The Food Vendors & Food Trucks Zone
The Food Vendors & Food Trucks section is an integral part of West Loop Art Fest, designed to complement our core artist showcase by offering a curated culinary experience. While the festival centers around fine art, this component enhances the overall atmosphere—bringing together high-quality food and beverage offerings that elevate the guest experience.
Vendors selected for this category should provide well-branded, high-quality menu items that reflect creativity, consistency, and strong presentation. From food trucks to pop-ups, each participant is carefully curated to align with the overall aesthetic, flow, and elevated experience of the festival. This is not a traditional street food lineup—each vendor is chosen to contribute to a cohesive and memorable environment.
General Requirements for All Vendors:
All vendors must use a fully white tent with at least 50 lbs. of weight per tent leg.
Full payment is required prior to the application deadline. Failure to submit payment will disqualify the vendor from the acceptance process.
Vendors are only permitted to sell items listed in their approved application. Unauthorized items will be removed, and sales must occur exclusively within the designated booth space.
Vendors are required to provide a valid City of Chicago Special Event Food License.
About the event
Terms & Conditions
1. Contract Cancellation: Bash Creates LLC (hereinafter BASH) reserves the right to cancel a vendor contract at any time for the good of the festival or at the direction of the Host Committee. Refunds will only be issued if all rules and regulations have been followed. Cancellations resulting from improper
licensing, non-compliance, or failure to meet guidelines will not be eligible for refunds.
2. Water: Running water is not provided. Vendors must supply their own clean water.
3. Electricity: Personal generators and car batteries are prohibited within your booth.
4. Music in Booths: No recorded or live music is allowed inside vendor booths. Unless approved by the production company.
5. Compliance with Laws: Drilling into the street is prohibited and will result in city fines and removal from the event. Vendors are responsible for any violations incurred.
The sale of THC-based products is prohibited. CBD or Delta 8 businesses must apply as event sponsors. For sponsorship pricing and benefits, please contact Todd@bashcreates.com directly or 312.282.7998.
The sale of hemp-derived products that include non-hemp derived additive(s) - psychotropics are prohibited.
All vendors must disclose planned products for distribution or sampling at the event and comply with city and festival regulations.
6. Set-Up & Tear-Down: Vendors are responsible for setting up, tearing down, and cleaning their booth space. Vehicles are permitted for loading only during approved timeframes and must be promptly removed. Detailed load-in schedules will be emailed one week prior. All vendors must vacate their space within 2 hours of event closure.
Parking is not included but it may be arranged in advance.
7. No-Show Policy: Vendors/Participants who fail to check in by the specified time (varies ageby event) will be considered a no-show. No refunds will be issued, and booth space will be forfeited.
8. Trash & Grease Disposal: Booth areas must remain clean. Vendors must bring their own trash bags and are responsible for proper disposal. Trash (in bags) will be picked up from booths. Additional fees may be levied if your booth is not maintained.
Cooking oil and grease must not be dumped on pavement, in sewers, or in dumpsters. It must be disposed of properly. Non-compliance may result in fees and disqualification from future events.
9. Indemnification: Bash Creates LLC, its team, service providers, and participating sponsors are not
liable for any loss, injury, or damages occurring before, during, or after the event. Vendors are advised to remove valuables nightly and must accept full responsibility for their equipment and operations.
This signed contract states that you agree to the terms and indemnify all parties working and producing the event from any liability or claim.
10. Booth Usage: Vendors may only use their assigned space. A maximum 3-foot entryway is allowed. Items cannot be stored on sidewalks and must be clear per city regulations. Bash reserves the right to relocate vendors as needed. Vendors are liable for any losses or damages to their own equipment. Bash is not responsible for any loss or damage to the exhibitor's equipment or any of its contents. We highly recommend removing all items of value off-premises each evening.
11. Third-Party Participation: Booth spaces cannot be subleased or shared with third parties without written approval.
12. Event Hours: All vendors must remain open during official festival hours.
13. Weather & Safety Refunds: In the event of inclement weather, Acts of God, public safety concerns, or other emergencies, Bash has the right to cancel or postpone the event. These circumstances do not qualify for refunds.
14. Acknowledgment & Agreement: By signing this application, you acknowledge and accept all terms outlined above and provided by Bash and the Host Committee. You are responsible for any rented equipment damaged by you or your team and for complying with all local ordinances and festival guidelines. I understand this application constitutes a binding legal agreement, and I am obligated to comply with all event rules and regulations.
As a participating exhibitor, I accept financial responsibility for any damage to rented equipment— including but not limited to tents, tables, chairs, sidewalls, counters, and signage—caused by myself or members of my team. I acknowledge that Bash, acting as the event’s authorized agent, cannot negotiate fees, offer discounts, or issue refunds under any circumstances except those explicitly stated in the event guidelines.
Rental equipment not requested or used by my team will not be my responsibility. However, I acknowledge that should I add rental items during the application process or request equipment on-site, I will assume responsibility for those items. It is my duty to inspect all rented equipment upon load-in and promptly notify event management of any pre-existing damage before the event opens.
