The Derby Day Art Festival at Big Door Vineyards brings together a thoughtfully selected collection of original artists and makers for a lively spring afternoon at one of North Georgia’s most beautiful vineyard destinations. Guests can browse and purchase original work, enjoy locally made wine and live music, and take part in the festive Derby Day atmosphere—complete with bold hats, colorful fashion, and plenty of reasons to linger.
We are seeking talented artists and makers whose work adds quality, creativity, and personality to the experience. This is not a generic vendor market. Our goal is to create a distinctive, well-curated event that attracts guests who appreciate original work and enjoy meeting the people who create it.

The Derby Day Art Festival at Big Door Vineyards is looking for artisanal food vendors whose products are primarily handmade, crafted in small batches, and reflect creativity, quality ingredients, and individual craftsmanship. Products should demonstrate a level of skill, originality, or specialty production beyond mass-produced or commercially manufactured foods.
Examples of acceptable artisanal products include:
- Specialty baked goods
- Handmade chocolates and confections
- Small-batch jams, jellies, and preserves
- Artisan breads
- Gourmet sauces, spice blends, and seasonings
- Locally roasted coffee or tea blends
- Handcrafted beverages
- Specialty honey and bee products
- Small-batch snack foods
- Unique cultural or regional food products
The Following are generally NOT considered artisinal
- Nationally distributed commercial products
- Mass-produced packaged foods purchased for resale
- Products with minimal modification or repackaging
- Multi-level marketing (MLM) food products
Preference may be given to vendors who personally make, grow, bake, roast, ferment, or otherwise produce the products they sell.
Application Requirements and Festival Day Considerations:
- Artists must submit application by April 24, 2027 11:59pm.
- Artists must submit up to 5 of images of their work as a small representation of the artist’s body of work, including at least one image(s) of your tent display as part of the application.
- Applications will not be considered without $25 payment at time of submission.
- Booth fee for accepted artists is $75 and will be charged upon acceptance.
- No refunds.
- Artists are responsible for tents, tables, and all displays.
- Each artist must use a 10x10 SOLID WHITE tent.
- If accepted, artists MUST bring weights to weigh down the tent.
- Artists are responsible for all display equipment and presentation of their work.
- There will not be electricity or water provided.
- If you need electricity, you will need to bring a quiet generator.
- If you need water, you will need to provide your own.
- One Vendor per booth space; sharing of booth space is not allowed. Vendors cannot sublet or apportion space to anyone else.
- Set‐up is allowed during allotted times only.
- While the Event Committee will make every effort to accommodate specific requests, we cannot guarantee truck/trailer locations and locations will be assigned by the Event Committee upon arrival to event.
- Derby Day Art Festival merchandise must be original, handmade, and created by the exhibitor.
- Artists must be present with their work for the duration of the festival. No commercial agents, dealers, or sales people may operate an artist’s booth.
- Booth must always be open and manned during festival hours.
- Vendors are responsible for booth set‐up, break‐down, and security of your property.
- All vehicles, trailers and debris are to be off the street and cleared from the festival area by 10:00 a.m.
- After unloading and setup, vendor vehicles and trailers must be moved to designated vendor parking area(s). Vehicles and trailers are not permitted to enter the festival grounds and area during festival hours of operation, unless otherwise approved by the Event Committee.
- Vendors must unload and move vehicles immediately to designated parking areas. If Vendor carries additional stock, it is suggested to bring a dolly or hand‐cart to bring additional stock to booth as necessary.
- Booth must be set‐up and ready for business by 10:30am.
- Artists take down at 7pm.
- Absolutely no early teardowns.
- Rain or Shine
No “rain date.” Fees will not be refunded in case of inclement weather.
This is a rain or shine event.
No Show Policy
Artists who have not checked-in by 9:30 am Saturday, May 1, will be considered a “no-show.” No-show artists are not eligible for refunds and may not set up after 9:30am.
Liability
Neither Black Sheep Promotions, Big Door Vineyards, Menagerie on Main, Georgia Art Events, nor its agents or representatives will be responsible for any injury, damage, or loss that may occur to the Exhibitor/Artist, the Exhibitor’s agents or representatives, or his/her property from any cause whatsoever. Exhibitors should obtain, at their own expense, insurance against any loss, damage, or injury they may require.
Sale Terms
Application fee is $25 due upon submission.
