Vendor / Artist Alley Application

Thank you for your interest in becoming a vendor at NerdVana — Richmond!

Join us Saturday, November 14, 2026, at Chesterfield Towne Center in Richmond, Virginia, for a celebration of trading cards, video games, anime, comics, collectibles, original artwork, and nerd culture.

We are currently accepting applications for:

• TCG Vendors — $120 per space
• General Vendors — $90 per space
• Artist Alley — $90 per space

Each vendor space includes one 8-foot table and one chair.

TCG Vendor spaces are intended for vendors whose primary merchandise consists of trading cards, sealed TCG products, sports cards, or other trading card-related merchandise.

General Vendor spaces are intended for vendors whose primary merchandise consists of video games, comics, toys, figures, anime merchandise, collectibles, and other nerd-culture merchandise.

Artist Alley spaces are intended for artists and creators selling their own original or handmade work. AI-generated artwork is not permitted.

Vendor type is determined by the primary merchandise being sold. NerdVana reserves the right to reclassify an application if the selected vendor type does not accurately represent the applicant's primary merchandise.

Applications are reviewed before acceptance. Submission of an application does not guarantee approval or reserve a vendor space.

Approved vendors will receive additional information regarding payment, check-in, setup, and event procedures.

NerdVana — Richmond Vendor Terms & Conditions
By submitting an application for NerdVana — Richmond, the applicant acknowledges and agrees to the following Terms & Conditions.

1. APPLICATION & APPROVAL

All vendor applications are subject to review and approval by NerdVana.

Submission of an application does not guarantee acceptance, vendor placement, or reservation of a space.

Vendor spaces are not confirmed until the application has been approved and all required vendor fees have been successfully paid and accepted.

NerdVana reserves the right to approve, decline, or waitlist applications based on available space, merchandise mix, vendor category, event needs, and other relevant considerations.

2. VENDOR CATEGORIES & FEES

NerdVana — Richmond offers the following vendor categories:

• TCG Vendor — $120 per space
• General Vendor — $90 per space
• Artist Alley — $80 per space

Each vendor space includes one designated vendor space, one 8-foot table, and one chair.

Vendors must select the category that most accurately represents the primary merchandise they intend to sell.

TCG Vendor: Intended for vendors whose primary merchandise consists of trading cards, sealed TCG products, sports cards, or other trading card-related merchandise.

General Vendor: Intended for vendors whose primary merchandise consists of video games, comics, toys, figures, anime merchandise, collectibles, and other qualifying nerd-culture merchandise.

Artist Alley: Intended for artists and creators whose primary merchandise consists of their own original or handmade artwork, crafts, or creator-made products.

NerdVana reserves the right to reclassify an application if the selected vendor category does not accurately represent the vendor's primary merchandise.

If reclassification results in a higher vendor fee, the vendor must pay the difference before the vendor space is confirmed. If the vendor does not wish to accept the reclassification, the application may be withdrawn before payment without penalty.

Vendor category pricing applies to the vendor's primary merchandise and may not be selected solely for the purpose of obtaining a lower vendor fee.

3. VENDOR SPACE & PLACEMENT

Vendor locations and table assignments are determined by NerdVana.

Specific placement requests may be submitted but are not guaranteed.

Vendors may not sell, transfer, share, assign, or sublease their vendor space to another business or individual without prior written approval from NerdVana.

Vendors must remain within their assigned space and may not obstruct walkways, neighboring vendors, entrances, exits, or other areas designated by NerdVana or Chesterfield Towne Center.

4. MERCHANDISE & VENDOR CONDUCT

All merchandise must be legal, appropriate for the event, and reasonably consistent with the merchandise represented in the vendor's application.

NerdVana reserves the right to require the removal of merchandise that is prohibited, unsafe, counterfeit, inappropriate for the event, or materially different from what was disclosed during the application process.

Vendors are expected to conduct themselves professionally and respectfully toward attendees, other vendors, NerdVana staff, Chesterfield Towne Center staff, and event partners.

NerdVana reserves the right to remove a vendor from the event for serious or repeated violations of event rules, unsafe conduct, fraudulent activity, harassment, or other conduct that materially disrupts the event.

5. ARTIST ALLEY REQUIREMENTS

Artist Alley is reserved for artists and creators primarily selling their own original or handmade artwork, crafts, or creator-made merchandise.

Artist Alley spaces may not be used primarily for the resale of mass-produced merchandise, trading cards, commercially sourced collectibles, or other merchandise that would normally qualify for a TCG Vendor or General Vendor space.

AI-generated artwork is not permitted in Artist Alley.

NerdVana reserves the right to determine whether an applicant qualifies for Artist Alley and may reclassify an application when appropriate.

6. PAYMENTS, REFUNDS & VENDOR CREDITS

All vendor payments are final and non-refundable after payment has been received and accepted, except where otherwise required by law.

If an approved and paid vendor is unable to attend NerdVana — Richmond, the vendor's payment may be converted into a vendor credit for a future NerdVana event of the vendor's choosing, subject to space availability, application approval, and these Terms & Conditions.

If the selected future event has a higher vendor fee, the vendor will be responsible for paying the difference.

If the selected future event has a lower vendor fee, the remaining credit balance may be carried forward toward another future NerdVana event.

Vendor credits have no cash value, are not redeemable for cash or refunds except where required by law, and may not be transferred to another person or business without prior written approval from NerdVana.

7. EVENT CHANGES, RESCHEDULING & CANCELLATION

NerdVana reserves the right to make reasonable changes to the event schedule, layout, vendor placement, programming, operating procedures, or other event details when necessary.

If NerdVana cancels or reschedules the event, affected vendors will be contacted regarding available options in accordance with applicable law and the policies of the registration or payment platform used.

8. VENDOR RESPONSIBILITIES

Vendors are responsible for their merchandise, displays, equipment, employees, assistants, payment processing, applicable permits or licenses, and any taxes or reporting obligations associated with their business activities.

Vendors are responsible for maintaining a safe and orderly vendor space throughout setup, event hours, and breakdown.

Vendors are responsible for damage caused by themselves, their employees, assistants, equipment, or displays to the extent permitted by applicable law.

Vendors must comply with applicable event rules and reasonable requirements established by NerdVana, Chesterfield Towne Center, property management, public safety officials, and other authorities having jurisdiction over the event.

9. ACKNOWLEDGMENT

By submitting an application, the applicant confirms that the information provided is accurate and that they have read and agree to these Terms & Conditions.

The applicant understands that submission of an application does not constitute acceptance into NerdVana — Richmond and does not guarantee or reserve vendor space.

Approval and vendor participation remain subject to NerdVana's application review process and payment requirements.
