Chaoticon 2026 – Outdoor Food Vendor Terms & Conditions
Event Details
Event: Chaoticon 2026
Location: LaPorte Civic Auditorium (outdoor placement directly in front of main entrance)
Dates & Hours:
Saturday, November 21, 2026: 11:00 AM – 6:00 PM
Sunday, November 22, 2026: 11:00 AM – 5:00 PM

Setup & Service Times
Vendors may begin setup as early as 9:00 AM each day
Vendors may remain open and serve until 8:00 PM both days to accommodate post-event traffic
Vendors are required to remain open and operational until at least:
6:00 PM on Saturday
5:00 PM on Sunday
Early breakdown or closing before these times is not permitted
All vendors must be fully set up and ready to serve by event opening times

Vendor Fee
Outdoor food vendor space fee: $350
Payment must be completed to secure placement
Fees are non-refundable unless the event is canceled by organizers

Location & Placement
All food vendors will be placed outdoors only, directly in front of the main entrance of the LaPorte Civic Auditorium
This is a high-traffic, prime visibility area
Placement will be assigned by event organizers and must be respected

Food Preparation Rules
All food must be prepared and cooked outdoors
No cooking is permitted inside the venue under any circumstances
Vendors must operate from approved setups such as food trucks, trailers, or tents with proper equipment

Permits & Licensing
Vendors are fully responsible for obtaining and displaying all required:
Temporary food permits
Health department approvals
Fire safety permits (if applicable)
Any required state, county, or city licenses
Failure to obtain proper permits may result in removal from the event without refund.

Insurance Requirements
All vendors must carry:
General Liability Insurance (recommended minimum: $1,000,000 coverage)
Chaoticon / event organizers may request to be listed as an additional insured
Proof of insurance may be required prior to the event.

Application Deadline Requirement
All outdoor food vendors must submit their completed application no later than October 20, 2026 (one month prior to the event). This deadline ensures that all necessary documentation can be properly reviewed and submitted to the local health department in a timely manner. Late applications may not be accepted, as we must adhere to strict permitting and approval timelines.

Health & Safety
Vendors must comply with all local health department regulations
Proper food handling, storage, and sanitation practices are required at all times
Handwashing stations, gloves, and food safety measures must be in place
Fire extinguishers are required for any vendor using cooking equipment

Electricity & Utilities
Vendors must be self-sufficient
No electricity or water hookups are guaranteed
Generators must be safely operated and compliant with local regulations

Space & Setup
Vendors must remain within their assigned space
All equipment, tents, and service areas must be properly secured
Vendors are responsible for their own setup, teardown, and equipment

Trash & Clean-Up
Vendors are responsible for keeping their area clean during and after the event
All trash, grease, and waste must be properly disposed of
Spaces must be left in the same condition as they were found

Conduct
Vendors are expected to act professionally and respectfully toward guests, staff, and other vendors
Chaoticon reserves the right to remove any vendor not complying with rules or creating safety concerns

Weather Policy
This is an outdoor setup; vendors must be prepared for varying weather conditions
The event will proceed rain or shine unless otherwise determined by organizers

Agreement
By participating in Chaoticon 2026 as an outdoor food vendor, you agree to all terms and conditions listed above.
