We are excited to showcase a carefully curated selection of local artisans, makers, small businesses, boutiques, specialty food vendors, and unique products in a warm, welcoming indoor marketplace. Our mission is to create a high-quality shopping experience that supports local businesses while offering customers a diverse selection of handcrafted, vintage-inspired, seasonal, and specialty goods.

Public Shopping Hours: 11:00 AM – 5:00 PM
Vendor Setup: Begins promptly at 9:00 AM
Vendor Breakdown: Begins after 5:00 PM only
Setup & Breakdown
Vendors should arrive during the designated setup window and unload efficiently. Once your vehicle has been unloaded, please move it to the designated vendor parking area before completing your booth setup.

All booths must be completely set up before the event opens to the public. For the safety and enjoyment of our shoppers, vendors are expected to remain open for the entire event. Early breakdown is not permitted without prior approval from event management.

Parking
Vendor parking will be available in designated areas as directed by event staff. Please reserve parking closest to the entrance for customers whenever possible.

Food Vendors
Food vendors are welcome and must comply with all applicable Connecticut and local health department regulations. Vendors are responsible for obtaining any required licenses, permits, and insurance and for following all food safety, sanitation, labeling, and allergen requirements.

Event Expectations
To ensure a successful event for everyone, vendors agree to:

Maintain a clean, organized, and professional booth.
Keep displays safe, secure, and within their assigned space.
Keep aisles, exits, and emergency access clear at all times.
Be courteous and respectful to customers, fellow vendors, venue staff, and event organizers.
Keep booths staffed throughout the duration of the event.
Follow all event rules, venue policies, and health and safety guidelines.
Application Process
Submitting an application does not guarantee acceptance. Applications are reviewed based on product quality, category balance, originality, and overall fit for the event. Approved vendors will receive a confirmation email with payment instructions and additional event details. Booth space is secured only after full payment has been received.

Vendor Terms & Conditions
Please read the following Terms & Conditions carefully before submitting your application. By applying to participate in Rustic Roots Market, you agree to comply with all event rules, policies, and procedures established by Ethereal Elements CT LLC.

1. Vendor Acceptance
Submission of an application does not guarantee acceptance.
Vendors are selected based on product quality, originality, category balance, and available space.
Rustic Roots Market strives to provide shoppers with a diverse marketplace; therefore, duplicate vendors or similar product categories may be limited.
Event management reserves the right to approve or deny any application at its sole discretion.
2. Vendor Fees & Payment
Booth reservations are confirmed only after full payment has been received.
Vendor fees are non-refundable unless the event is canceled by the organizer.
Vendor spaces may not be transferred, sold, or assigned without written approval from Ethereal Elements CT LLC.
Failure to pay by the specified deadline may result in cancellation of your reservation.
3. Booth Assignment
Booth locations are assigned by event management.
Requests for specific booth locations will be considered but cannot be guaranteed.
Vendors must remain within their assigned booth space and may not extend displays into neighboring booths or public walkways.
4. Products & Merchandise
Vendors may sell only the products or services listed and approved on their application.
Handmade, artisan, boutique, rustic, farmhouse, vintage-inspired, seasonal, specialty food, and small business products are encouraged.
Counterfeit, illegal, hazardous, offensive, or prohibited merchandise is not permitted.
Event management reserves the right to require the removal of any item considered inappropriate or inconsistent with the event.
5. Setup & Breakdown
Vendor setup begins promptly at 9:00 AM.
All booths must be fully set up before the event opens at 11:00 AM.
Vendors agree to remain open and staffed until 5:00 PM.
Early breakdown is prohibited unless approved by event management due to an emergency.
Vendors are responsible for leaving their booth area clean and free of trash before departing.
6. Parking
Vendors must unload promptly and relocate their vehicles to the designated vendor parking area before completing setup.
Customer parking areas should remain available for shoppers whenever possible.
7. Food Vendors
Food vendors must possess all required permits, licenses, and approvals.
Vendors are responsible for complying with all Connecticut and local health department regulations, including food handling, sanitation, temperature control, labeling, and allergen disclosure.
Rustic Roots Market is not responsible for ensuring vendor compliance with food safety laws.
8. Health & Safety
Vendors must maintain a safe, clean, and organized booth throughout the event.
Displays must be stable and secure.
Electrical cords must be properly secured to eliminate trip hazards.
Aisles, exits, and emergency access points must remain unobstructed at all times.
Open flames, hazardous materials, or unsafe equipment are prohibited unless specifically approved by the venue and event organizer.
9. Professional Conduct
Vendors are expected to:

Conduct themselves in a courteous and professional manner.
Treat customers, fellow vendors, volunteers, venue staff, and event organizers with respect.
Refrain from aggressive sales tactics, disruptive behavior, harassment, discrimination, or excessive noise.
Keep their booth staffed and actively engaged with customers throughout the event.
10. Insurance & Responsibility
Vendors are solely responsible for their merchandise, displays, equipment, cash, and personal belongings.
Vendors are responsible for collecting and remitting all applicable sales taxes and complying with all business licensing requirements.
Vendors are encouraged to maintain their own business liability and property insurance.
11. Cancellation & Force Majeure
If Rustic Roots Market is postponed, relocated, or canceled due to severe weather, natural disasters, venue issues, government action, public safety concerns, or other circumstances beyond the organizer's reasonable control, Ethereal Elements CT LLC reserves the right to reschedule the event or determine whether refunds or event credits will be issued.

The organizer is not responsible for travel expenses, lodging, lost sales, inventory costs, or any other expenses incurred by vendors.

12. Photography & Promotion
By participating in Rustic Roots Market, vendors grant Ethereal Elements CT LLC permission to photograph and record their booth, merchandise, business name, logo, employees, and representatives during the event.

These images and recordings may be used in advertising, social media, websites, printed materials, news releases, and future promotional campaigns without compensation.

13. Event Management
Event management reserves the right to:

Modify booth assignments when necessary.
Enforce all event rules and venue policies.
Remove any vendor whose conduct, products, or booth creates a safety concern, disrupts the event, or violates these Terms & Conditions. Removal may occur without refund.
14. Agreement
By submitting this application, I certify that all information provided is accurate and complete. I acknowledge that I have read, understand, and agree to abide by these Terms & Conditions, all venue regulations, health and safety requirements, and any additional instructions provided by Ethereal Elements CT LLC before or during the event.

Failure to comply with these Terms & Conditions may result in removal from the event without refund and may affect eligibility for participation in future events organized by Ethereal Elements CT LLC.
