FantomCon Exhibitor Terms & Conditions

1. Space Allocation, Approval, and Payment

Approval Basis:

Booth assignments are subject to review by FantomCon Management. Submitting an application does not guarantee acceptance.

Payment Terms:

Approved vendors will receive an electronic invoice for deposit of 50%. Invoice must be completed within seven (7) business days of invoice issuance. All Deposits are Non-Refundable. Unpaid spaces will be forfeited and released to the waitlist. Remainder is due no later than thirty (30) days prior to load in date. Failure To complete final payment will constitute forfiture of booth space to waitlist as well as loss of Non-Refundable deposit.

Refund Policy:

All booth fees are non-refundable after payment. The convention operates rain or shine. No refunds will be provided for individual cancellations, no-shows, or travel delays.

2. Venue Rules & Facility Regulations (Blue Water Convention Center)
Floor Rules & Safety:

Aisleways, emergency exits, fire extinguishers, and hose cabinets must remain completely unobstructed at all times. Displays must not extend into aisles beyond designated footprint dimensions.

Prohibited Items:

Open flames, candles, incense, glitter, confetti, helium balloons, pyrotechnics, and smoke/fog machines are strictly prohibited inside the facility.

Wall Displays:

Nailing, taping, stapling, or adhering display material to venue structures, walls, or columns is strictly forbidden. Any damage to the venue will be billed directly to the responsible exhibitor.

Alcohol Policy:

Vendors may not sell, distribute, or consume outside alcoholic beverages on facility grounds. Blue Water Convention Center holds exclusive alcohol distribution rights.

 
3. Merchandise, Bootlegs, and Content Restrictions

Counterfeit & Unlicensed Goods:

The sale of bootleg items, unauthorized merchandise, AI-generated work passing as original art, or direct IP infringement is forbidden. Violators will be instructed to remove items immediately; repeated infractions will result in immediate removal without a refund.

Adult / Mature Content:

Displays must maintain a family-friendly aesthetic (PG-13). Explicit or 18+ content must be covered or kept behind the counter, requiring age verification before viewing or purchasing. Management reserves the right to revoke booth privleges from any space caught displaying graphic or inappropriate material.

4. Weapons & Cosplay Props Policy

Live Weapons Prohibition:

Sale of functional firearms, explosive devices, live steel, or sharp blades is strictly prohibited.

Prop Weapons:

 All prop weapons sold must meet local ordinance standards, be sheath-locked, zip-tied, and placed immediately in sealed packaging upon purchase with clear instructions for buyers to take items directly to their vehicles or hotel rooms.

5. Load-In, Load-Out, and Operation

Schedule:

Load-in times will be specified in the Exhibitor Welcome Packet. Exhibitors must be completely set up at least 30 minutes prior to doors opening to the public.

Early Breakdown Prohibited:

Booths must remain fully set up and staffed during all open public convention hours. Early packing or departure damages the event atmosphere and will disqualify exhibitors from returning to future shows.

6. Taxes and Licensing
Exhibitors are solely responsible for obtaining necessary Michigan state sales tax licenses and collecting and remitting the 6% Michigan State Sales Tax on all taxable goods sold during FantomCon.

7. Liability & Indemnification

Liability:

FantomCon Management, the Blue Water Convention Center, ASM Global, and St. Clair County assume no responsibility for loss, theft, damage, or injury to exhibitors, their employees, or their display property during the event.

Insurance:

Commercial Vendors are strongly encouraged to carry Commercial General Liability insurance naming FantomCon and the Blue Water Convention Center as additional insureds for the event duration.