All sales are final.
Artists keep 100% of sales from their tents/booths.
Exhibitors shall be responsible for obtaining any required licenses, permits, or approvals under state laws applicable to his/her activity at the Derby Day Art Festival and for paying any taxes, sales taxes, fees, or other charges that may be applicable to any Exhibitor’s activity at The Derby Day & Art Festival at Big Door Vineyards

GEORGIA ART EVENTS
VENDOR AND EXHIBITOR TERMS AND CONDITIONS
By submitting an application to participate in an event produced or managed by Georgia Art Events (“GAE”), the applicant agrees to the following terms and conditions. “Vendor” refers to any accepted artist, maker, exhibitor, food or beverage vendor, sponsor, nonprofit organization, service provider, or other participant.
1. APPLICATION AND ACCEPTANCE
Submission of an application does not guarantee acceptance into an event. Applications may be reviewed based on quality, originality, professionalism, event suitability, available space, category balance, and the overall experience GAE is working to create.
GAE reserves the right to accept or decline any application at its discretion. Decisions are final. Acceptance applies only to the applicant, products, artwork, and booth presentation described in the application.
GAE may revoke an acceptance if information in an application is inaccurate, misleading, incomplete, or materially different from what the vendor presents at the event.
2. ORIGINALITY AND APPROVED PRODUCTS
Artists and makers must primarily exhibit and sell original work created or designed by the accepted applicant unless an event’s application specifically permits otherwise.
Mass-produced merchandise, commercially manufactured products presented as handmade, counterfeit goods, unauthorized reproductions, and undisclosed buy-and-resell items are not permitted in artist or maker categories.
Limited use of commercially produced components may be allowed when those components are incorporated into a substantially original, artist-created product. Applicants must accurately describe their materials, methods, and level of involvement in the creation process.
Food vendors, sponsors, nonprofits, businesses, and other approved exhibitors may offer only the products, services, or information disclosed in and approved through their applications.
GAE may require a vendor to remove unapproved or inappropriate merchandise. Significant differences between an application and the work or products displayed at the event may result in removal from the event without refund.
3. FEES AND PAYMENT
Application fees are nonrefundable, regardless of whether the applicant is accepted, declines an invitation, withdraws an application, or is unable to attend.
Accepted vendors must pay all required booth and participation fees by the deadline stated in their acceptance notice. A space is not secured until all required payments and documentation have been received.
Payment processing fees and other third-party service fees are nonrefundable unless otherwise required by law or stated in writing by GAE.
Failure to pay by the stated deadline may result in forfeiture of the vendor’s acceptance and space.
4. VENDOR CANCELLATIONS, REFUNDS, AND CREDITS
All cancellation requests must be submitted to GAE in writing.
A vendor who cancels at least 45 calendar days before the first scheduled day of the event may request consideration for a booth-fee refund or credit toward a future GAE event. Refunds and credits are not automatic and will be determined by GAE based on the circumstances, expenses already incurred, the ability to fill the space, and other relevant factors.
Unless GAE agrees otherwise in writing, vendors who cancel fewer than 45 calendar days before the event are not eligible for a refund or future-event credit.
Application fees and payment-processing fees remain nonrefundable. Any future-event credit offered by GAE is subject to the stated expiration date, availability, application requirements, and acceptance into the future event. A credit does not guarantee acceptance or placement.
Failure to attend, late arrival, or early departure does not qualify the vendor for a refund or credit.
5. RAIN, WEATHER, AND EVENT CONDITIONS
GAE events are held rain or shine unless GAE or the appropriate public authority determines that conditions require a delay, modification, evacuation, early closure, or cancellation.
Vendors are responsible for monitoring weather conditions and preparing their booths, products, equipment, and staff for the reasonably anticipated conditions of an outdoor event.
GAE does not guarantee attendance, sales, weather, booth traffic, parking availability, vendor location, or financial results.
6. EVENT CANCELLATION OR MODIFICATION
GAE may change an event’s date, schedule, hours, location, layout, entertainment, activities, booth placement, or other operational details when reasonably necessary.
If GAE cancels, postpones, relocates, or materially modifies an event because of severe weather, unsafe conditions, government action, public emergency, venue unavailability, utility failure, acts of God, or circumstances beyond GAE’s reasonable control, GAE may determine whether a full or partial refund, future-event credit, or no reimbursement is available after considering nonrecoverable costs and the circumstances of the event.
