Terms & Conditions
Vendor Terms & Conditions
By submitting an application to participate in a Crafts in the Village festival (“Event”), the applicant (“Vendor”) acknowledges that they have read, understand, and agree to abide by the following Terms & Conditions. Submission of an application does not guarantee acceptance into any Event.
1. APPLICATION & ACCEPTANCE
Crafts in the Village is a juried event. Applications are reviewed based on product quality, originality, presentation, category balance, available space, and the overall needs of the Event.
Crafts in the Village reserves the right, in its sole discretion, to accept or decline any application.
Acceptance applies only to the Vendor and products represented in the approved application. Vendors may not transfer, sell, share, or assign their booth space to another person or business without prior written approval.
2. APPROVED PRODUCTS
Vendors may sell only the products and product categories disclosed in their application and approved by Crafts in the Village.
Substantial changes to a Vendor's merchandise after acceptance must receive prior approval.
Crafts in the Village reserves the right to require removal of merchandise that was not approved, is inconsistent with the application submitted, violates Event standards, infringes intellectual-property rights, is unsafe, or is otherwise inappropriate for the Event.
3. HANDMADE & ORIGINAL WORK
Crafts in the Village is intended to showcase artists, makers, craftspeople, designers, and other approved small businesses.
Unless specifically approved by Event management, mass-produced merchandise, commercially manufactured resale merchandise, counterfeit merchandise, and undisclosed buy/sell products are prohibited.
Misrepresentation of the origin, manufacture, or authorship of merchandise may result in immediate removal from the Event without refund.
4. BOOTH FEES & PAYMENT
All booth fees and other applicable charges must be paid according to the deadlines established through Eventeny or otherwise communicated by Crafts in the Village.
A Vendor's space is not guaranteed until all required fees have been received and the Vendor has satisfied all application requirements.
Failure to pay by the stated deadline may result in cancellation of the Vendor's acceptance and release of the booth space to another applicant.
5. REFUND & CANCELLATION POLICY
Unless otherwise expressly stated in writing by Crafts in the Village, application fees, booth fees, and other Event fees are non-refundable and non-transferable.
Once a Vendor has been accepted and payment has been made, fees will not be refunded because of Vendor cancellation, scheduling conflicts, illness, travel problems, staffing issues, poor sales, weather forecasts, or other circumstances affecting the Vendor's ability or desire to participate.
Vendors should apply only after confirming their availability for the entire Event.
6. WEATHER & EVENT CANCELLATION
Crafts in the Village festivals are outdoor events and are generally held rain or shine.
Vendors acknowledge and voluntarily assume the risks associated with outdoor events, including rain, wind, heat, cold, lightning, severe weather, flooding, and other environmental conditions.
Crafts in the Village may delay opening, close early, temporarily suspend operations, modify Event hours, evacuate the Event, or cancel all or part of an Event when management determines that circumstances warrant such action.
Decisions regarding Event operations may be based on weather conditions, public safety, governmental directives, venue requirements, emergencies, or circumstances beyond the reasonable control of the organizer.
Unless otherwise announced by Crafts in the Village, weather-related delays, closures, evacuations, or cancellations do not automatically entitle Vendors to refunds, credits, or transfers.
Vendor safety remains the responsibility of each Vendor. A Vendor may choose to leave because of weather or personal safety concerns, but doing so does not create an entitlement to a refund or credit.
7. BOOTH ASSIGNMENTS
Booth assignments are determined by Crafts in the Village.
Although reasonable requests may be considered, specific booth locations, neighboring Vendors, shade, visibility, traffic patterns, corner spaces, and proximity to particular businesses or attractions are not guaranteed.
Crafts in the Village reserves the right to change booth assignments before or during an Event when necessary for operational, safety, venue, governmental, or Event-management purposes.
Vendors may not relocate or exchange booth spaces without authorization.
8. BOOTH SIZE & DISPLAY
All displays, merchandise, signage, chairs, tables, racks, storage containers, tent components, and other Vendor property must remain within the Vendor's assigned space unless otherwise authorized.
