Applications are reviewed on a rolling basis and may close at any time once capacity is reached. This event books well in advance and space is extremely limited by both category and footprint size. Payment is due upon application and will be charged upon approval.
Foodees Fest is a large-scale, outdoor, multi-day festival built around food, culture, and small businesses that know how to show up and stand out. Vendors are selected based on product category, quality, presentation, professionalism, and event needs.
Admission is free!
This event will be held at Opry Mills Mall in Nashville, TN and is a first-time market for Foodees Fest. We are intentionally keeping categories limited and carefully curating the vendor lineup to create a strong experience for both attendees and participating vendors. Once a category is full, applications in that category will be closed.
Each event brings together vendors, including food trucks, tented food vendors, artisans, authors, and specialty crafters.
This application helps us understand your business, your offerings, and how you fit into the overall event. Submission does not guarantee acceptance. We curate carefully to protect vendor success and avoid oversaturation.
You must enter a method of payment for your application to be fully submitted. All spaces are first come, first served.

Vendors must apply under the category that accurately reflects their setup and what they sell.
Sponsors/Businesses: Please contact Booking@foodeesfest.com as sponsorship opportunities are handled separately and availability is extremely limited.
Event Expectations & Requirements
• Vendors must be fully self-sufficient
• Power and water are not provided
• Silent generators only (70 dB or lower)
• Straight-leg canopy tents only (white or professionally colored/branded) Tent Weights Required.
• Clean, professional setups are required
• Professional signage is required
• Beverage sales are limited and require prior approval
Insurance is required for all vendors.
You will need a general liability policy with Foodees, LLC listed as additionally insured. If needed, insurance can be purchased during the application and approval process.
Menu & Product Approval
All food vendors must submit a complete menu with their application.
Only approved items may be sold during the event. No menu changes will be permitted after approval.
Curated Experience
We intentionally limit categories to provide vendors with the strongest opportunity for success. Unique offerings, strong branding, professional presentation, and a high-quality customer experience are heavily considered during the review process.
Load-In, Event Info & Communication
All final details including:

• Layout maps
• Permits and inspections
• Event updates
will be shared exclusively inside the Foodees Vendors & Sponsors Facebook Group.
Load in for this event will be on Friday Morning Only- No thursday Load in.
Joining the group is required for participation.
This is where all official event information is posted. If it's not in the group, it's not official. When requesting access, all membership questions must be answered or approval will be denied.

All vendors are required to remain set up and operational for the duration of the event. Vendors may not depart early without direction from Foodees LLC staff. Deposits will not be returned without full three day participation.

Friday: 1:00 PM – 9:00 PM
Saturday: 11:00 AM – 9:00 PM
Sunday: 11:00 AM – 7:00 PM
Important Notes
• All vendors are expected to participate all three days
• Late arrivals, early breakdowns, and no-shows may result in removal without refund-Load in times will not be suggested, they are to be followed and are mandatory
• Failure to follow event policies may impact eligibility for future events
Opry Mills is one of the most visited destinations in Tennessee, drawing millions of visitors annually. As a first-time Foodees Fest market, we expect significant interest from both local residents and tourists. Vendors are encouraged to come fully stocked and prepared for a busy weekend.

