Fall Harvest Festival Vendor Terms & Conditions

WHUP / Hillsborough Community Media and the Elizabeth Keckly Historic Site at Burwell School are partnering to present a Fall Harvest Festival Fundraiser featuring local live music, food trucks, local vendors, beer and wine, and a family-friendly afternoon on the museum lawn.

The event is designed to raise funds for both organizations while creating a new annual fall tradition in Hillsborough.

By registering as a vendor, you agree to the following terms and conditions:

• Vendor Registration & Payment
  Vendor registration is not considered complete until the application has been submitted and payment has been received. Vendor fees are non-refundable unless the event is canceled by the organizers.
• Vendor Space
  Each vendor will be provided with a designated outdoor space. Vendors are responsible for providing their own tent, tables, chairs, displays, weights, electricity needs, and other equipment unless otherwise specified by the organizers.
  All tents must be properly weighted and secured. Vendors are responsible for maintaining a safe and tidy booth area throughout the event.

• Setup & Breakdown
  Vendors must arrive during the designated setup period provided by event organizers and must be fully set up before the festival opens to the public. Vendors may not begin breaking down or leaving before the official end of the event without prior approval from the organizers.
  Vendors are responsible for removing all personal property, trash, and materials from their space at the conclusion of the event.

• Weather & Event Cancellation
  This is an outdoor event and will take place rain or shine when conditions are safe. In the event of severe weather or circumstances beyond the organizers' control that require cancellation, organizers will communicate with vendors as soon as possible. Vendor fees are non-refundable in the event of cancellation unless otherwise determined by the organizers.

• Vendor Conduct
  Vendors are expected to conduct themselves professionally and respectfully toward event staff, volunteers, other vendors, performers, and attendees. The organizers reserve the right to remove any vendor whose conduct is disruptive, unsafe, discriminatory, or otherwise inappropriate.
  • The sale or distribution of alcoholic beverages by vendors is not permitted. Beer and wine service will be managed separately by the event organizers.
     
• Sales & Taxes
  Vendors are responsible for collecting and reporting any applicable sales tax and for complying with all tax requirements associated with their sales.

• Liability
  Vendors are responsible for their own merchandise, equipment, vehicles, displays, and personal property. WHUP / Hillsborough Community Media and the Elizabeth Keckly Historic Site at Burwell School are not responsible for loss, theft, damage, or injury involving a vendor's property, equipment, employees, or representatives.

• Event Promotion
  By participating, vendors agree that the event organizers may use the vendor's business name, logo, photographs, and publicly available promotional materials to promote the festival and participating vendors.

• Acceptance of Terms
  By submitting a vendor application and payment, you acknowledge that you have read, understood, and agree to these terms and conditions and agree to follow all event rules and instructions provided by WHUP / Hillsborough Community Media and the Elizabeth Keckly Historic Site at Burwell School.
