About the application

Hispanic League is producing, promoting, and presenting FIESTA 2026 in the streets of downtown Winston-Salem, North Carolina, on September 19, 2026.

VENDORS & EXHIBITORS may begin setting up their assigned booth space beginning at 8:00 a.m. on the date of the Event and must remove all vehicles from the Fiesta site by 10:00 a.m. Further set-up and access instructions will be provided by email prior to the event.

VENDORS & EXHIBITORS shall have its booth open and available to the public by 11:00 a.m. on September 19, 2026, and shall remain open and available during the operating hours of the Event.

VENDORS & EXHIBITORS shall not dismantle its booth or exhibit, or pack up displays or merchandise, prior to the official closing time of the Event at 6:00 p.m., unless express permission has been granted by the Logistics Coordinator appointed by FIESTA. VENDORS & EXHIBITORS is responsible for providing its own tent, tables, and chairs. A single booth space requires one (1) tent, one (1) 6-foot table, and two (2) chairs. A double booth space requires one (1) tent, two (2) 6-foot tables, and four (4) chairs. These items will NOT be provided by the Hispanic League. Booth spaces will be pre-assigned and clearly marked prior to the Event.

VENDORS & EXHIBITORS POLICY: Please be aware of the following conditions. Failure to adhere to these conditions may result in the VENDORS & EXHIBITORS being asked to leave FIESTA.

- VENDORS & EXHIBITORS cannot sell nor distribute free of charge at Fiesta 2026, any of the following items: water, soft drinks or any type of beverage WITHOUT PERMISSION OF HISPANIC LEAGUE.

- VENDORS & EXHIBITORS are NOT AUTHORIZED to distribute any literature or other materials outside of their assigned booth area (no more than 10’ from actual booth).

 - VENDORS & EXHIBITORS is responsible for the secure and safe set-up of the booth, including the Tent. Tents must be weighted down (use weight anchors) and secured per regulatory authority instructions.

- Tables and chairs must remain within the assigned booth space at all times. Please avoid blocking pedestrian traffic or fire/escape clearance. - Sales of items may be made only at the discretion of the Hispanic League.

- VENDORS & EXHIBITORS will leave assigned booth areas clean and undamaged and must dispose of garbage properly and not leave garbage on the street.

- The Hispanic League, its Fiesta 2026 organizers and sponsors assume no responsibility for theft, loss or damage to any of the VENDOR & EXHIBITOR'S property.

Join us for our Fiesta, a vibrant one-day festival in Downtown Winston-Salem that kicks off Hispanic Heritage Month. A beloved Triad tradition, Fiesta celebrates Hispanic and Latin culture with live music, authentic food, cultural performances, family activities, and community resources. What to expect Live music and dance: Regional bands, folkloric ballet, salsa, and reggaetón performances throughout the day. Food & vendors: Authentic Hispanic and Latin cuisine, artisan goods, and community business booths. Family fun: Interactive kids’ zone, cultural crafts, face painting, and educational activities for all ages. Community resources: Health screenings, educational outreach, and information from local service providers. Cultural spotlight: Storytelling, performances, and presentations that honor heritage and contributions to the Triad.

Terms & Conditions

Vendor & Exhibitor Terms and Conditions

Submission of Application
Submission of a Vendor or Exhibitor application constitutes a commitment to participate in FIESTA 2026 and acceptance of all terms, conditions, policies, and procedures established by the Hispanic League.

Payment Terms
Full payment must be received by the deadline established by the Hispanic League in order to guarantee participation and inclusion in promotional materials, event maps, and vendor listings, when applicable. Payments are non-refundable unless the Event is canceled by the Organizer.

Booth Space Assignment
Booth spaces will be assigned by the Hispanic League. Vendors and Exhibitors may not transfer, share, sublease, or exchange assigned spaces without prior written approval from the Organizer.

Setup and Breakdown
Vendors and Exhibitors agree to comply with all event instructions regarding setup, operational hours, vehicle access, parking, and breakdown procedures. Failure to comply may result in removal from the Event without refund.

Booth Operations and Conduct
All booths must maintain a professional, family-friendly, and culturally respectful environment throughout the Event. The Hispanic League reserves the right to require the removal of any materials, products, displays, signage, music, or activities deemed unsafe, inappropriate, offensive, disruptive, or inconsistent with the mission and values of FIESTA 2026.

Compliance with Laws and Permits
Vendors and Exhibitors are solely responsible for complying with all applicable federal, state, and local laws, regulations, permits, licenses, and safety requirements, including health department regulations and fire codes. Food vendors must obtain all required permits and approvals.

Electricity and Equipment
Any requests for electricity or special accommodations must be submitted in advance and are subject to availability. Vendors and Exhibitors are responsible for providing their own equipment, extension cords, tables, tents, displays, and other operational materials unless otherwise specified.

Liability and Insurance
Vendors and Exhibitors assume full responsibility for any loss, theft, damage, injury, or liability arising from participation in the Event. The Hispanic League, its officers, directors, employees, volunteers, sponsors, partners, and affiliates shall not be held liable for any claims, damages, losses, or expenses related to participation in FIESTA 2026. Participants are strongly encouraged to obtain appropriate liability insurance coverage.

Weather and Event Modifications
FIESTA 2026 is a rain-or-shine event. The Hispanic League reserves the right to modify the Event schedule, layout, location, programming, or operations due to weather conditions, safety concerns, governmental requirements, emergencies, or circumstances beyond its control.

Cancellation by Organizer
In the event the Event is canceled by the Hispanic League, refunds or credits may be issued at the sole discretion of the Organizer.

Indemnification
Vendors and Exhibitors agree to indemnify, defend, and hold harmless the Hispanic League, its officers, directors, employees, volunteers, and agents from and against any claims, liabilities, damages, costs, or expenses arising from participation in FIESTA 2026.

Acceptance of Terms
Participation in FIESTA 2026 constitutes acceptance of all terms and conditions outlined above.

Estrellas Zone $1,500.00 Non-refundable Listing as a supporter in the E-newsletter & Website. Recognition during the event and on the event literature & Map. Milton Rhodes Center Parking Lot Area next to the main stage. Booth Space (10 x 10 ft.).
Amigo Zone $700.00 Non-refundable Listing as a supporter in E-newsletter & Website Recognition Day of Event Literature & Map. Located inside the Milton Rhodes Center Parking Lot next to the Food Court. Single Booth Space (10 x 10 ft.)
Salud & Comunidad Zone (Non-profit) $200.00 Non-refundable Health and Community Services non-profit or for-profit organizations that provide services to the community. Single Booth Space (10 x 10 ft.) Late Payment Policy A 10% late fee will be applied to any payments received after September 1, 2026. To avoid additional charges and ensure inclusion in promotional materials and event recognition, all balances must be paid in full by the stated deadline.