Vendors may not obstruct sidewalks, aisles, fire lanes, emergency routes, neighboring booths, business entrances, or pedestrian traffic.
Displays must be professional, safe, stable, and appropriate for a public event.
9. TENTS & WEIGHTS
Vendors are responsible for providing their own professional-quality tent unless otherwise stated.
All tents must be properly secured with sufficient weights on each tent leg.
Stakes may not be used unless specifically authorized by the venue and Crafts in the Village.
Weights must be safely secured so they do not create a trip hazard.
Crafts in the Village, venue representatives, fire officials, or other authorities may require additional weights or other safety measures based on conditions.
A Vendor whose tent or display is considered unsafe may be required to correct the condition immediately or remove the tent/display.
Vendors are responsible for monitoring and securing their tents throughout the Event.
10. SETUP & LOAD-IN
Vendors must follow the designated setup schedule and load-in instructions provided for each Event.
Vehicles must be removed from the Event area by the designated deadline.
Vendors should unload promptly and move their vehicles before completing extensive booth setup when instructed to do so.
Blocking traffic, fire lanes, other Vendors, businesses, or public access during setup is prohibited.
11. EVENT HOURS
Vendors are expected to have their booths completely set up and ready for customers before the advertised opening time and to remain open and staffed throughout published Event hours.
Vendors may not begin breaking down their booths before the official closing time unless expressly authorized by Event management.
Early breakdown creates safety concerns and negatively affects neighboring Vendors and the public. Unauthorized early departure may affect eligibility for future Crafts in the Village events.
12. BREAKDOWN & LOAD-OUT
Vehicles may not enter restricted Event areas for load-out until authorized by Event staff.
Vendors must completely clean their booth area before departure and remove all merchandise, displays, zip ties, packaging, trash, and other materials.
Vendors are responsible for damage caused to the venue or Event property by themselves, their employees, contractors, equipment, or displays.
13. ELECTRICITY
Electricity is not guaranteed unless specifically offered and approved for a particular Event.
Vendors approved for electrical service must provide appropriate outdoor-rated extension cords and equipment and comply with all applicable safety requirements.
Unauthorized generators or connections to electrical sources are prohibited.
14. SALES TAXES, LICENSES & PERMITS
Each Vendor is independently responsible for determining and satisfying all applicable federal, state, county, municipal, and other governmental requirements relating to their business and participation in the Event.
This includes, when applicable, business licenses, sales-tax registration and collection, permits, food-service requirements, health regulations, and professional or occupational licensing.
Acceptance into an Event does not constitute a representation by Crafts in the Village that a Vendor has satisfied governmental requirements.
15. INSURANCE
Vendors are responsible for maintaining any insurance required by law, the venue, or Event management and any insurance reasonably appropriate for their operations.
Crafts in the Village may require proof of insurance from individual Vendors or Vendor categories when appropriate.
16. FOOD & BEVERAGE VENDORS
Food and beverage Vendors must comply with all applicable health-department, fire, licensing, permitting, food-safety, and governmental requirements.
Required permits must be obtained before the Event.
Acceptance by Crafts in the Village does not replace or waive any governmental approval or inspection requirement.
17. FIRE & SAFETY REQUIREMENTS
Vendors must comply with instructions issued by Crafts in the Village, venue management, law enforcement, fire officials, emergency personnel, and governmental authorities.
Required fire extinguishers and other safety equipment must be present and accessible when applicable.
Fire lanes, emergency exits, hydrants, sidewalks, and designated access routes must remain unobstructed.
18. VENDOR CONDUCT
Crafts in the Village is committed to maintaining a professional and welcoming environment.
Vendors, employees, assistants, and representatives are expected to treat Event staff, venue personnel, fellow Vendors, customers, public officials, and members of the public respectfully.
Threatening, abusive, harassing, discriminatory, intimidating, disruptive, or unsafe conduct will not be tolerated.
A Vendor may be removed from an Event for serious or repeated violations of Event policies or conduct standards. Depending upon the circumstances, the Vendor may also be denied participation in future events.
Removal for violation of these Terms does not entitle the Vendor to a refund.
