Foodees Fest is excited to return to Pensacola for its third year, bringing another full weekend of food, shopping, entertainment, and community engagement.
As an established event in the Pensacola market, Foodees Fest provides local and regional businesses with the opportunity to connect directly with attendees in a lively, high-traffic festival environment.
Our B2C Business Activation Spaces are designed for businesses and organizations seeking more than simple booth visibility. These spaces allow your team to engage with consumers face-to-face, introduce your products or services, generate qualified leads, build brand recognition, and create lasting connections within the Pensacola community.
A successful activation should be interactive, professional, and designed to encourage meaningful attendee participation.

This Is Not a Craft or Retail Vendor Application
B2C Business Activation Spaces are reserved exclusively for businesses and organizations participating for advertising, marketing, education, outreach, lead generation, and promotional purposes.
These spaces may not be used as traditional craft, artisan, resale, food, or merchandise booths.
The following are not permitted unless specifically approved in writing:
Handcrafted or artisan retail sales
Traditional craft vendor setups
Resale-style merchandise booths
Food or beverage sales
Retail sales unrelated to the approved activation
Activities not disclosed in the original application
Applications are reviewed to ensure that each proposed setup aligns with the purpose and standards of the B2C Business Activation category.
What Your Activation Includes
Approved businesses receive an on-site activation space for direct attendee engagement throughout the full three-day Pensacola Foodees Fest.
This opportunity provides your business with a physical presence inside the event and the ability to interact directly with festival attendees.
This is a business activation opportunity and is not a sponsorship package.
Standard B2C Activation participation does not include or guarantee:
Website logo placement
Social media promotion
Press release inclusion
Category exclusivity
Stage mentions
Digital advertising
Email marketing inclusion
Placement in official event graphics
Businesses seeking expanded promotional exposure, digital visibility, or category exclusivity may inquire separately about available sponsorship opportunities.
Create a Professional Brand Experience
All activation spaces must be clean, professional, welcoming, and representative of the participating business.
Businesses are responsible for providing their complete setup, including:
Straight-leg canopy tent
Tables and chairs
Professional signage
Branded displays
Promotional materials
Proper tent weights
Extension cords, if needed
Power equipment, if needed
Approved silent generator, if needed
Handwritten signage is not permitted.
All equipment, displays, games, signage, promotional materials, and team members must remain within the assigned activation space unless prior written approval has been granted.
Event Participation Requirements
All participating businesses must be fully self-sufficient.
Power is not provided
Water is not provided
Silent generators must measure 70 dB or below
Straight-leg canopy tents are required
Professional signage is required
Tent weights are required
All equipment must remain within the assigned space
The activation area must remain clean and professional
Participation is required for all three festival days
The business must remain open and staffed during all published event hours
Businesses may not leave their activation unattended for extended periods.
Load-In and Setup
Load-in for the Pensacola event will take place on Thursday and Friday.
Assigned load-in windows, arrival instructions, parking information, booth locations, layouts, permit requirements, inspection information, and final operational updates will be provided before the event.
Businesses must arrive during their assigned load-in window and must be completely set up no later than one hour before the festival opens.
Late arrival may result in the business being denied access to the event without refund.
Required Communication
The Foodees Vendors & Sponsors Facebook Group is the primary communication channel for all approved participants.
Joining and remaining active in the group is mandatory.
Important information, including maps, load-in instructions, weather updates, operational changes, and event announcements, will be posted in the group.
Foodees Fest does not guarantee that event information will be distributed individually to each participating business.
Event Hours
Friday: 1:00 PM–7:00 PM
Saturday: 11:00 AM–7:00 PM
Sunday: 11:00 AM–7:00 PM
All participating businesses must remain open, staffed, and operational for the full published event hours.
Late Arrival, Early Breakdown, and No-Show Policy
Late arrivals, unattended spaces, and early breakdowns disrupt event operations and negatively affect attendees and surrounding participants.
Businesses arriving after their assigned load-in window or after the required setup deadline may be denied entry without refund.
Early breakdown is not permitted.
No-shows, unauthorized early departures, failure to remain operational, or failure to comply with event requirements may result in:
Immediate removal from the event
Forfeiture of all activation fees and deposits
Loss of eligibility for future Foodees Fest events
Removal from future Foodees Fest opportunities
LATE ARRIVALS MAY BE TURNED AWAY WITHOUT REFUND.
NO-SHOW PARTICIPANTS WILL FORFEIT ALL FEES AND MAY BE PROHIBITED FROM PARTICIPATING IN FUTURE FOODEES FEST EVENTS.

