Terms & Conditions

Nonprofit Arrival, Setup & Weather Policy

Please read all instructions carefully prior to market day. By submitting this application, your organization agrees to comply with the following requirements.

Arrival & Setup

  • Please do not arrive before 8:00 AM.
  • Nonprofit spaces are assigned based on the number of approved participants and available market space.
  • There is no need to arrive early to secure a space. All approved organizations will be provided a designated booth space.
  • Upon arrival, carefully pull straight into the parking lot. The immediate left of the entrance will be blocked off for food trucks.
  • Organizations are responsible for transporting their booth materials and equipment from the parking area to their designated space.
  • Please set up only in the space designated by market management. Booth locations may not be changed without approval.
  • Leave approximately 2 feet between tents to maximize space and maintain appropriate spacing between participants.
  • Organizations are responsible for providing their own tent, tables, chairs, displays, signage, and any other equipment necessary for their booth.
  • Tent Weights: A minimum of 40 lbs. of weight is required PER TENT LEG. Palm Bay Farmers Market reserves the right to refuse setup or require the immediate breakdown of any tent that does not comply with this safety requirement.
  • By submitting this application, the organization acknowledges and agrees to the tent-weight requirement.

Park Safety Requirements

  • This event takes place in a public city park.
  • All participating organizations and their representatives must exercise extreme caution while driving, unloading, setting up, operating, and breaking down.
  • Pedestrian and child safety must be prioritized at all times.
  • Smoking is prohibited within the event area.
  • Organizations are responsible for maintaining a safe, clean, and orderly booth space throughout the event.

Nonprofit Organization Responsibility

Please ensure your organization and all representatives attending the market are fully prepared prior to market day, including knowing:

  • The event name
  • The event location
  • Your setup requirements
  • Arrival and unloading procedures
  • Your organization's planned booth activities
  • All applicable market rules and requirements

Questions should be directed to event organizers prior to market day whenever possible. Event mornings are extremely busy, and advance communication helps ensure a smooth experience for everyone.

Complimentary Nonprofit Space & Attendance

Approved 501(c) nonprofit organizations are provided booth space at no charge as part of the Palm Bay Farmers Market's commitment to supporting organizations that serve our community.

Because nonprofit spaces are complimentary and limited, organizations should only apply for market dates they reasonably expect to attend.

If your organization is unable to attend after being approved, please notify Palm Bay Farmers Market as soon as possible so the space may be made available to another nonprofit organization.

Repeated cancellations, failure to appear without notice, or failure to comply with market requirements may affect approval for future complimentary nonprofit spaces.

Weather Policy

This is a rain-or-shine event.

Due to Florida's rapidly changing weather conditions, event organizers will not make cancellation decisions prior to the day of the event.

If rain is expected before the scheduled opening time, setup may be delayed to allow participating organizations, vendors, and attendees to enjoy a reasonable portion of the market.

If rain is expected later in the event, the market will typically proceed as scheduled.

Weather-related operational decisions will be made based on real-time conditions and communicated to participants as needed.

Acknowledgment

By submitting this application, the organization acknowledges that it has read, understands, and agrees to comply with these requirements and all applicable Palm Bay Farmers Market policies.

Thank you for your cooperation, for serving our community, and for helping us create a safe, organized, welcoming, and enjoyable market experience for everyone!
