1. Volunteer Status
I understand that my participation with Pride in Dallas is entirely voluntary. I am not an employee, contractor, or agent of Pride in Dallas and will not receive wages, benefits, or other compensation for my volunteer service unless otherwise stated in writing.
2. Eligibility
I certify that the information I provide during registration is accurate and complete. If I am under the age of 18, I understand that I may be required to provide written consent from a parent or legal guardian before participating.
3. Attendance and Reliability
I agree to arrive on time for my assigned volunteer shift, complete the duties assigned to me, and notify Pride in Dallas as soon as possible if I am unable to attend or if I will be late.
Volunteers may not bring children or other guests with them while serving in a volunteer capacity. For the safety of all participants and to ensure volunteers remain focused on their assigned responsibilities, children under the age of 16 are not permitted in volunteer areas or to accompany volunteers during their assigned shifts.
Individuals who are 16 or 17 years of age may volunteer only if they have registered as volunteers, have received any required parent or guardian consent, and have been approved for an age-appropriate volunteer assignment.
Pride in Dallas reserves the right to deny participation or remove any volunteer who arrives with an unauthorized minor or guest.
4. Code of Conduct
I agree to conduct myself in a respectful, professional, and inclusive manner at all times. I will treat fellow volunteers, staff, sponsors, performers, vendors, attendees, and members of the public with dignity and respect regardless of race, ethnicity, national origin, religion, disability, age, sex, sexual orientation, gender identity or expression, or any other protected characteristic.
Harassment, discrimination, intimidation, threats, violence, disruptive behavior, or illegal activity will not be tolerated and may result in immediate removal from volunteer activities.
5. Chain of Command
I understand that Pride in Dallas operates under an established leadership structure consisting of Volunteers, Team Leads, Department Directors, Event Director, Executive Director, and the Board of Directors.
While volunteering, I agree to follow the lawful instructions of my Team Lead, Director, Event Director, Executive Director, and authorized members of the Board of Directors as they relate to my assigned duties. I understand that questions, concerns, or requests should be communicated through this chain of command whenever practical.
6. Safety
I agree to follow all safety instructions, event policies, emergency procedures, and directions provided by Pride in Dallas Team Leads, Directors, Event Directors, Executive Directors, or other authorized event personnel. I will immediately report any unsafe conditions, accidents, injuries, or emergencies.
7. Volunteer Credentials and Representation
I understand that any volunteer credentials, identification badges, access passes, branded apparel (including volunteer shirts), or other items provided by Pride in Dallas remain the property of Pride in Dallas unless otherwise stated. I agree not to misuse these items or use them to represent myself as an official spokesperson or representative of Pride in Dallas outside of my assigned volunteer duties or after my volunteer assignment has ended. Unauthorized use of volunteer credentials, identification, or volunteer attire may result in immediate removal from volunteer service.
8. Emergency Directives
I agree to immediately follow all lawful instructions and directives issued by law enforcement officers, fire and rescue personnel, emergency medical personnel, public safety officials, venue security personnel, and city officials during any Pride in Dallas event or volunteer activity. I will also follow directions from Pride in Dallas Team Leads, Directors, Event Directors, and Executive Directors whenever those directions do not conflict with instructions from public safety officials.
9. Media and Public Statements
I understand that only authorized representatives may speak on behalf of Pride in Dallas. I agree not to participate in media interviews, provide official statements, or represent Pride in Dallas to members of the media unless I have received prior approval from the Executive Director, Event Director, or the Board of Directors. If approached by members of the media, I will politely refer them to an authorized Pride in Dallas representative.
10. Interactions with Protesters
I agree not to engage with, confront, touch, argue with, debate, or participate in interviews with protesters during any Pride in Dallas event or volunteer activity. If I observe activity involving protesters that raises a safety or operational concern, I will immediately notify my Team Lead, Director, Event Director, or event security and allow trained personnel to manage the situation.
11. Use and Care of Pride in Dallas Equipment and Supplies
Pride in Dallas may provide volunteers with equipment, tools, supplies, vehicles, communication devices, and other resources necessary to perform their assigned duties. These items may include, but are not limited to, radios, golf carts, tools, , safety equipment, traffic control devices, and other event-related materials.
I agree to use all Pride in Dallas equipment and supplies safely, responsibly, and only for their intended purpose while performing my assigned volunteer duties. I will not misuse, intentionally damage, remove, loan, or allow unauthorized individuals to use any equipment or supplies provided by Pride in Dallas.
I understand that all equipment, tools, supplies, credentials, radios, keys, golf carts, volunteer apparel (when required), and any other property issued to me remain the property of Pride in Dallas and must be returned at the conclusion of my volunteer assignment or upon request.
If I discover that any equipment or supplies are damaged, malfunctioning, missing, or otherwise unsafe to use, I will immediately stop using the item, when safe to do so, and promptly notify my Team Lead or Director. I will not attempt repairs unless I have been specifically authorized to do so.
12. Alcohol, Drugs, and Smoking
I will not report to my volunteer assignment while impaired by alcohol or drugs. The possession or use of illegal drugs during volunteer activities is prohibited. I agree not to consume alcohol or illegal drugs while volunteering with Pride in Dallas. I will comply with all event policies regarding alcohol consumption, smoking, and vaping.
13. Photography and Media Release
I understand that Pride in Dallas may photograph, film, or record volunteers during events. By volunteering, I grant Pride in Dallas permission to use my image, likeness, voice, and name in photographs, videos, and other media for promotional, educational, archival, or marketing purposes without additional compensation.
14. Confidentiality
During my volunteer service, I may have access to non-public information. I agree to keep confidential any sensitive information relating to volunteers, donors, sponsors, vendors, participants, or Pride in Dallas operations unless authorized to disclose it.
15. Personal Property
I understand that I am responsible for my own personal belongings. Pride in Dallas is not responsible for lost, stolen, or damaged personal property.
16. Assumption of Risk
I understand that participating as a volunteer may involve physical activity and certain inherent risks, including but not limited to slips, falls, weather conditions, crowd-related incidents, lifting, and other unforeseen hazards. I voluntarily assume these risks and agree to participate only if I am physically able to do so.
17. Release of Liability
To the fullest extent permitted by law, I release and hold harmless Pride in Dallas, its Board of Directors, Executive Directors, Event Directors, Directors, volunteers acting within the scope of their assigned duties, sponsors, vendors, partners, affiliates, and agents from any claims, liabilities, damages, or expenses arising from or related to my participation as a volunteer, except where caused by gross negligence or willful misconduct.
18. Medical Treatment
In the event of an emergency, I authorize Pride in Dallas to seek emergency medical treatment on my behalf if I am unable to provide consent. I understand that I am responsible for any medical expenses incurred.
19. Volunteer Assignment Changes
I understand that volunteer assignments, schedules, locations, and responsibilities may change based on operational needs. Pride in Dallas reserves the right to modify, reassign, or cancel volunteer assignments at any time.
20. Removal from Volunteer Service
Pride in Dallas reserves the right to remove any volunteer from an assignment or terminate volunteer participation at any time for violations of these Terms and Conditions, unsafe behavior, misconduct, or any action that is inconsistent with the organization's mission, values, or event policies.
21. Compliance with Laws and Policies
I agree to comply with all applicable federal, state, and local laws, venue rules, and Pride in Dallas policies while volunteering.
22. Agreement
By registering as a volunteer, I acknowledge that I have read and understand these Terms and Conditions. I agree to abide by them throughout my volunteer service with Pride in Dallas. I understand that failure to comply with these Terms and Conditions may result in my removal from volunteer activities without notice.
