First Tracks - Northeast Snow Show Vendor Application
About the application
Northeast Snow Show! First Tracks will draw a high-intent crowd of skiers, snowboarders, outdoor families, and winter activity enthusiasts actively preparing for the season. Whether you are a boutique brand or flagship exhibitor, we have a booth space for you. Attendees will be coming to explore, learn and buy for the winter season in Maine. All vendor booths will be located in Brick South while Programming and Speakers will be in HALO.
Timeline of the show:
Friday, November 6th:
8:00 am - 4:00 pm: Vendor Load In
4:00 pm -7:00 pm: Industry VIP Party at HALO (you're invited!)
Saturday, November 7th
8:00 am - 9:30 am: Vendor arrival, parking offsite
10:00 am - 6:00 pm: Open to the public
Sunday Nov. 8th
8:00 - 9:30 am: Vendor arrival, parking offsite
10:00 am - 4:00 pm: Open to the public
4:00 pm – 8:00 pm: Vendor load out
Vendor Approval Process:
1) Vendor submits application - You complete an application with your desired booth size and details and agree to Thompson's Point and MOB terms and conditions. NOTE: Early Bird pricing ends July 1st.
2) Application Approved – Thompson’s Point and MOB review and approve your application. Please note: Due to the high volume of applications and category capacity, some vendors may be placed on a waitlist or, in some cases, not selected for participation.
3) Reservation Complete – Upon acceptance, you will be charged your full booth and your spot at First Tracks is officially reserved.

Vendor Fee
The fees outlined in your invoice are the total amount owed for your participation in First Tracks. Booths are not held until payment is received and all documents have been completed. All booth fees will be automatically charged to the credit card on file upon acceptance. By submitting an application, vendors authorize Thompson’s Point to process payment using the card provided. Please note: early bird pricing ends July 1st.
Cancellation & Payment Responsibility
Booth fees are non-refundable once charged. Vendors who cancel or fail to attend the show remain responsible for the full booth fee. Refunds are only provided if the show is canceled by Thompson’s Point/MOB. If First Tracks is postponed, your payment will transfer to the new date.
Vendor No Cancellations
Should you need to cancel your participation in First Tracks, we must be notified in writing in advance to avoid the possibility of being excluded from future events.
Booths
Thompson’s Point and MOB assign booth locations. Oversized booths are not permitted. Vendors must maintain the booth in clean, sanitary conditions; please remove all trash. Return the space to the state it was given—no permanent installations or alterations without written consent. Booth location will be assigned by the event team based on overall layout and category balance.
Prepared Food & Concessions Policy
Thompson’s Point maintains exclusive rights for the sale of prepared food and ready-to-eat concessions at the event. As a result, vendors may not sell food or beverages intended for immediate consumption within the show.
Vendors may offer complimentary samples and distribute packaged product samples to attendees for promotional purposes, provided no on-site prepared food sales take place.
Insurance & Liability
A certificate of insurance is required for all participating vendors. Required insurance documents must be submitted upon acceptance to First Tracks. Provide a Certificate of Insurance naming Forefront Partners I, LP and Forefront Brick South, LLC as additional insured. Licensee shall indemnify, defend, and hold harmless Licensor from any claims arising from Vendor’s participation.
Parking & Shuttle
All vendors are required to park in the designated off-site parking lot provided by Thompson’s Point. Complimentary shuttle service will be available to transport vendors between the lot and the venue. This policy helps ensure that on-site parking remains available for paying patrons and market guests.
Operations
Vendors must be set up and operating for all open First Tracks times.

Compliance
Vendors must follow all applicable federal, state, and local laws and maintain all necessary permits
Independent Contractor
Vendor is an independent contractor, not an employee, partner, or agent of Licensor. Vendor bears responsibility for taxes, wages, and all regulatory requirements.
Default & Termination
Failure to pay fees, operate during required hours, maintain permits, or follow this Agreement constitutes default. Fees are non-refundable if the agreement is terminated due to the Vendor's breach.

Additional Items
Electricity is available through Thompson’s Point for an additional fee; please inquire for availability and pricing. Table and chair rentals may also be added during the booth selection process within the application.
Agreement Terms
This Vendor Agreement (“Agreement”) is between Forefront Events, LLC and Forefront Brick South LLC (together “Licensor”) and the undersigned Vendor (“Licensee”).
License Grant: Licensor grants a revocable, non-exclusive license to sell approved products (“Permitted Items”) in the designated booth space (“License Area”).