GAE is not responsible for the vendor’s travel, lodging, staffing, inventory, equipment, food, marketing, or other expenses resulting from an event change or cancellation.
7. BOOTH ASSIGNMENTS AND SHARING
Booth assignments are made by GAE and may be changed before or during an event for operational, safety, accessibility, or event-design reasons.
Vendor requests may be considered but are not guaranteed. Vendors may not relocate, expand, trade, or alter their assigned spaces without approval from GAE.
An acceptance and booth space may not be sold, transferred, assigned, or shared with another person or business without GAE’s prior written approval. Only approved vendors and approved products may occupy the assigned space.
8. DISPLAY, TENTS, AND EQUIPMENT
Unless an application states otherwise, vendors are responsible for providing their own tent, tables, chairs, displays, lighting, extension cords, weather protection, and other equipment necessary to operate their booths.
All tents, canopies, displays, signs, and equipment must be professional, stable, properly secured, and contained within the assigned space. Tents must be weighted appropriately for outdoor conditions and comply with all event, venue, municipal, fire, and safety requirements. Stakes may not be used unless GAE or the venue expressly permits them.
Vendors are responsible for protecting their property from rain, wind, heat, sun, uneven ground, and other outdoor conditions.
GAE may require the correction or removal of any tent, display, equipment, or activity it considers unsafe, disruptive, inaccessible, or inconsistent with event requirements.
9. SETUP, ATTENDANCE, AND BREAKDOWN
Vendors must follow all published setup, check-in, vehicle-access, unloading, parking, and breakdown instructions.
Vendors must complete setup by the required time and remain open and appropriately staffed during all published event hours. Vendors may not begin packing, dismantling displays, or bringing vehicles into the event area before GAE authorizes breakdown.
Late arrival, early departure, an unattended booth, or failure to follow vehicle and setup procedures may affect eligibility for future GAE events and may result in removal without refund.
10. PERMITS, LICENSES, TAXES, AND LEGAL COMPLIANCE
Vendors are solely responsible for obtaining and maintaining all licenses, permits, inspections, certifications, registrations, and approvals required for their participation and sales.
Vendors are responsible for collecting, reporting, and paying all applicable sales, use, income, and other taxes.
Food and beverage vendors must comply with all applicable health-department, food-safety, fire, propane, electrical, and temporary-event requirements.
Each vendor must comply with applicable federal, state, and local laws, event rules, venue rules, and instructions from GAE staff and public-safety officials.
11. INSURANCE
Vendors are responsible for maintaining insurance appropriate to their activities, products, equipment, employees, and potential liabilities.
GAE, the venue, a municipality, or another event partner may require proof of insurance or a certificate of insurance naming specified parties as additional insureds. When requested, the vendor must provide satisfactory documentation by the stated deadline.
Failure to provide required insurance documentation may result in loss of participation without refund.
12. VENDOR CONDUCT
Vendors and their employees, assistants, contractors, and representatives must behave professionally and respectfully toward attendees, other vendors, volunteers, venue personnel, public officials, and GAE staff.
Harassment, discrimination, threats, violence, intoxication, illegal activity, dangerous conduct, aggressive solicitation, excessive noise, or material interference with another vendor or the event will not be tolerated.
GAE may remove any person, product, display, or activity that violates these terms, creates a safety concern, disrupts the event, damages the event’s reputation, or is materially inconsistent with the accepted application. Removal for a rule or conduct violation will not entitle the vendor to a refund or credit.
13. SALES AND CUSTOMER TRANSACTIONS
Vendors conduct business independently and at their own risk. GAE is not a party to transactions between vendors and their customers and is not responsible for product quality, warranties, refunds, chargebacks, customer disputes, or representations made by a vendor.
Vendors are responsible for their own cash, payment systems, inventory, equipment, personal property, and customer-service policies.
14. PROPERTY, SECURITY, AND DAMAGES
Vendors are responsible for securing and supervising their booths, products, equipment, vehicles, and personal property.
GAE does not assume responsibility for theft, loss, vandalism, weather damage, property damage, personal injury, equipment failure, or unattended property before, during, or after an event.
