Virtual Programming

This application is for virtual talents who wish to host a panel at Anime Weekend Atlanta. There will be a dedicated panel room that will allow for the Vtuber to see the audience and hear them through a general room microphone.

This Agreement between the Applicant and AWA, LLC is entered into as of the later date of the application and its acceptance sets forth the Applicant's participation at Anime Weekend Atlanta scheduled for November 19-22, 2026 (the "Show").

WHEREAS; the parties agree that the Applicant's participation in the Show will further each party's mission of promoting popular culture; and WHEREAS, Anime Weekend Atlanta wishes to have the Applicant performing the services hereinafter referred to; and WHEREAS, the Applicant is willing and able to perform these services; THEREFORE, and for good and valuable consideration, the parties agree as follows:

The parties hereby agree to the following:

1. Services Provided by Applicant. The Applicant shall perform the following services at Show, at times, dates, and locations to be specified by the show separately from this Agreement:
a) Panel. The Applicant agrees to participate in the panel listed in the application.

b) Promotion. The Applicant agrees to promote their appearance on their social media platforms. Promotion should be in the form of at least 2 posts or mentions. One no later than September 15th and the other during the show. The applicant is welcome to promote through additional posts beside the 2 required.

c) Meet & Greets. The Applicant will be offered an opportunity to have a virtual meet and greet with times, dates, and locations to be specified by the show separately from this Agreement.

2. Ownership Rights and Licenses Granted by Applicant for Promotional Purposes. The Applicant grants the Show the rights to display, reproduce, create derivative works from, and to distribute recordings and highlights or clips, with the approval of management, in any manner and media now known or later discovered. The Show agrees to obtain the Applicant's written permission before using the recordings from the show to advertise or sell products or services unrelated to the Show ("Commercial Use"). The Applicant grants the Show a perpetual license to use the Applicant's name, voice, and likeness as depicted in the Show Recordings with the approval of management, as well images provided by the Applicant, for any Promotional Use.

3. Clearances. The Applicant shall be responsible for obtaining all necessary third party clearances and agreements for Intellectual Property related to the Appearances, the failure of which shall be a material breach of this Agreement.

4. Attendee & Press Consent. Through acceptance of the application, the Applicant consents to Photos and Video/Sound Recordings taken by Attendees, Press, and AWA Staff during the Show.

5. Reputation. If at any time, in the opinion of the convention, the Applicant becomes the subject of public disrepute, contempt, or scandal that affects the Applicant's image or goodwill, then the convention may, upon written notice to the Applicant, immediately suspend or terminate this Agreement and Applicant's services hereunder, in addition to any other rights and remedies that the convention may have hereunder or at law or in equity.
