About the application
Thank you for your interest in being a food vendor at our Sheep Festival! We are seeking a variety of high-quality food vendors to offer fresh, delicious, and family-friendly options for our festival attendees.
We welcome food trucks, concession trailers, and booth-style food vendors offering hot meals, snacks, baked goods, desserts, and beverages. Preference may be given to vendors featuring locally sourced ingredients, farm-inspired menus, or unique specialty items.
Priority of acceptance is given to Returning Vendors. New vendors MUST submit photos of the goods you plan to sell. Ideally, a photo of your booth display from another festival would be included.
We have two categories of Food Vendors: Food Trucks and Dessert Trucks. There is an option for vending both days of the festival and a single day only option. Preference is for two day vendors and there is an associated discount for that category.
We cannot guarantee that we can fulfill all requests.
Your credit card will not billed unless your application is approved.
This is an electronic agreement and by completing the Festival application herein, you are validating and approving this agreement electronically
About the event
Terms & Conditions
All food vendors must comply with local and state health department regulations and provide all required permits, licenses, and insurance prior to the event. Vendors must provide their own equipment, tents, tables, and power unless otherwise specified by the festival.
- Vendors are expected to read and be familiar with these rules and expectations. Vendors who do not comply with the expectations put forth in these terms and conditions risk exclusion in subsequent Festivals.
- Your company is approved to sell items as outlined in the application. Should you wish to add additional items, please email gardenstatesheepbreeders@gmail.com.
- Spaces are assigned. Vendors are responsible for supplying any equipment needed, including electrical cords if electricity is available and needed. Tents will be allowed but must fit within the designated space.
- One vendor company per space unless approved in the original application.
- Insurance Coverage and Liability: Neither the GSSB, the Hunterdon County Fairgrounds, nor any officer, employee, agent, or volunteer thereof will be responsible or liable for accidents to any vendor while on the premises or in case of fire, theft, or damage to any vendor’s equipment on the premises. Vendors must provide their own insurance coverage to protect themselves, their equipment, and to cover damages that may be inflicted to the building and/or property of the Hunterdon County Fairgrounds. All Vendors must have their Certificate Of Insurance present while vending at this Festival.
- Vendors are required to have all necessary permits.
- Garden State Sheep Breeders (GSSB), the Festival Committee, and Hunterdon County Fairgrounds assume no responsibility for loss or damage/injury to any work, display, or person.
- Vendors are required to remain open on Saturday from 9am until 5pm and on Sunday from 9am until 4pm. A vendor who dismantles or leaves before the festival ends either day will not be accepted back the following year.
- No vehicles are permitted to move on the fairgrounds Saturday from 9:00am to 5:30pm and Sunday 9:00am to 4:30pm.
- Vendors may set up on the Friday prior to the festival. Vendors may arrive on festival days and set up in the morning prior to the festival opening, 6:00 am until 8:50 am.
- All vendors must be off the grounds by 7pm on Sunday. Vendors are expected to clean their booth spaces. Please remove all items you brought in, your trash, etc
- In the event that a vendor cancels or is otherwise unable to attend the festival, it is the vendor’s responsibility to notify the vendor committee in writing. Please send notifications to gardenstatesheepbreeders@gmail.com. Cancellation 60 days or closer to the festival date will result in forfeiture of all paid fees. Failure to notify the committee of cancellation jeopardizes participation in future events.
- The Festival Committee reserves the right to reject any vendor who disregards these rules, who does not treat everyone with courtesy, or who carries/sells items from their booth not listed on their application.
- The Festival Committee, whose decision will be final, shall decide disputes arising from any cause.
- Space locations will be assigned by the festival committee.
- Camping spaces may be purchased directly from the Hunterdon County Parks department at a later date. No showers are available. If you are camping, please have your permit available at the Festival.
- Security: Vendors are responsible for securing their own property while on the fairgrounds. Neither the GSSB, the Hunterdon County Fairgrounds, nor any officer, employee, agent, or volunteer thereof will be responsible for the safety of the property or the vendor from any cause. Vendor should obtain, at their own expense, appropriate insurance to cover against said losses.
- Indemnification: By purchasing a space(s), the Vendor agrees to indemnify, defend, and hold harmless the Garden State Sheep Breeders (GSSB), the Hunterdon County Fairgrounds, and their officers, employees, agents and volunteers, from and against any and all damages to property or injuries to or death of any person or persons, including attorneys’ fees; and shall defend, indemnify, save and hold harmless the GSSB, its officers, employees, agents and volunteers, from any and all claims, demands, suits, actions or proceedings of any kind or nature including but not by way of limitation, all civil claims, workers’ compensation claims, and all other claims resulting from or arising out of the intentional or negligent acts, errors or omissions of the Vendor, its officers, employees, agents, in any way related to Vendors duties and obligations under this Agreement and/or its use of a booth space at the GSSB Sheep and Fiber Festival. All points not covered herein are subject to the decision of the GSSB Festival Committee.
- Taxes: Please consult the NJ Dept. of Treasury for information on Sales and Use Taxes if you are from out of state or not yet familiar with the requirements of NJ for collecting and reporting sales taxes. Sales tax is 6.625% (as of Jan. 1, 2018) and does not apply to all types of goods, but sales amounts must be reported even if no sales taxes are due.
Internet Access: There is no WiFi at the Fairgrounds, but there is good access to 5G mobile signals. Thus you will be able to generate your own hotspot to process credit card payments or access the internet if you have equipment that can access 5G signals (i.e., smartphone, etc.).