TERMS & CONDITIONS
By submitting this application and/or completing payment, you acknowledge that you have read, understood, and agree to all terms and conditions set forth by Foodees, LLC.
Vendor Responsibility
You are responsible for joining the Foodees Vendors & Sponsors Facebook Group for all event updates, logistics, schedules, inspections, layouts, and required event information. You are also responsible for monitoring the group regularly, reaching out to the Foodees team with any questions, and ensuring you are fully compliant with all city, county, state, and federal requirements applicable to your business.
All terms outlined in this application and agreement must be read in full prior to submission. Submission of this application confirms that you understand and agree to abide by all terms established by Foodees, LLC.
Foodees, LLC operates rain or shine. Refunds are only issued if Foodees, LLC cancels an event in its entirety. A rescheduled event is not considered a cancellation. Transfers, credits, and rollovers are not permitted.
Please confirm that you are applying for the correct event location. All applications are event-specific.
If your application is not immediately approved, it may be placed on a waitlist based on category availability. Approval timing may vary, and applications may be approved and charged as space becomes available.
If you no longer wish to participate and have not yet been approved, it is your responsibility to withdraw your application. Applications that remain active may be approved and charged as availability changes. Foodees, LLC does not issue refunds for failure to withdraw an application.
Approval & Participation
Submission of an application does not guarantee acceptance.
Foodees, LLC reserves the right to approve, deny, waitlist, relocate, suspend, or remove any vendor at its sole discretion.
Vendor placement is determined exclusively by Foodees, LLC and is final.
All food trucks and food trailers must be fully self-sufficient, including power, water, wastewater containment, and waste management. All business operations must remain contained within the vendor's designated space.
Approved Items
Vendors may sell only items submitted and approved within their application.
Unauthorized items, substitutions, additions, or menu changes are prohibited and may result in immediate removal without refund.
This application does not grant exclusivity to any vendor category, food type, product, or item. Multiple vendors may be approved within similar categories.
Foodees, LLC carefully curates categories and expects vendors to adhere to the approved menu and product list submitted with their application.
Space sharing, booth splitting, subleasing, or assigning space to another business is strictly prohibited.
Pre-packaged food vendors, artisans, crafters, authors, and retail vendors may not sell beverages unless specifically approved in writing by Foodees, LLC.
Pricing & Signage
All prices must be clearly displayed using professional signage.
Handwritten signs are not permitted.
Pricing submitted during the application process must accurately reflect pricing offered at the event.
Price gouging, deceptive pricing, or inconsistent pricing practices may result in immediate removal and permanent disqualification from future Foodees events.
All vendors are expected to maintain a clean, professional, and customer-friendly presentation.
Waste Management & Cleanup
Vendors must leave their space in the same condition in which it was received.
All trash, food waste, boxes, packaging materials, and debris must be disposed of properly.
Cardboard must be broken down before disposal.
No grease, oil, food residue, sauces, gray water, wastewater, chemicals, or liquids may be dumped, rinsed, spilled, poured, or discharged onto pavement, grass, storm drains, landscaping, parking lots, or surrounding areas.
All vendors must be fully self-contained, including:
• Power supply
• Water supply
• Wastewater containment
• Trash removal and disposal
No dumping of any kind is permitted onsite.
Grease mats, absorbent mats, or containment systems are required for all food vendors.
Any spills or stains must be cleaned immediately.
A Foodees staff member must inspect and approve your space prior to departure.
Failure to comply may result in forfeiture of your deposit and may result in additional remediation, venue, cleaning, repair, or damage fees exceeding $500 if incurred.
Vendor Deposits
A cash-only deposit is required at vendor check-in:
• $100 for food trucks and tented food vendors
• $50 for artisans, crafters, authors, and retail vendors
Deposits are refundable only if the vendor:
• Remains onsite for the entire event
• Properly cleans and restores their space
• Complies with all event rules and requirements
• Receives final approval during checkout
Any vendor who leaves early, no-shows, abandons their space, fails inspection, violates event rules, or fails to maintain cleanliness may forfeit their deposit.
Load-In, Attendance & Early Exit
Vendors must arrive during their assigned load-in window.
Load-in schedules will be posted exclusively in the Foodees Vendors & Sponsors Facebook Group.
Late arrivals may be denied entry without refund.
All vendors are required to remain open and operational for all event hours throughout the entire event.
Early breakdown, early departure, late arrival, failure to open, or failure to remain operational may result in forfeiture of deposit, removal from the event, and loss of eligibility for future events.
Fees, Taxes & Processing
Vendor invoices include vendor fees, processing fees, and any applicable taxes.
All fees are non-refundable unless Foodees, LLC cancels the event in its entirety.
A rescheduled event is not considered a cancellation.
Vendors are solely responsible for collecting, reporting, and remitting any sales taxes required by local, county, state, or federal authorities.
Weather, Rescheduling & Venue Changes
Events operate rain or shine.
Rescheduling does not constitute cancellation.
Foodees, LLC reserves the right to modify layouts, vendor placement, operating hours, traffic flow, venue access points, entertainment schedules, event logistics, safety procedures, or venue locations when necessary.
Such changes do not constitute grounds for refunds, credits, transfers, or chargebacks.
