Food Vendor Application Form

• The Vendor booth fee of $300 (which includes a $100 refundable cleaning deposit) and completed application must be submitted along with a completed Application for Temporary Food Establishment Permit, DCCA Certificate of Good Standing and Health Dept Vehicle Certification (Food Trucks only).
• Full payment is due by Friday, March 21, 2025, or at the time of approval.
• All booth fees become non-refundable on or after March 21, 2025.

Additional Rules for Participation

We understand and agree to the following:

• Any cancellation must be submitted in writing via email by March 21, 2025. No refunds will be issued for cancellations after this date.
• The Stan Walker Concert will take place rain or shine. No rain date will be provided.
• The Health Department’s Application for Temporary Food Establishment Permit and Health Dept Vehicle Certification (Food Trucks only) must be completed and submitted with this application.
• Tents, tables, benches, and lighting will not be provided.
• Only one 20-amp power circuit will be provided.
• Portable generators are not permitted near the concert stage.
• Vendors must check in with the HWT&CAC point of contact upon arrival.
• Setup time is from 9:00 AM to 3:00 PM. Vehicles must be removed from vendor areas at least 60 minutes before the event begins.
• Booths must be staffed for the entire event: Saturday, 5:00 PM – 10:00 PM.
• Vendors are responsible for maintaining cleanliness within and around their booth space during operating hours. All items must remain within the designated booth area—overflow into walkways is not permitted.
• Vendors must properly dispose of cardboard boxes, cut zip ties, and trash. Each vendor is responsible for their own signage and waste disposal. Cardboard and trash bins will be provided.
• Parking is not reserved. A limited number of parking passes will be assigned on a first-come, first-served basis, determined by the date of application and payment, for the Vidinha Stadium parking lot.
• No alcoholic beverages are allowed outside of designated 21+ areas.
• Although security will be provided during event hours and overnight on Friday, vendors assume all risk for theft or loss of unattended items or equipment.
• HWT&CAC does not guarantee food sales and is not responsible for any financial loss.
• All paper goods must be compostable. Failure to comply will result in disqualification from future Waimea Theater & Cultural Arts Center (HWT&CAC) events.
• We understand and assume all risks of injury or damages resulting from the use of facilities, booths, and surrounding areas. We will not hold the Historic Waimea Theater & Cultural Arts Center (HWT&CAC), County of Kauai, their agents, or employees liable for any injuries or damages.
• We will be personally responsible for any damages to the grounds, buildings, or equipment caused by our organization’s participation.
• We agree to abide by and enforce all rules, regulations, and policies outlined in this application.
