.

Prices

Stitcher's Row (10' x 5') $245.00 Stitcher's Row booth space is 10' wide x 5' deep. It is exposed on one side (the front) and includes pipe & drape, exhibitor ID sign, one 4' table, two folding chairs, electricity, exhibitor Wi-Fi, and exhibitor badges. If accepted, your payment will be processed on 2/15/2027. Booth fees are refundable until 3/31/2027 (minus $25 processing fee for stitcher's row booths).
Single Regular (10' x 10') $500.00 Single Regular booth space is 10' wide X 10’ deep, and exposed to the aisle on one side (the front). It includes pipe & drape, exhibitor ID sign, one 8’ table, two folding chairs, electricity, exhibitor Wi-Fi, and exhibitor badges. If accepted, your payment will be processed on 2/15/2027. Booth fees are refundable until 3/31/2027 (minus $75 processing fee for each 10’ x 10’ space).
Single Corner (10' x 10') $630.00 Single Corner Booth space is 10' wide x 10' deep and located at the end of an aisle. It has two open sides (the front and one side wall). It includes pipe & drape, exhibitor ID sign, one 8’ table, two folding chairs, electricity, exhibitor Wi-Fi, and exhibitor badges. If accepted, your payment will be processed on 2/15/2027. Booth fees are refundable until 3/31/2027, minus a $75 processing fee for each 10’ x 10’ space.
Double Regular (20' x 10') $1,000.00 Double Booth space is 20' wide and 10' deep with shopper access on one side (the front). It includes pipe & drape, exhibitor ID sign, two 8’ tables, four folding chairs, electricity, exhibitor Wi-Fi, and exhibitor badges. If accepted, your payment will be processed on 2/15/2027. Booth fees are refundable until 3/31/2027, minus $150 processing fee (calculated as $75 per each 10’ x 10’ space).
Double Corner (20' x 10') $1,130.00 Double Corner Booth space is 20' wide and 10' deep and located at the end of an aisle with shopper access on two sides (the front and one side wall). It includes pipe & drape, exhibitor ID sign, two 8’ tables, four folding chairs, electricity, exhibitor Wi-Fi, and exhibitor badges. If accepted, your payment will be processed on 2/15/2027. Booth fees are refundable until 3/31/2027, minus $150 processing fee (calculated as $75 per each 10’ x 10’ space).
Double Endcap (20' x 10') $1,265.00 Double Booth space is 20' wide and 10' deep and located at the end of an aisle with shopper access from the front and both sides. It includes pipe & drape, exhibitor ID sign, two 8’ tables, four folding chairs, electricity, exhibitor Wi-Fi, and exhibitor badges. If accepted, your payment will be processed on 2/15/2027. Booth fees are refundable until 3/31/2027, minus $150 processing fee (calculated as $75 per each 10’ x 10’ space).
Triple Regular (30' x 10') $1,500.00 Triple Regular Booth space is 30' wide x 10' deep with shopper access on one side (the front). It includes pipe & drape, exhibitor ID sign, three 8’ tables, six folding chairs, electricity, exhibitor Wi-Fi, and exhibitor badges. If accepted, your payment will be processed on 2/15/2027. Refundable until 3/31/2027, minus $225 processing fee (calculated as $75 per each 10’ x 10’ space).
Triple Corner (30' x 10') $1,630.00 Triple Corner Booth space is 30' wide and 10' deep and located at the end of a row with shopper access on two sides (the front and one side wall). It includes pipe & drape, exhibitor ID sign, three 8’ tables, six folding chairs, electricity, exhibitor Wi-Fi, and exhibitor badges. If accepted, your payment will be processed on 2/15/2027. Refundable until 3/31/2027, minus $225 processing fee (calculated as $75 per each 10’ x 10’ space).
Quad Regular (40' x 10') $2,000.00 Quad Regular Booth space is 40' wide x 10' deep with shopper access on one side (the front). **If you would like a 20' x 20' square Quad, then please select the Quad Endcap Booth instead** It includes pipe & drape, exhibitor ID sign, four 8’ tables, eight folding chairs, electricity, exhibitor Wi-Fi, and exhibitor badges. If accepted, your payment will be processed on 2/15/2027. Refundable until 3/31/2027, minus $300 processing fee (calculated as $75 per each 10’ x 10’ space).
Quad Corner (40' x 10') $2,130.00 Quad Corner Booth space is 40' wide x 10' deep and located at the end of an aisle with shopper access from two sides (the front and one side). It includes pipe & drape, exhibitor ID sign, four 8’ tables, eight folding chairs, electricity, exhibitor Wi-Fi, and exhibitor badges. If accepted, your payment will be processed on 2/15/2027. Refundable until 3/31/2027, minus $300 processing fee (calculated as $75 per each 10’ x 10’ space).
Quad Endcap (20’ x 20’) $2,265.00 Quad Endcap Booth space is 20' wide x 20' deep and located at the end of an aisle with shopper access from the front and both sides. It includes pipe & drape, exhibitor ID sign, four 8’ tables, eight folding chairs, electricity, exhibitor Wi-Fi, and exhibitor badges. If accepted, your payment will be processed on 2/15/2027. Refundable until 3/31/2027, minus $300 processing fee (calculated as $75 per each 10’ x 10’ space).
