1. Sponsorship Confirmation & Payment
Sponsorships are confirmed once Project Pride SRQ receives a completed application or written commitment and payment or approved payment arrangement. Sponsorship benefits are contingent upon timely payment, logo/material submission, booth requests, tent package requests, and compliance with event deadlines.
Project Pride SRQ reserves the right to release unconfirmed sponsorship opportunities, booth space, or sponsor benefits if payment or required materials are not received by the applicable deadline.
2. Sponsorship Deadlines
Sponsors seeking early marketing visibility are encouraged to confirm sponsorship by August 15, 2026. Logos and materials required for print recognition must be submitted by September 18, 2026. Booth space and standard sponsor tent package requests must also be submitted by September 18, 2026. The final sponsorship deadline is October 2, 2026. Recognition may be limited after published deadlines based on production timelines.
3. Branding, Logos & Promotional Materials
Sponsors are responsible for submitting high-resolution logos, artwork, promotional content, and other required materials by the published deadlines. Preferred logo formats include PNG, JPG, EPS, SVG, or PDF. If materials are not received by the required deadline, Project Pride SRQ reserves the right to omit the sponsor from certain printed, digital, or event-day materials.
All sponsor-provided materials, giveaways, activations, signage, booth displays, literature, and public-facing content are subject to Project Pride SRQ approval.
4. Sponsor Recognition & Marketing Benefits
Sponsor recognition will be provided according to the selected sponsorship level and is subject to confirmation, production timelines, available space, event layout, and submission deadlines. Social media recognition, newsletter recognition, stage recognition, event signage, sponsor graphics, website placement, and post-event recognition may vary by sponsorship level.
Dedicated sponsor social media posts are only guaranteed where expressly included in the selected sponsorship level. All other sponsor recognition may be grouped or included in general sponsor thank-you content. Project Pride SRQ reserves the right to adjust the schedule, format, and placement of sponsor recognition.
5. Booth Space, Tent Package & Event-Day Setup
All sponsorship levels include the option for one complimentary 10x10 sponsor booth space, if requested by the applicable deadline and subject to event layout, availability, and production needs. Complimentary booth space includes assigned event footprint only and does not include a tent, table, chairs, electricity, weights, décor, signage, or setup materials unless otherwise stated.
Sponsorships of $2,500 and above may request a standard sponsor tent package, subject to deadline, rental availability, event layout, and production requirements. The standard sponsor tent package includes one 10x10 tent/canopy, one 6-foot table, and two chairs.
Sponsors are responsible for staffing their booth, managing their materials, and removing all items at the end of the event. Project Pride SRQ is not responsible for sponsor property, unattended materials, or items left after the event.
6. Event Layout, Placement & Operational Changes
Booth placement, signage placement, sponsor visibility, event map listings, stage recognition, tent packages, and sponsor activations are subject to event layout, safety requirements, permitting, municipal guidance, production needs, and availability. Project Pride SRQ retains final approval over event layout, sponsor placement, signage, programming, entertainment, stage schedule, community partner participation, and public-facing event content.
Gulfcoast Pride is an outdoor community event. Event schedule, layout, footprint, booth placement, stage programming, and sponsor benefits may be adjusted due to weather, permitting, safety requirements, municipal guidance, or other circumstances beyond Project Pride SRQ’s control.
7. Custom Sponsorship Activations
Custom sponsor activations are not guaranteed. Any proposed sponsor activation must be approved in advance by Project Pride SRQ and may require additional permitting, insurance, staffing, safety review, setup coordination, or operational approval. Sponsor-managed activations are the responsibility of the sponsor unless otherwise agreed in writing.
8. Family-Friendly & Inclusive Event Standards
Gulfcoast Pride is an inclusive, all-ages community celebration of LGBTQ+ visibility, joy, connection, and belonging. Sponsor signage, materials, giveaways, displays, activities, and staff conduct must be appropriate for a public, family-friendly Pride festival.
Project Pride SRQ reserves the right to decline or remove any sponsor materials, giveaways, activations, signage, displays, or participation that are unsafe, discriminatory, harassing, misleading, sexually explicit in a way that is inappropriate for a public/family-friendly festival setting, politically partisan in a way that conflicts with nonprofit compliance, or inconsistent with Project Pride SRQ’s mission, values, safety standards, or event guidelines.
9. Use of Project Pride SRQ & Gulfcoast Pride Branding
Sponsors may identify themselves as sponsors of Gulfcoast Pride 2026 once sponsorship is confirmed. Sponsors may not use Project Pride SRQ logos, Gulfcoast Pride logos, event artwork, or related branding without prior written approval, except for approved promotional use related to the 2026 event.
Sponsors may not represent themselves as presenting sponsors, official partners, co-hosts, or exclusive sponsors unless such status has been expressly confirmed in writing by Project Pride SRQ.
10. Exclusivity
Sponsorship does not include category exclusivity unless expressly agreed in writing by Project Pride SRQ.
11. Cancellations & Refunds
Sponsorship commitments are non-refundable once confirmed, as sponsorship benefits and event production costs begin in advance of the event. Sponsor cancellations must be submitted in writing to Project Pride SRQ.
In the event of postponement, cancellation, weather disruption, permitting changes, safety concerns, or other circumstances beyond Project Pride SRQ’s control, Project Pride SRQ will make reasonable efforts to provide sponsor recognition or alternative visibility where feasible, but automatic refunds are not guaranteed.
12. Liability & Insurance
Sponsors participate at their own risk and are responsible for their own property, equipment, materials, staff, volunteers, products, transactions, displays, and activations. Project Pride SRQ is not responsible for lost, stolen, damaged, or unattended sponsor property.
Sponsors may be required to provide proof of liability insurance depending on activation scope, booth activity, products, services, equipment, or event requirements.
13. Compliance
Sponsors are responsible for complying with all applicable federal, state, county, city, health, safety, fire, tax, permitting, licensing, and insurance requirements related to their participation, products, services, booth setup, or activation.
14. Agreement to Terms
By submitting this application, the sponsor confirms that they have read, understood, and agree to these terms and conditions. Sponsorship benefits are contingent upon compliance with these terms, timely communication, payment, and submission of required materials.
