Welcome to the vendor application for the 4th Annual Hellooo Fall Vendor Event!

We are so excited you are here. This event has grown every single year because of the incredible vendors who show up, set up, and bring their best. We would love for you to be part of it.

What to expect as a Hellooo vendor:
You are not just getting a booth fee. You are getting two full days of foot traffic from a community that shows up to shop. We do our best to curate a variety of vendors and make every effort to ensure each booth is offering something unique. That said, what looks different on paper does not always look different in person, and we cannot make guarantees about category exclusivity. What we can promise is that we take it seriously and do our best to build a lineup that gives everyone a fair shot.

What is included:
One 10x10 indoor space. That's it. Vendors are responsible for bringing their own tables, chairs, displays, and setup materials. Come ready to make your space work for you.

Load in and parking:
There is one door in and out of the Igloo. Please unload quickly and efficiently during setup to keep the flow moving for your fellow vendors. The front two rows of the parking lot are reserved for food trucks. Once you are unloaded and set up, please move your vehicle to the dirt lot on the right side of the building when facing the entrance. This keeps the main lot open for customers during event hours. Please plan accordingly and do not leave your vehicle in the front lot once the event begins.

Health and safety:
All vendors are expected to independently comply with applicable health department regulations, food service requirements, and safety guidelines for their products and services. It is your responsibility as a vendor to ensure you are properly licensed, permitted, and operating in accordance with all local and state requirements. The event organizer is not responsible for verifying compliance or licensure. Vendors found to be operating outside of legal requirements may be asked to cease operations without refund.

A few things before you apply:
Spots are limited and approved on a rolling basis, so the sooner you apply the better. Early applicants also get priority consideration for booth placement requests. Applications without complete information, including your Tax ID and product details, will be denied. Please read each question carefully.

Terms and Conditions — 4th Annual Hellooo Fall Vendor Event

By submitting an application to the Hellooo Fall Vendor Event you agree to the following terms and conditions in full. Please read carefully before applying.

Application and approval
Submitting an application does not guarantee a vendor spot. All applications are reviewed and approved at the sole discretion of the event organizer. You will be notified of your application status via email through the Eventeny platform. Approval is based on a rolling basis and early applicants receive priority consideration for booth placement.

Payment
Upon approval, an invoice will be issued through Eventeny. Payment is due in full within 7 days of your approval notification. Failure to pay within that window may result in your spot being released to another applicant without notice. Booth fees are $160 per 10x10 space.

Cancellation and refunds
All booth fees are non-refundable. If you are unable to attend, you may transfer your spot to another vendor of your choosing, however that transfer must be approved by the event organizer before it is considered valid. Unapproved transfers will not be honored. No partial refunds will be issued for late arrivals, early departures, or low sales.

Event cancellation by organizer
In the event that the Hellooo Fall Vendor Event is cancelled by the organizer due to circumstances beyond our control including but not limited to severe weather, venue closure, or other unforeseen events, vendors will receive a credit in the amount of their booth fee to be applied toward a future Hellooo event. No cash refunds will be issued in the event of an organizer-initiated cancellation.

Booth space
Each vendor is provided one 10x10 indoor space. Tables, chairs, displays, and all setup materials are the responsibility of the vendor. Vendors may not exceed their assigned space without prior approval. Booth assignments are made by the organizer and are final. Placement requests are considered but not guaranteed.

Setup and teardown
Vendors must be fully set up and ready to open by 9:45am each day. Booths may not be torn down before 4:00pm. Vendors may not move product in or out of the building during open event hours. Early teardown without organizer approval may result in exclusion from future events.

Load in and parking
There is one entrance and exit at The Igloo Rec Center. Vendors must unload promptly during setup to allow others access. The front two rows of the parking lot are reserved for food trucks. All other vendors must move their vehicles to the dirt lot on the right side of the building when facing the entrance once they are unloaded. Vendor vehicles left in the main lot during event hours may be asked to move immediately.

Health, safety, and licensing
All vendors are solely responsible for complying with applicable local and state health department regulations, food service requirements, safety standards, and any licensing or permitting requirements for their products or services. The event organizer does not verify vendor compliance or licensure. Vendors found to be operating outside of legal requirements may be asked to cease operations immediately without refund.

Tax compliance
Vendors are required to provide a valid Tax ID or SSN at the time of application. Vendors must complete all required tax forms in full at the conclusion of the event. Failure to complete tax documentation may result in exclusion from future Hellooo events.

Product representation
Vendors must accurately represent all products and services they intend to sell at the time of application. Selling products or services not listed in your application without prior organizer approval is not permitted and may result in removal from the event without refund.

Conduct
Vendors are expected to conduct themselves professionally and respectfully toward other vendors, event staff, and attendees at all times. The event organizer reserves the right to remove any vendor from the event without refund for conduct deemed disruptive, unsafe, or inappropriate.

Trash and cleanup
Vendors are responsible for removing all trash from their booth space and the surrounding area. Cardboard boxes must be broken down and taken to the dumpster. Spaces must be left clean at the conclusion of the event.

Liability
The vendor hereby releases and holds harmless Cheeky Doodles Facepainting and Events and its organizers from any and all claims, damages, losses, or liability arising from participation in the Hellooo Fall Vendor Event including but not limited to property damage, theft, personal injury, or loss of income. The event organizer does not carry insurance on behalf of vendors. Vendors participate at their own risk.

Agreement
By submitting your application you acknowledge that you have read, understood, and agree to all terms and conditions outlined above.
