Sponsor Vendor Application (Commercial Businesses/Brick and Mortar/Lead Gen. etc.)

This application is intended for businesses and organizations that wish to promote their services, products, or brand while supporting a community event. Sponsor Vendors provide valuable support that helps make this event possible while gaining direct exposure to hundreds of local attendees.

The Moose Lodge 1406 Art & Craft Fair will take place on Saturday, October 24, from 10:00 AM – 4:00 PM and will feature talented artists, handmade crafters, specialty vendors, delicious food, and family-friendly fun for all ages.

Sponsor Vendor spaces are ideal for:

Local businesses
Home service companies
Realtors
Insurance agencies
Financial institutions
Health & wellness providers
Non-profit organizations
Community organizations
Businesses promoting products or services
Sponsor Vendors are encouraged to create an engaging booth experience through demonstrations, giveaways, interactive displays, games, raffles, or informational materials.

Please Note:

Sponsor Vendor spaces are intended primarily for businesses promoting products or services rather than selling handcrafted merchandise.
Booth spaces are limited and applications are reviewed prior to acceptance.
Setup instructions, arrival times, and event information will be provided upon acceptance.

By submitting this application, you acknowledge that you have read, understand, and agree to the following terms and conditions.

Sponsor Vendor Eligibility
Sponsor Vendor spaces are intended for businesses, organizations, and service providers promoting their products, services, or community involvement.
Businesses selling handcrafted or artisan products should apply through the Art & Craft Vendor Application.
Submission of an application does not guarantee acceptance.
The event organizer reserves the right to accept or decline any application to maintain a balanced event.
Booth Space
Standard Sponsor Vendor spaces are 10' x 10' unless otherwise specified.
Booth assignments are determined by the event organizer and are final.
Sponsor Vendors must remain within the boundaries of their assigned booth space.
Setup & Breakdown
Vendor check-in and setup instructions will be emailed prior to the event.
All Sponsor Vendors must be fully set up by 9:30 AM.
Vehicles must be removed from the vendor area immediately after unloading.
Sponsor Vendors are expected to remain open until the event concludes at 4:00 PM.
Early breakdown is not permitted without approval from the event organizer.
Booth Requirements
Sponsor Vendors are responsible for providing:

Tent (if outdoors)
Tables and chairs
Displays, banners, and promotional materials
Extension cords or power supplies if needed
Adequate tent weights (minimum 40 pounds per tent leg)
Tent stakes are not permitted unless specifically approved by the venue.

Marketing & Promotions
Sponsor Vendors are encouraged to engage attendees through:

Product demonstrations
Giveaways or promotional items
Raffles or prize drawings (in accordance with applicable laws)
Interactive displays
Informational materials
All activities must remain within the assigned booth space and must not interfere with neighboring vendors.

Product & Service Guidelines
Sponsor Vendors may only promote the business or services approved through their application.
No counterfeit, illegal, offensive, or unsafe products or materials are permitted.
Food or beverage samples may only be distributed if all applicable health regulations are met and prior approval has been obtained.
Amplified music, microphones, or excessive noise are not permitted without prior approval.
Insurance & Liability
Participation is at the Sponsor Vendor's own risk.

The Moose Lodge, event organizers, volunteers, sponsors, and affiliates are not responsible for lost, stolen, or damaged property, equipment, merchandise, vehicles, personal belongings, or injuries occurring before, during, or after the event.

Sponsor Vendors are encouraged to carry their own liability insurance.

Weather Policy
This is a rain or shine event.

The event will only be canceled or delayed due to severe weather or other unsafe conditions as determined by the event organizer. No refunds will be issued due to weather unless the event is canceled by the organizer.

Conduct
Sponsor Vendors are expected to conduct themselves professionally and respectfully at all times.

The event organizer reserves the right to remove any Sponsor Vendor without refund for:

Unsafe or disruptive behavior
Harassment of attendees or other vendors
Selling or promoting unapproved products or services
Failure to follow event rules or staff instructions
Photography
By participating, Sponsor Vendors grant permission for photographs and videos of their booth, displays, logo, and representatives to be used by the event organizer for future marketing and promotional purposes without compensation.

Cancellations & Refunds
Sponsor Vendor fees are non-refundable once accepted unless the event is canceled by the organizer.

Agreement
Submission of this application constitutes agreement to these Terms & Conditions. Failure to comply may result in removal from the event without refund.
