Only the approved business may occupy the assigned space. Spaces may not be shared, sublet, transferred, or reassigned without written organizer approval. Acceptance does not guarantee exclusive rights to a food category or menu item unless agreed to in writing.

2. Menu & Pricing

Vendors must submit their complete proposed menu and pricing with their application. Only approved items may be sold. Any additions, substitutions, or changes to the approved menu or pricing require advance written approval.

Menu prices must be clearly displayed for customers.

Vendors must accurately report their total setup dimensions, including trucks, trailers, hitches, serving areas, generators, and any additional equipment.

Booth placement is assigned by the organizer. All equipment, supplies, signs, and service areas must remain within the assigned space and must not block walkways, neighboring vendors, emergency access, or park facilities.

Vendors must provide their own tents, appropriate tent weights, tables, chairs, displays, equipment, and supplies. All tents and equipment must be secured safely.

4. Load-In, Setup & Event Hours

Load-in instructions and assigned arrival times will be provided before the event. Vendors must follow organizer directions for entry, unloading, parking, and placement.

All vendors must be fully set up and ready to serve by 10:30 AM, thirty minutes before the festival opens. Late arrivals or vendors who are not ready by the setup deadline may be denied participation without a refund.

Electricity and water hookups are not provided. Vendors must supply sufficient potable water, power, fuel, and equipment for the full event.

Only quiet-running generators are permitted. Generator placement must follow organizer instructions and must not create excessive noise, fumes, heat, or hazards for visitors or neighboring vendors.

Cords, hoses, fuel, and equipment must be safely secured and kept clear of public pathways. Vendors must follow all applicable fire and safety requirements.

6. Permits, Licenses & Food Safety

Vendors are responsible for obtaining and maintaining all permits, licenses, approvals, and inspections required for their operation, including applicable Georgia and local health requirements.

Required documentation must be available upon request. Vendors who cannot demonstrate required compliance may be denied participation or required to stop operating.

7. Public Trash Can & Routine Waste Removal

Each food vendor must provide a 55-gallon trash can for public use near their serving area, along with sufficient liners for the entire event.

Vendors must monitor and empty their trash cans regularly to prevent overflow, odors, pests, or litter. Bagged booth trash must be taken to the designated event dumpsters or other disposal locations identified by the organizer.

Do not leave trash bags, boxes, food scraps, or other debris beside public trash cans, behind booths, or elsewhere on the grounds. Cardboard boxes must be flattened before disposal.

8. Food Waste, Grease, Oil & Wastewater

Vendors are responsible for all waste generated by their operation.

Food scraps and solid food waste must be securely bagged and placed in designated trash disposal areas. Liquids must not be poured into trash cans or dumpsters.

All grease, cooking oil, and wastewater must be collected in secure, leakproof containers and removed from the property by the vendor for proper disposal. These materials may not be poured onto grass, soil, pavement, landscaping, or into storm drains, park sinks, or restrooms.

Vendors must protect the ground beneath cooking and food preparation areas from grease, spills, and staining. Any spill must be contained and cleaned promptly, and the organizer must be notified of spills that affect the grounds or create a safety hazard.

9. Final Cleanup & Property Care

Vendors must leave their assigned space and surrounding service area clean and free of trash, food waste, grease, liquids, boxes, equipment, and debris.

Vendors are responsible for damage or extraordinary cleanup caused by their operation, staff, equipment, or waste disposal. Any associated cleanup or repair costs may be charged to the vendor.

10. Vendor Conduct & Safety

Vendors and their staff must conduct themselves professionally and respectfully toward visitors, other vendors, park personnel, and event staff.

Vendors must follow organizer instructions and may not create unsafe conditions, obstruct access, or disrupt the event. Amplified music or sound from individual vendor spaces requires organizer approval.

Georgia Art Events may require corrective action, stop a vendor’s sales, or remove a vendor for unsafe practices, unapproved sales, failure to comply with these terms, or disruptive conduct. Removal for noncompliance does not qualify for a refund.

11. Fees, Cancellations & Refunds

Payment must be made according to the deadlines provided with acceptance. Failure to pay by the stated deadline may result in forfeiture of the vendor’s space.

Vendor cancellations must be submitted in writing.

Cancellations received fewer than 45 days before the event are nonrefundable.
Credit toward a future Georgia Art Events event may be offered under certain circumstances, at the organizer’s discretion. Credit is not guaranteed.
Application fees are nonrefundable.
No-shows and vendors denied participation or removed for noncompliance are not eligible for a refund.

This is an outdoor, rain-or-shine event. Vendors must prepare for outdoor conditions and secure their equipment appropriately.

The organizer may adjust the event layout, schedule, or operations, or suspend or end activities when necessary because of weather, safety concerns, venue requirements, or circumstances beyond the organizer’s control.

Vendor sales, attendance, and weather conditions are not guaranteed.

Vendors are responsible for collecting and remitting applicable sales taxes and for all expenses associated with their participation, including staffing, supplies, permits, insurance, transportation, and equipment.

14. Insurance & Liability

Vendors are responsible for maintaining insurance appropriate to their food service operations and for providing proof of coverage when requested.

Vendors participate at their own risk and are responsible for their staff, equipment, merchandise, food service, and assigned space. Georgia Art Events, event partners, and the venue are not responsible for loss, theft, damage, or injury except to the extent caused by their own negligence or other liability imposed by law.

To the extent permitted by law, vendors agree to indemnify and hold harmless Georgia Art Events, event partners, the venue, and their respective staff and volunteers from claims, damages, and expenses arising from the vendor’s operations, products, negligence, or violation of these terms.

15. Photography, Video & Promotional Use

By participating, vendors grant Georgia Art Events permission to photograph or film their booths, trucks, merchandise, food, displays, and participation in event activities, and to use that material in current and future event marketing, including websites, social media, advertising, and promotional materials, without additional compensation.

This permission covers only rights the vendor is authorized to grant. Vendors do not grant permission on behalf of unrelated attendees or other individuals.
