The Great Northern Sauna Village
Friday, January 29 – Sunday, January 31, 2027 | 10:00 a.m. – 10:00 p.m.
The Great Northern Sauna Village is open all three days from 10:00 a.m. to 10:00 p.m. Sessions are included with festival passes; vendor payouts are calculated per person, per session, and disbursed after the event.
How scheduling works: Prime session slots are released first for advance registration. As those fill, additional slots are opened. Remaining availability can be purchased on-site throughout the day.

Session Formats
- Open Steam — 60 minutes: Available throughout operating hours. Slots are released in waves, beginning with peak windows. Vendors can expect up to 24 Open Steam sessions across the festival.
- Guided Sessions — 90 minutes: Limited slots per day. Prime time blocks open for advance registration first, with additional availability released as demand fills. Vendors may staff their own guide or request TGN scheduling support (the guide cost will be deducted from the payout if TGN-staffed).

Special Programming
In addition to Open Steam and Guided Sessions, Sauna Village features dedicated programming that reflects the full spirit of The Great Northern. These sessions are either curated by TGN or proposed by vendors during the application process.
- BIPOC Sauna: A dedicated session centering Black, Indigenous, and people of color in the sauna tradition. These sessions create intentional space for community, rest, and cultural exchange. Vendors with experience hosting affinity-based programming are encouraged to propose sessions of this kind.
- Sauna Rave: Where the heat meets the beat. Sauna Raves bring music, movement, and communal energy into the sauna experience — think curated sound, atmosphere, and a little controlled chaos in the best way. Vendors interested in hosting or collaborating on Sauna Rave programming are welcome to propose a concept.
- Family Sauna: Designed for families with children, these sessions offer a welcoming, lower-temperature introduction to sauna culture. Family Saunas prioritize comfort, curiosity, and connection — making the tradition accessible to the next generation of winter enthusiasts.
Vendors interested in leading special programming sessions should indicate their interest and describe their concept in the application. TGN will review proposals and confirm placements as the schedule is finalized. Special programming sessions carry an enhanced payout to reflect the added preparation and intentionality involved.
Each session includes a 30-minute turnover window.

Vendor Fees
Vendor fees cover the full logistics and operations of Sauna Village. A flat fee is due upon acceptance; a 15% revenue share is deducted from session payouts after the event.

Payouts are calculated at $35 per person, per session. The 15% revenue share is deducted from gross session earnings after the event.

Terms & Conditions
Thank you for your interest in becoming a vendor at The Great Northern Winter Festival. Please review the following terms and conditions carefully. By submitting your application, you agree to comply with the guidelines outlined below.
Application & Approval Process
- Submitting an application does not guarantee participation in the festival.
- While you may be asked to provide payment information, no payment will be processed unless your application is approved.
- Upon approval, you will receive an invoice for the vendor fee. Vendor fees are non-refundable, regardless of cancellation, withdrawal, or weather-related disruption.
Zero-Waste Commitment
The Great Northern Winter Festival is committed to being a zero-waste event, and all vendors are expected to actively support this goal. By participating, you agree to:
- Use only compostable, recyclable, or reusable packaging and service ware. All single-use items must be BPI-certified compostable or locally recyclable.
- Eliminate Styrofoam, plastic bags, plastic straws, and other non-recyclable plastics from your operations.
- Properly sort waste using the provided clearly labeled compost, recycling, and landfill bins.
- Ensure your staff are trained in proper waste diversion and materials handling.
Vendors found to be in violation of these sustainability requirements may be removed from the festival without refund and may be prohibited from future participation.
Permits, Licensing & Compliance
- Vendors are responsible for obtaining all required permits, licenses, and health certificates as applicable.
- All food vendors must comply with local, state, and federal food safety regulations and be prepared for potential health inspections.
Insurance & Liability
- Vendors may be required to provide proof of general liability insurance.
- The Great Northern Winter Festival, its producers, partners, and affiliated entities are not responsible for loss, damage, theft, or injury incurred before, during, or after the event.
Setup, Takedown & Hours of Operation
- Vendors must adhere to designated setup and takedown schedules shared in advance.
- Booths must be fully set up before opening and remain operational during official festival hours.
- Late setup or early breakdown may result in removal from the event and disqualification from future opportunities.
Staffing & Operations
- The Great Northern will manage check-in, check-out, lockers, and dressing rooms. Volunteers will be on-hand to assist with turnover tasks
- Sauna vendors are expected to staff their own sauna units. Sauna units must be staffed during all hours of operation.
Booth Conduct & Appearance
- Vendor spaces must be clean, professional, and visually aligned with the spirit of the festival.
- Inappropriate behavior, offensive content, or disruption of any kind will not be tolerated and may result in immediate removal without refund.
Electricity & Equipment
- Access to outlets is limited and must be requested in advance.
- Vendors are responsible for their own equipment, including tents, tables, lighting, cords, signage, and any other booth infrastructure.
Weather & Force Majeure
- The Great Northern Winter Festival is a rain, snow, or shine event.
- In cases of extreme weather or other force majeure events, the festival reserves the right to cancel, delay, or adjust programming without issuing refunds.