19. ALCOHOL, DRUGS & IMPAIRMENT
Vendors and their representatives may not conduct business while impaired or engage in unlawful drug activity within the Event area.
Alcohol may be possessed or consumed only when permitted by law, the venue, and Event rules.
20. CHILDREN & PETS
Vendors are responsible for the supervision and safety of children accompanying them.
Pets or animals brought by Vendors must comply with venue rules and applicable law. Vendors are responsible for their animals and any injury or property damage they cause.
Nothing in this provision limits rights applicable to service animals under law.
21. SECURITY & PERSONAL PROPERTY
Vendors are solely responsible for their merchandise, tents, displays, equipment, vehicles, money, and other property.
Crafts in the Village does not guarantee security and is not an insurer of Vendor property.
Vendors should take appropriate precautions against theft, loss, weather damage, and other risks, including during overnight periods at multi-day Events.
22. ASSUMPTION OF RISK
Participation in an outdoor public festival involves inherent risks, including weather, crowds, vehicle movement during setup and breakdown, temporary structures, theft, property damage, and personal injury.
To the extent permitted by applicable law, Vendor voluntarily assumes the risks ordinarily associated with participation in the Event and is responsible for maintaining appropriate insurance and safeguards for Vendor's operations.
23. LIABILITY & INDEMNIFICATION
To the fullest extent permitted by applicable law, Vendor is responsible for claims, injuries, losses, or damages caused by Vendor's acts or omissions or those of Vendor's employees, agents, contractors, representatives, merchandise, equipment, displays, or operations.
To the fullest extent permitted by applicable law, Vendor agrees to indemnify and hold harmless Crafts in the Village, its organizing entity, officers, employees, agents, representatives, sponsors, and venue partners from third-party claims, liabilities, damages, costs, and reasonable expenses arising from Vendor's negligent or wrongful acts or omissions, breach of these Terms, or violation of applicable law.
Nothing in these Terms is intended to waive liability that cannot lawfully be waived under applicable law.
24. PHOTOGRAPHY & PROMOTIONAL USE
By participating in the Event, Vendor acknowledges that photography and video recording may occur in public Event areas.
Vendor grants Crafts in the Village permission to photograph or record Vendor's booth, displays, products, personnel, and Event participation and to use those images or recordings for reasonable Event-related promotional, advertising, social-media, archival, and informational purposes without additional compensation.
25. EVENT CHANGES
Crafts in the Village reserves the right to make reasonable changes to Event dates, hours, layouts, booth assignments, setup procedures, traffic plans, rules, and operational requirements when circumstances require.
Vendors agree to follow updated instructions communicated by Event management.
26. ENFORCEMENT
Failure to comply with these Terms & Conditions, Event instructions, venue requirements, or applicable laws may result in corrective instructions, removal of prohibited merchandise, closure of a booth, removal from the Event, or denial of participation in future Events, depending upon the nature and severity of the violation.
No refund is required when a Vendor is removed for violating these Terms.
27. NO GUARANTEE OF SALES OR ATTENDANCE
Crafts in the Village does not guarantee attendance levels, customer traffic, weather conditions, sales, revenue, profitability, or any particular commercial result.
Vendor participation is undertaken at the Vendor's own business risk.
28. COMMUNICATIONS
Vendors are responsible for monitoring the email address and Eventeny account associated with their application.
Important information concerning acceptance, payment, setup, weather, booth assignments, and Event operations may be communicated electronically.
Failure to read a communication does not excuse compliance with Event requirements.
29. ACKNOWLEDGMENT & AGREEMENT
By submitting an application through Eventeny or otherwise applying to participate in a Crafts in the Village festival, Vendor represents that the information provided in the application is accurate and acknowledges that Vendor has read, understands, and agrees to these Terms & Conditions.
If accepted, Vendor agrees that these Terms apply to Vendor and to Vendor's employees, assistants, agents, and representatives participating in the Event.
Vendor further acknowledges that failure to comply with these Terms may result in removal from the Event and/or loss of eligibility for future Crafts in the Village festivals.
