Thank you for your interest in participating in the 2027 International Cherry Blossom Festival at Carolyn Crayton Park.

 

The International Cherry Blossom Festival offers Mobile Marketing opportunities for businesses, corporations, and organizations seeking to connect directly with Festival guests through interactive brand activations and face-to-face engagement.

 

Mobile Marketing participants may promote their organization through activities such as:

  • Product demonstrations
  • Promotional item distribution
  • Interactive displays
  • Educational experiences
  • Promotional giveaways
  • Customer engagement
  • Brand awareness campaigns
  • Retail or service promotions

A Mobile Marketing space is not a sponsorship. Participation in the Mobile Marketing program provides designated space within Carolyn Crayton Park to promote your business or organization. It does not include official Festival sponsorship benefits such as logo placement, advertising, category exclusivity, or other sponsor recognition.

 

Organizations interested in becoming an Official Festival Sponsor should contact the Festival separately to discuss sponsorship opportunities.

 
Application Fee

  • $25 non-refundable application fee
  • A 4% merchant processing fee applies to online payments.

Application Deadline

  • Applications will be accepted through February 19, 2027, or until all available spaces have been filled.
  • The Festival reserves the right to close the application early if capacity is reached.

Festival Dates

  • March 19–28, 2027
  • Approved participants must be open, staffed, and fully operational during all published Festival hours for the dates selected.

Mobile Marketing Options with Pricing

  • Individual Weekdays (Monday–Thursday) – 20' × 20' - $1,000 per day
  • Individual Weekend Days (Friday–Sunday) – 20' × 20' - $1,500 per day
  • One Weekend (Friday–Sunday) – 20' × 20' - $3,000
  • Both Weekends – 20' × 20' - $6,000
  • Entire Festival (10 Days) – 20' × 20' - $10,000
  • Organizations requiring space larger than 20' × 20' should contact the Festival for pricing prior to submitting an application.

Space & Setup

  • All Mobile Marketing spaces are outdoors.
  • The Festival assigns all locations.
  • Participants may not relocate without prior written approval from Festival staff.
  • Participants are responsible for providing their own tents, tables, chairs, displays, and other equipment unless otherwise arranged.
    RV camping is not available.

Electrical Service

  • Electrical service is limited and is not guaranteed.
  • If power is requested, applicants must specify their electrical requirements, including voltage, amperage, and connection type. The Festival will make every effort to accommodate requests but cannot guarantee availability.
  • There is no access to running water or sewer at Mobile Marketing locations.

Presentation & Conduct

  • Participants are expected to maintain a clean, attractive, and professional activation space throughout the Festival.
  • All representatives must conduct themselves professionally and courteously. The use of alcohol or illegal drugs by participants, employees, or volunteers during Festival operations is strictly prohibited and may result in immediate removal from the Festival without refund.

Insurance

  • Approved participants must provide a Certificate of Insurance with limits of at least $1,000,000 Commercial General Liability naming: Macon Georgia International Cherry Blossom Festival, Inc. as Additional Insured.
  • Certificates must be received no later than February 26, 2027.

Deposits & Payment

  • A $500 deposit is required within 10 days of acceptance to reserve your space. Deposits are non-refundable.
  • The remaining balance is due by February 26, 2027.
  • Failure to meet payment deadlines may result in forfeiture of your space. Deposits are non-refundable.

Food & Beverage Distribution

  • To protect the Festival's food concessionaires, Mobile Marketing participants may not sell, sample, or distribute food or beverages of any kind, including complimentary items, unless expressly authorized in writing by the International Cherry Blossom Festival. Applications proposing food or beverage distribution without prior approval will not be accepted.

Festival Policies

  • The International Cherry Blossom Festival reserves the right to approve or deny any application and to remove any participant whose operation is determined to be unsafe, unprofessional, inconsistent with Festival policies, or detrimental to the guest experience.
  • The Festival operates rain or shine.

The International Cherry Blossom Festival's Mobile Marketing Program provides businesses and organizations with the opportunity to engage directly with Festival guests through interactive brand activations, product demonstrations, sampling, promotional giveaways, educational experiences, and customer engagement activities at Carolyn Crayton Park. Terms & Conditions

Terms & Conditions

 

If selected, in consideration of the opportunity to participate in the 2027 Macon Georgia International Cherry Blossom Festival (hereinafter referred to as the "Festival"), the Mobile Marketing Participant (hereinafter referred to as the "Participant") agrees to the following Terms & Conditions:

 

1. TERMS
Participation in the Festival's Mobile Marketing Program is a privilege and must be conducted in a professional, courteous, and responsible manner at all times.

 

Participant agrees to comply with all Festival rules, policies, procedures, schedules, safety requirements, operational guidelines, and directions provided by Festival staff.

 

Any form of harassment, discrimination, threatening behavior, inappropriate conduct, or unprofessional behavior by the Participant, its employees, contractors, volunteers, or representatives toward Festival staff, volunteers, sponsors, vendors, performers, or patrons may result in immediate removal from the Festival without refund.

