NC Hellbender Festival – Nonprofit Booth Terms and Conditions
By submitting this application, you agree to the following terms and conditions established by the Town of Spruce Pine, the official organizer of the NC Hellbender Festival:
1. Eligibility
Nonprofit booths are reserved for registered 501(c)(3) or other recognized nonprofit organizations whose mission aligns with the goals of the festival, including conservation, education, community engagement, or the arts.
A valid tax-exempt number or documentation may be requested upon acceptance.
2. Booth Use and Setup
Booths may be used for educational outreach, program promotion, or awareness-building. Nonprofits may also sell merchandise or accept donations, provided this is clearly stated in the application and approved in advance.
All booths must be staffed throughout the event and set up before the festival opens to the public.
Booth participants must bring their own tables, chairs, and tents unless other arrangements have been made.
3. Electricity and Amenities
Electricity is not available. All displays must be self-sufficient. No access to Wi-Fi or power will be provided.
Activities should not rely on streaming or devices requiring external power unless battery-operated.
4. Environmental Standards
The NC Hellbender Festival is a low-waste event. Please use recyclable or compostable materials and avoid plastic bags, styrofoam, glitter, or other environmentally harmful items.
All booths must be cleaned up fully at the end of the event. Trash and materials must be packed out if no bin is available nearby.
5. Behavior and Presentation
Booths must remain professional, family-friendly, and respectful of neighboring vendors and exhibitors.
Live animals, amplified sound, or any unusual display elements must be approved in advance by event staff.
Staff and volunteers must conduct themselves courteously and represent their organization responsibly.
6. Liability
Downtown Spruce Pine, the Town of Spruce Pine, and the NC Hellbender Festival are not liable for any damage, loss, or injury occurring during the event.
By participating, nonprofits agree to hold harmless the event organizers and affiliated partners for any claims related to their booth and activities.
7. Agreement
By submitting your nonprofit booth application, you acknowledge that you have read, understand, and agree to the above terms and conditions.
