Welcome, Vendors!

Thank you for your interest in participating in the Camp Verde Pecan & Wine Festival! This two-day community event brings together visitors, local businesses, and vendors for a weekend celebrating the Verde Valley. Our goal is to create an enjoyable experience for attendees while providing vendors with an opportunity to showcase their products and connect with the community.

Indoor Booth Spaces: Due to limited availability and high demand, the number of double indoor booth spaces will be restricted to accommodate as many vendors as possible. We encourage early registration, as indoor spaces fill quickly!

Please note: By submitting your application, you acknowledge and agree to the terms and conditions outlined below. This application constitutes an electronic agreement.

Event Details & Vendor Logistics

Event duration: Two days
Saturday hours: 11:00 a.m.–6:00 p.m.
Sunday hours: 11:00 a.m.–5:00 p.m.
Vendor check-in and setup: Friday; time to be announced
Overnight security: Security will be present Friday and Saturday nights.
Setup and unloading: Due to the layout of the event venue, not all vendor spaces will be accessible by vehicle. Staff will direct vendors to unload as close to their assigned spaces as possible. A limited number of wagons may be available on a first-come, first-served basis to assist with transporting merchandise and supplies.

Festival theme: Vendors offering pecan- or wine-related products are encouraged to apply! Vendors featuring pecan-related items will receive special signage from Parks & Recreation to help attendees identify their products.

Animals at the Event

Camp Verde Parks & Recreation events are not pet-friendly. Only service animals are permitted.

Application Approval & Payment

All applications are subject to review and approval by Camp Verde Parks & Recreation. Submission of an application does not guarantee acceptance. Approved vendors will be charged the applicable registration fee upon approval.

Vendor Selection

The Town of Camp Verde reserves the right to accept or decline applications based on event capacity, selection criteria, product quality, and relevance to the event. Priority may be given to local vendors and those whose offerings align with the event theme. Final registration is subject to selection, availability, and payment.

Insurance, Permits & Compliance

Vendors are responsible for providing all required insurance documentation, permits, licenses, and health clearances applicable to their products and activities. Required documentation must be submitted as directed by Camp Verde Parks & Recreation.

Depending on the products or services offered, vendors may be required to provide a Certificate of Insurance (COI) naming the Town of Camp Verde as an additional insured, along with the applicable endorsement. Requirements vary by vendor category and product type; examples may include food vendors and vendors selling certain regulated or potentially hazardous items.

We recommend obtaining coverage that can be used for multiple Town events throughout the year, rather than coverage limited to this festival alone.

Food vendors must also meet applicable Yavapai County health requirements and obtain any necessary permits or clearances. For questions regarding county health requirements, contact Yavapai County Community Health Services at 928-771-3149.

Cancellations & Refunds

Vendor-Initiated Cancellations

All vendor cancellation requests must be submitted in writing by mail or email.

Refunds for vendor-initiated cancellations will be issued according to the following schedule:

• 20 or more days before the event: 100% refund.
• 10–19 days before the event: 50% refund.
• Fewer than 10 days before the event: No refund will be issued.

The date the written cancellation request is received by the Town will determine refund eligibility. Processing fees, if applicable, are nonrefundable.

Town-Initiated Event Cancellations and Weather-Related Closures

The Town reserves the right to cancel, postpone, modify, or close an event when public safety concerns, weather conditions, or other circumstances beyond the Town's reasonable control warrant such action.

• Event canceled before opening: If the Town cancels an event before it begins and the event cannot be rescheduled, vendors will receive a full refund of applicable vendor and booth fees paid to the Town.
• Event rescheduled: If an event is rescheduled, vendor fees will be applied to the rescheduled date. Vendors who cannot participate on the rescheduled date will receive a full refund, minus processing fees.
• Event closed early: If an event begins as scheduled but must close early due to public safety concerns, weather, or other circumstances beyond the Town's reasonable control, no refunds will be issued.
• Partial cancellation of a multi-day event: If one or more days or portions of a multi-day event are canceled after the event has begun, no partial refunds will be issued for the canceled portion.

All refund determinations will be made in accordance with this policy and any applicable Town requirements. 

Vendor Conduct & Event Participation

To help ensure a positive experience for vendors and attendees, all participating vendors are expected to:

Remain open and operational for the full duration of the event.
Follow all designated setup and breakdown schedules and procedures.
Keep their booths and surrounding areas clean, properly dispose of trash, and leave their spaces in good condition.
Operate entirely within their assigned booth or vendor space.
Failure to comply with these requirements may result in a $100 fee and/or suspension from participation in future Town events.