The vendor is responsible for damage caused by the vendor or the vendor’s employees, assistants, contractors, equipment, display, products, or activities. The vendor agrees to reimburse the affected party for repair, cleanup, replacement, or other costs resulting from such damage.
15. ASSUMPTION OF RISK AND RELEASE
The vendor understands that participation in an event, particularly an outdoor event, involves risks that may include weather, wind, rain, heat, crowds, vehicle movement, temporary structures, uneven surfaces, lifting, loading, electrical equipment, food preparation, theft, property damage, illness, and personal injury.
To the fullest extent permitted by law, the vendor voluntarily assumes the risks associated with participation and releases GAE and its owners, officers, employees, contractors, volunteers, event partners, sponsors, venues, property owners, municipalities, and public agencies from claims arising from the vendor’s participation, except to the extent a claim cannot legally be released.
16. INDEMNIFICATION
To the fullest extent permitted by law, the vendor agrees to defend, indemnify, and hold harmless GAE and its owners, officers, employees, contractors, volunteers, event partners, sponsors, venues, property owners, municipalities, and public agencies from claims, damages, losses, liabilities, penalties, judgments, and reasonable legal expenses arising from or related to:
* The vendor’s participation in the event;
* The acts or omissions of the vendor or the vendor’s employees, assistants, contractors, or representatives;
* The vendor’s products, services, equipment, displays, food, beverages, or activities;
* Personal injury, death, or property damage caused by or connected with the vendor;
* The vendor’s violation of a law, permit, license, event rule, or third-party right; or
* Any claim that the vendor’s products, images, branding, or other materials infringe intellectual-property or other legal rights.
This obligation does not apply to the extent prohibited by law.
17. PHOTOGRAPHY AND PROMOTIONAL USE
The vendor grants GAE and its event partners permission to photograph, record, and otherwise document the vendor, the vendor’s booth, representatives, products, artwork, displays, and activities while participating in or preparing for the event.
The vendor grants GAE a nonexclusive, worldwide, royalty-free license to use this event-related photography and recording for legitimate promotional, editorial, archival, advertising, website, social-media, sponsorship, and event-recap purposes in any medium.
Ownership of the vendor’s underlying artwork and original intellectual property remains with the vendor. GAE will not knowingly sell reproductions of a vendor’s individual artwork as standalone merchandise without separate permission.
The vendor is responsible for obtaining any necessary permission from employees, assistants, models, or other individuals appearing in the vendor’s booth or promotional materials.
18. COMMUNICATIONS
The vendor agrees that application decisions, invoices, instructions, notices, schedules, maps, and event updates may be delivered electronically through email, an application platform, or another contact method supplied by the vendor.
The vendor is responsible for providing accurate contact information and reviewing communications, including spam or junk folders. Failure to read an event communication does not excuse noncompliance with its instructions or deadlines.
19. ADDITIONAL EVENT RULES
Each event may have additional requirements stated in its application, acceptance notice, vendor guide, map, email instructions, or venue rules. Those requirements are incorporated into these terms.
If an event-specific written rule conflicts with these general terms, the event-specific rule will control for that event.
GAE may make reasonable operational and safety-related rule changes. Vendors will be notified of material changes when practical.
20. ENFORCEMENT
GAE may deny participation, close a booth, remove a vendor, withhold future invitations, or take other reasonable action when a vendor violates these terms or event-specific requirements.
GAE’s decision not to enforce a provision on one occasion does not waive its right to enforce that provision later.
21. GOVERNING LAW AND SEVERABILITY
These terms will be governed by the laws of the State of Georgia.
If any provision is found to be invalid or unenforceable, the remaining provisions will continue in effect. Any invalid provision will be limited or modified only to the minimum extent necessary to make it enforceable where permitted by law.
22. COMPLETE AGREEMENT
These terms, together with the applicable event application, acceptance notice, vendor instructions, invoice, and written event-specific policies, constitute the agreement between GAE and the vendor regarding participation.
Any exception or modification must be approved by GAE in writing.

By submitting an application and selecting the acknowledgment checkbox, I confirm that:
* I have read, understand, and agree to these Terms and Conditions;
* The information in my application is accurate and complete;
* I am authorized to agree on behalf of the applying person or business;
* I understand that submitting an application does not guarantee acceptance;
* I understand the payment, cancellation, weather, and refund policies; and
* If accepted, I agree to follow all event-specific instructions and requirements.