Submission of an application does not guarantee approval.
Each application is reviewed based on:
Business type
Proposed activation concept
Level of attendee engagement
Professional presentation
Category availability
Space availability
Overall alignment with the event
Potential conflicts with approved vendors, sponsors, or partners
Applicants should provide a detailed and accurate description of:
The business or organization
Products or services being promoted
Planned booth setup
Interactive activities
Giveaways or promotional items
Demonstrations
Lead-generation methods
Any equipment being used
Any activity requiring additional approval
Foodees Fest reserves the right to request additional information, photographs, renderings, or setup details before approving an application.

TERMS & CONDITIONS
By submitting this application and/or completing payment, you acknowledge and agree to the following:
Approval & Participation
Submission of an application does not guarantee acceptance. FoodeesFest reserves the right to approve, deny, or remove any vendor at its sole discretion. Vendor placement is determined by FoodeesFest and is final.
Approved Items
Vendors may sell only items submitted and approved in their application. Unauthorized items, substitutions, or additions are prohibited and may result in immediate removal without refund.
Pricing & Signage
All prices must be clearly displayed using professionally printed signage. Handwritten signs are not permitted. Prices must be submitted for approval in advance. Price gouging or inconsistent pricing will result in removal and permanent disqualification from future FoodeesFest events.
Waste Management & Cleanup
Vendors must leave their space in the same condition as it was upon arrival. All trash and food waste must be disposed of in designated dumpsters, cardboard must be broken down, and no grease, oil, food residue, sauces, or liquids may be dumped, rinsed, spilled, or poured onto the ground, pavement, grass, drains, or surrounding areas.
Grease mats or containment trays are required for all food vendors. Any spills or stains must be cleaned immediately using proper absorbents. A Foodees staff member must inspect and sign off on your space Sunday night prior to departure.
Failure to comply, including grease stains, food or liquid spillage, trash left behind, or improper disposal, will result in forfeiture of your deposit and may result in additional remediation fees exceeding $500 based on cleanup costs, venue charges, and documented damages.
Deposits
A cash-only deposit is required at check-in:
• $50 for artisans and crafters
Deposits are refundable only if the vendor:
• Remains onsite for the full event
• Properly cleans their space
• Complies with all rules and protocols
Any vendor who leaves early, no-shows, or violates event rules will forfeit their deposit.
Load-In, Attendance & Early Exit
Vendors must arrive and set up during assigned load-in times. Late arrivals may be turned away without refund. Vendors must remain onsite for the full event duration. Early exit forfeits deposit and future booking eligibility.
Fees, Taxes & Processing
Vendor invoices include the vendor fee, applicable sales tax, and processing fees. All fees are non-refundable unless FoodeesFest cancels the event.
Weather, Rescheduling & Venue Changes
Events are rain or shine. Reschedules are not cancellations. Venue, layout, or operational changes may occur for safety or logistical reasons and are not grounds for refund.
Chargebacks
Vendors agree not to initiate chargebacks or payment disputes. Any chargeback will result in permanent removal from all FoodeesFest events.
Licensing, Permits & Compliance
Vendors are solely responsible for obtaining and maintaining all required licenses, permits, health certificates, and insurance. All required documentation must be displayed onsite. Vendors must comply with all city, county, and state regulations.
Insurance Requirement
Vendors must carry general liability insurance with a minimum of $1,000,000 per occurrence and list Foodees, LLC as additionally insured. Insurance may be purchased through Eventeny’s insurance partner after approval.
Media Release
Vendors grant FoodeesFest permission to use photos, video, and brand likeness for marketing purposes. All media captured at the event is the property of FoodeesFest.
Liability
Vendors assume all risk related to their property, staff, and operations. FoodeesFest is not responsible for lost, stolen, or damaged items.
Communication
Vendors consent to receive email and SMS communications related to the event. Opt-out instructions are provided with each message.
Vehicle Access
No vendor vehicles may enter or exit the event space until the crowd has fully cleared. Early exit will forfeit deposit and future booking eligibility.
Waste Management
• Dumpsters will be provided; use only designated containers.
• Break down all cardboard.
• Vendors are responsible for their own waste.
• A Foodees staff member must sign off on your space before you leave Sunday night.