 

The Festival reserves the right to deny participation, remove a Participant, or restrict future participation for failure to comply with Festival requirements.

 

Participation in the Mobile Marketing Program is not an official Festival sponsorship and does not include sponsorship recognition, advertising, category exclusivity, logo placement, or other sponsorship benefits unless otherwise approved through a separate written sponsorship agreement.

 
2. INSURANCE
Participant must provide proof of insurance through a Certificate of Insurance (COI) showing the required coverage and limits prior to participating in the Festival.

 

Certificates of Insurance and applicable endorsements must be submitted by the deadline established by the Festival.

 

Participant shall maintain the following coverage:

  • Commercial General Liability Insurance
    • Minimum limits of $1,000,000 per occurrence and $2,000,000 aggregate, including coverage for:
      • Personal Injury
      • Completed Operations
      • Independent Contractors
      • Liability assumed under an insured contract
      • Medical Payments
      • Products and Operations Liability (if applicable)
  • Workers' Compensation Insurance
    • Statutory limits, where required by law.

The Certificate of Insurance must name Macon Georgia International Cherry Blossom Festival, Inc., its Board of Directors, Officers, Staff, and Agents as Additional Insured and state that coverage is primary and non-contributory.

 

The Festival reserves the right to modify insurance requirements based on the nature of the Participant's activation or associated risk.

 
3. WAIVER OF SUBROGATION
Participant grants Macon Georgia International Cherry Blossom Festival, Inc. a waiver of any rights of subrogation that any insurer may acquire against the Festival arising from payment of any claim covered by Participant's insurance.

 
4. APPLICABLE LAW / VENUE
This Agreement shall be governed by the laws of the State of Georgia.

Venue for any dispute shall be the United States District Court for the Middle District of Georgia, Macon Division, or the Superior Court of Bibb County, Georgia.

 
5. INDEMNIFICATION
Participant agrees to defend, indemnify, and hold harmless Macon Georgia International Cherry Blossom Festival, Inc., its officers, directors, employees, volunteers, agents, and representatives from and against any claims, damages, liabilities, losses, costs, or expenses, including reasonable attorney's fees, arising from Participant's activation, employees, contractors, volunteers, equipment, vehicles, promotional activities, products, or services.

 

This obligation does not apply to claims resulting solely from the Festival's gross negligence or willful misconduct.

 
6. INDEPENDENT CONTRACTOR
Participant is an independent contractor and is solely responsible for its employees, contractors, volunteers, equipment, vehicles, displays, and operations.

 

Participant shall not represent itself as an employee, agent, or representative of the Festival.

 
7. ASSIGNMENT, SHARING & SUBCONTRACTING
Participant may not assign, transfer, sublease, share, or allow another organization or business to operate within its assigned space without prior written approval from Festival management.

 

Only the approved Participant may conduct business or promotional activities within the assigned Mobile Marketing space.

 
8. MOBILE MARKETING REQUIREMENTS
Participant agrees to operate only within its assigned space during approved Festival operating hours.

 

Participant is responsible for providing all equipment, staffing, branding materials, tents, tables, displays, electrical equipment, and other operational needs unless otherwise approved by the Festival.

 

All displays must be clean, professional, and maintained throughout the Festival.

 

The Festival reserves the right to require modification or removal of any display, activity, signage, or promotional material that is unsafe, offensive, disruptive, or inconsistent with Festival policies.

 

Food and Beverage Policy - To protect the Festival's contracted concessionaires, Mobile Marketing Participants may not sell, sample, or distribute food or beverages, including complimentary items, unless expressly authorized in writing by Festival management.

 

Sound - Amplified sound, music, microphones, or other audio equipment may only be used with prior Festival approval and must remain at an acceptable volume that does not interfere with nearby participants or Festival programming.

 
9. FORCE MAJEURE / EVENT INTERRUPTION
The Festival shall not be responsible for failure or delay in performance resulting from circumstances beyond its reasonable control, including severe weather, natural disasters, emergencies, governmental actions, terrorism, pandemics, civil disturbances, utility failures, or other unforeseen events.

 

Participant acknowledges that the Festival is not responsible for reimbursement of travel expenses, staffing costs, promotional materials, inventory, equipment, lodging, or lost revenue resulting from cancellation, postponement, interruption, or modification of the Festival.

 
10. APPLICATION & OPERATIONAL REQUIREMENTS
Participant agrees to comply with all operational requirements contained within the Mobile Marketing Application, Participant Handbook, load-in and load-out instructions, and other Festival communications.

 

If any conflict exists between these Terms & Conditions and other Festival materials, these Terms & Conditions shall govern.

 
By submitting this application, the Participant acknowledges that they have read, understand, and agree to these Terms & Conditions.

Submission of an application does not guarantee acceptance or assignment of space.

 

The individual submitting this application certifies that they are authorized to act on behalf of the organization and to bind the organization to these Terms & Conditions.
