Event Dates & Participation Requirements
The Halfway to Halloween Expo will take place on Friday, May 7, 2027, and Saturday, May 8, 2027.

Participation for BOTH Friday and Saturday is required. 

Halfway To Halloween is an immersive experience including vendors, food trucks, performances, hearse show, live animals and much more!!!!

Halfway to Halloween Expo is looking for engaging, hands-on experiences that encourage guests to participate, create, play, or explore. Interactive activities help make the Expo an immersive event and may include games, make-and-takes, escape experiences, photo opportunities, demonstrations, crafts, hands-on workshops, interactive exhibits, or other unique attractions that fit the Halloween, horror, spooky, or fantasy theme of the event.

As part of your application, please provide a detailed description of your activity, including how guests will participate, the amount of space required, any power or equipment needs, staffing requirements, and the anticipated duration of the experience.

If your activity requires an additional fee from guests, please clearly indicate the participation cost and what is included with that fee. Activities may be free to attendees or offered as an optional paid experience. Pricing information helps event organizers ensure a balanced mix of attractions and allows us to accurately promote your activity before the event.

Applications are reviewed based on originality, guest engagement, overall presentation, thematic fit, space requirements, and how the activity contributes to the overall Halfway to Halloween Expo experience.

Halfway to Halloween Expo Vendor Agreement

This Vendor Agreement (“Agreement”) is entered into between Halfway to Halloween Expo (“Event Organizers”) and the participating vendor (“Vendor”). Submission of payment and participation in the event constitutes agreement to all rules, regulations, and terms listed below.

Event Dates & Participation Requirements
The Halfway to Halloween Expo will take place on Friday, May 7, 2027, and Saturday, May 8, 2027.

Participation for BOTH Friday and Saturday is required. Vendors are required to remain fully set up, staffed, and ready for sales for the duration of the show each day. Vendors may not begin packing up prior to event closing.

Packing up or leaving before the event ends will disqualify the Vendor from participating in future Halfway to Halloween events.

Vendor Set-Up Schedule
Set-Up Times
Thursday, May 6, 2027: 11:00 AM – 9:00 PM
Friday, May 7, 2027: 11:00 AM – 5:00 PM
All vendors MUST be fully set up and ready for business by 6:00 PM on Friday.

Arrival later than one (1) hour prior to show start on Friday will result in forfeiture of the Vendor’s spot with no refund issued.

Vendor check-in will be located at the ticket booth. ALL vendors MUST check in before setting up.

Booth Placement & Assignments
Booth and spot assignments are NOT guaranteed and may be moved, adjusted, or changed at the discretion of Event Organizers or as needed for event operations and safety.

Vendors are expected to maintain a clean, professional, and organized booth space throughout the duration of the event.

Excessive trash or abandoned materials left behind at a Vendor’s booth space will result in a cleaning fee equal to the amount of the booth fee.

Vendor Parking Rules
Vendor parking on Friday and Saturday will be located in the grass lot between Building A and Ann Arbor-Saline Road.

All vendor vehicles MUST be parked in the designated vendor parking area:

By 5:00 PM on Friday
By 10:00 AM on Saturday
Any vendor arriving after these times will be required to park in the general parking lot. No exceptions.

Trailer parking and accessible parking assignments will be issued during vendor check-in.

Parking passes will be distributed at check-in and MUST be visibly displayed in the windshield of the vendor vehicle at all times.

Tow trucks will be on-site and unauthorized vehicles may be towed at the owner’s expense.

Merchandise & Sales Policies
At least 75% of all items offered for sale must be horror, Halloween, spooky, gothic, paranormal, fantasy, or otherwise theme-related.

The following are NOT permitted:

MLM companies
Direct sales companies
Unauthorized bootleg or counterfeit merchandise
Illegal or prohibited items
Any weapons or dangerous items sold must either:

Remain secured at the vendor booth until end-of-day pickup, OR
Be promptly escorted to the attendee’s vehicle after purchase.
Event Organizers reserve the right to determine what constitutes an unsafe or prohibited item.

Conduct & Safety Policies
Treat attendees, staff, volunteers, performers, and fellow vendors with kindness and respect. Protect and respect the horror community.

The following behaviors will NOT be tolerated:

Harassment
Threatening behavior
Unsafe conduct
Illegal activity
Intoxication
Conduct damaging to the event atmosphere
Smoking of ANY kind, including vaping, inside the building will result in immediate removal from the event.

Alcohol is not currently permitted at Halfway to Halloween Expo. Intoxication will not be tolerated.

Open flames, hazardous materials, and unsafe props are prohibited without prior written approval from Halfway to Halloween coordinators.

Event Organizers reserve the right to remove any person(s) who fail to comply with this Agreement or who engage in unsafe, disruptive, or inappropriate conduct.

No refunds will be issued for removal due to misconduct or violation of this Agreement.

Rules and policies may be updated as necessary for venue operations, safety requirements, or event needs.

Liability & Responsibility
Vendors are solely responsible for:

Their merchandise
Booth setup
Staff and helpers
Damage caused by products, displays, setup, or personnel
Halfway to Halloween Expo, its organizers, venue owners, staff, volunteers, and affiliates are NOT responsible for lost, stolen, or damaged merchandise, equipment, displays, vehicles, trailers, or personal property.

Halfway to Halloween staff will be present on location 24 hours a day during set-up and throughout the event; however, security of merchandise remains the Vendor’s responsibility.

Weather Policy
Halfway to Halloween Expo will NOT cancel due to weather conditions. The event will proceed rain or shine. Vendors are expected to plan accordingly.

Internet & Connectivity
WiFi is provided at no additional charge; however, service may be unreliable or inconsistent due to the rural location of the venue.

Vendors are encouraged to prepare backup payment options and offline sales methods.

Photography, Video & Media Release
Media representatives, photographers, and videographers may be present during setup and event hours.

By participating in Halfway to Halloween Expo, Vendors grant permission for:

Photography and video of booth spaces
Photography and video of products and displays
Use of Vendor likeness and branding in promotional materials
Halfway to Halloween Expo reserves the right to use any captured media, photographs, or video for promotional, advertising, archival, or social media purposes without compensation.

Agreement & Acceptance
By submitting payment and/or participating in Halfway to Halloween Expo, the Vendor acknowledges that they have read, understood, and agreed to all terms and conditions contained within this Vendor Agreement.
