This is for food trucks up to 25 ft long

Food vendors and food trucks must provide documentation showing they meet all applicable Gwinnett County Environmental Health requirements prior to approval.

Thank you for participating in the Rock Springs Holiday Bazaar. By submitting an application, payment, or participating in this event, vendors agree to the following terms and conditions.

1. Vendor Participation
Vendors agree to provide high-quality products, services, and displays that are appropriate for a family-friendly holiday community event. Freda Kalina Events reserves the right to approve, deny, or remove any vendor or product that does not align with the event’s standards or purpose.

2. Vendor Setup & Breakdown
Vendors are responsible for their own setup, tables, chairs, displays, decorations, signage, and materials unless otherwise specified.

Vendors must arrive during the assigned setup time and remain until the conclusion of the event unless prior approval has been granted.

Vendors are responsible for removing all belongings, trash, and materials at the end of the event.

3. Vendor Space
Vendor spaces are assigned by Freda Kalina Events. Spaces may not be shared, transferred, or reassigned without prior approval.

Vendors are responsible for keeping their assigned area clean, safe, and professional throughout the event.

4. Payments & Refund Policy
Vendor fees must be paid according to the terms provided by Freda Kalina Events.

Unless the event is canceled by Freda Kalina Events, vendor fees are non-refundable. In the event of cancellation due to circumstances beyond the organizer’s control, refunds or credits will be determined at the discretion of the event organizer.

5. Sales & Compliance
Vendors are responsible for complying with all applicable federal, state, and local laws, permits, licenses, sales tax requirements, health regulations, and insurance requirements related to their products or services.

Food vendors are responsible for meeting all applicable food safety requirements.

6. Weather & Unforeseen Circumstances
The event may proceed regardless of weather conditions unless deemed unsafe by Freda Kalina Events or Rock Springs United Methodist Church.

Freda Kalina Events is not responsible for losses, damages, expenses, or missed sales due to weather, emergencies, acts of nature, government restrictions, or other circumstances beyond its control.

 
HOLD HARMLESS & RELEASE AGREEMENT
By participating in the Rock Springs Holiday Bazaar, vendor agrees to release, waive, indemnify, defend, and hold harmless Freda Kalina Events, Freda Kalina, Rock Springs United Methodist Church, its staff, volunteers, representatives, agents, and affiliates from any and all claims, demands, liabilities, damages, losses, injuries, expenses, or causes of action arising out of or related to:

Vendor participation in the event;
Vendor’s products, displays, equipment, vehicles, or activities;
Any injury, loss, theft, or damage occurring to the vendor, vendor’s employees, representatives, guests, property, or merchandise;
Any claim resulting from vendor’s actions, negligence, or failure to comply with laws or event rules.
Vendor acknowledges that participation is voluntary and assumes all risks associated with participation in the event.

Vendor agrees to be solely responsible for any damages or claims arising from their own actions, products, services, employees, or representatives.

 
Insurance & Liability
Vendors are responsible for maintaining appropriate insurance coverage for their business activities, products, and equipment if applicable.

Freda Kalina Events and Rock Springs United Methodist Church are not responsible for lost, stolen, or damaged merchandise, personal belongings, equipment, or inventory.

 
Photography & Marketing Release
By participating in the event, vendors grant permission for photographs and videos taken during the event to be used by Freda Kalina Events and event partners for promotional, marketing, social media, and future event purposes.