Weather & Emergency Directives
Vendors agree to immediately comply with any direction provided by Foodees, LLC staff, venue management, security personnel, law enforcement, fire officials, health department officials, emergency management personnel, or other public safety authorities.
This includes, but is not limited to:
• Severe weather procedures
• Tent removal instructions
• Equipment shutdown directives
• Shelter-in-place orders
• Evacuation orders
• Emergency access requirements
• Temporary operational pauses
Failure to comply may result in immediate removal without refund and may impact future participation eligibility.
Responsibility for Employees, Contractors & Representatives
Vendors are solely responsible for the actions, conduct, safety, supervision, and compliance of all owners, employees, contractors, volunteers, family members, agents, helpers, and representatives associated with their business.
Any violation committed by a vendor's representatives shall be treated as a violation by the vendor.
Tent, Equipment & Property Security
Vendors are solely responsible for securing and maintaining all tents, canopies, trailers, generators, cooking equipment, displays, signage, inventory, furniture, and personal property.
All tents must remain properly weighted and secured at all times.
Foodees, LLC reserves the right to require additional safety measures or removal of equipment deemed unsafe.
Injuries, Accidents & Incident Reporting
Any injury, accident, property damage, safety concern, equipment failure, medical emergency, or incident occurring within or related to a vendor's space must be reported to Foodees management immediately.
Chargebacks & Payment Disputes
Vendors agree not to initiate chargebacks or payment disputes for charges associated with approved applications.
Any chargeback or payment dispute may result in permanent removal from future Foodees events and collection efforts to recover associated fees and costs.
Foodees, LLC reserves all legal remedies available to recover disputed funds.
Licensing, Permits & Compliance
Vendors are solely responsible for obtaining and maintaining all required licenses, permits, certifications, health department approvals, tax registrations, inspections, and other documentation required by law.
All required permits and licenses must be displayed onsite when applicable.
Vendors must comply with all local, county, state, and federal laws and regulations.
Insurance Requirement
All vendors must maintain general liability insurance with a minimum coverage limit of $1,000,000 per occurrence.
Foodees, LLC must be listed as an Additional Insured.
Insurance may be purchased through Eventeny's insurance provider if needed.
Failure to provide insurance may result in removal from the event without refund.
Assumption of Risk
Vendor acknowledges that participation in an outdoor event involves inherent risks including, but not limited to:
• Weather conditions
• Wind
• Rain
• Lightning
• Extreme temperatures
• Uneven surfaces
• Crowds
• Equipment failures
• Vehicular traffic
• Acts of other participants
• Other known or unknown hazards
Vendor voluntarily assumes all risks associated with participation in the event.
Indemnification
Vendor agrees to defend, indemnify, and hold harmless Foodees, LLC, its owners, officers, employees, contractors, agents, venue partners, sponsors, landlords, affiliates, successors, and representatives from and against any claims, demands, damages, losses, liabilities, judgments, settlements, costs, expenses, and attorney's fees arising out of or related to:
• Vendor participation in the event
• Vendor operations
• Vendor products or services
• Vendor equipment
• Vendor employees or representatives
• Vendor negligence or misconduct
• Injuries, damages, or losses associated with the vendor's space or activities
Independent Business Relationship
Participation in the event does not create any employment relationship, partnership, agency relationship, joint venture, or other business relationship between the vendor and Foodees, LLC.
Each vendor operates as an independent business and is solely responsible for its operations.
Accessibility & Compliance
Vendors are responsible for complying with all applicable accessibility laws and regulations governing their business operations and event participation.
Media Release
Vendors grant Foodees, LLC permission to photograph, film, record, and otherwise capture images, likenesses, branding, products, displays, and operations for marketing, promotional, educational, and commercial purposes.
All media captured at the event shall remain the property of Foodees, LLC.
Refund & Transfer Policy
ALL VENDOR FEES ARE FINAL AND NON-REFUNDABLE.
Foodees, LLC does not offer refunds, credits, transfers, or rollovers for any reason including but not limited to:
• Weather conditions
• Vendor cancellation
• Sales performance
• Changes in personal availability
• Travel issues
• Illness or emergencies
• Event rescheduling
• Permit issues
• Staffing issues
• Equipment issues
By accepting a space, you are committing to participate in the event as scheduled.
If Foodees, LLC cancels an event entirely, further direction will be provided at that time.
Liability
Vendors assume all risk related to their property, staff, inventory, equipment, operations, and participation.
Foodees, LLC is not responsible for lost, stolen, damaged, destroyed, or weather-affected property.
Foodees, LLC shall not be liable for any indirect, consequential, incidental, special, or punitive damages arising from participation in the event.
Force Majeure
Foodees, LLC shall not be liable for cancellations, postponements, interruptions, modifications, relocations, reduced attendance, or operational changes caused by events beyond its reasonable control, including but not limited to severe weather, natural disasters, acts of God, public health emergencies, utility failures, labor disputes, government actions, venue restrictions, civil unrest, terrorism, or other unforeseen circumstances.
Communication
Vendors consent to receive event-related communications via email, phone, and SMS.
It is the vendor's responsibility to ensure contact information remains current and accurate.
Opt-out instructions will be included where required by law.
