Terms & Conditions

CHAOTICON 2026 Sponsorship Terms & Conditions By submitting payment for a sponsorship package, the Sponsor agrees to the following terms and conditions: Sponsorship Commitment All sponsorship purchases are considered a commitment to support Chaoticon 2026 and are subject to these terms and conditions. Payment & Refund Policy • Sponsorship fees are non-refundable. • Sponsorship benefits will not be activated until payment has been received in full. • In the event the Sponsor chooses not to participate after payment has been made, sponsorship fees will not be refunded. Marketing Materials • Sponsors are responsible for providing all required logos, artwork, advertisements, and promotional materials by any deadlines communicated by Chaoticon. • Chaoticon is not responsible for missed promotional opportunities resulting from late submission of materials. • Submitted logos and promotional materials must be owned by or properly licensed to the Sponsor. Promotional Benefits • Sponsorship benefits vary by sponsorship level. • Social media posts, logo placements, announcements, and other promotional opportunities will be provided at the discretion of Chaoticon and according to the selected sponsorship package. • Placement, size, and location of logos on printed materials, signage, websites, and promotional content may vary based on design requirements and available space. Event Naming Rights & Sponsored Areas • Naming rights, sponsored areas, and event activations are subject to availability and approval by Chaoticon. • Chaoticon reserves the right to decline sponsorship requests that conflict with existing sponsors, event themes, guest agreements, or venue policies. Use of Name & Logo • Sponsor grants Chaoticon permission to use the Sponsor's business name, logo, website, and approved promotional materials for purposes related to marketing and promoting Chaoticon 2026. • Sponsor retains ownership of all trademarks, logos, and intellectual property. Event Changes • Guest appearances, programming, attractions, schedules, venue layouts, and event features are subject to change without notice. • Changes to event programming shall not constitute grounds for sponsorship refunds. Cancellation, Postponement, or Force Majeure • If Chaoticon is postponed due to circumstances beyond the organizers' reasonable control, sponsorship benefits may be transferred to the rescheduled event date. • Chaoticon shall not be liable for delays, modifications, interruptions, or cancellations caused by acts of God, severe weather, natural disasters, public health emergencies, government actions, labor disputes, utility failures, venue issues, or other circumstances beyond its control. Sponsor Conduct • Sponsors are expected to conduct themselves professionally and in a manner consistent with the family-friendly environment of Chaoticon. • Chaoticon reserves the right to terminate a sponsorship agreement without refund if a Sponsor engages in unlawful activity, harassment, discrimination, or conduct that may harm the reputation of the event. Limitation of Liability • Sponsorship does not guarantee a specific number of attendees, sales, leads, impressions, or return on investment. • Chaoticon makes no guarantees regarding marketing performance, attendance figures, or business outcomes resulting from sponsorship participation. Acceptance of Terms Submission of payment constitutes acknowledgment and acceptance of these Sponsorship Terms & Conditions.
