NEXCON 2026 Gaming Gear & Acrylic Art Vendor Application — 10×10

NEXCON 2026 is accepting applications for four highly curated 10×10 specialty vendor booths. This showcase is intended for independent creators, builders and businesses offering gaming-focused products such as:

• Custom gaming controllers and controller shells
• Fight sticks and leverless controllers
• Arcade buttons, parts and accessories
• Controller stands and custom console accessories
• Gaming peripherals and tournament equipment
• Edge-lit acrylic or plexiglass artwork
• Layered acrylic displays and LED acrylic signs
• Original gaming, anime and pop-culture display pieces

NEXCON takes place November 14–15, 2026, at the Cleveland County Event Center in Norman, Oklahoma. Vendor setup will take place Friday, November 13. Projected weekend attendance is approximately 1,000–1,500 people.

Only four spaces are available. Applications will be reviewed based on event fit, product quality, originality, display presentation and product-category variety. Submission does not guarantee acceptance.

There is no charge to apply. Approved vendors will receive a $500 booth-deposit invoice. Non-food vendors keep 100% of their merchandise sales and are not subject to the venue’s food-vendor percentage.

The $500 deposit may be refunded after NEXCON if the vendor brings at least 10 verified attendees who purchase $50 early-bird weekend passes through the vendor’s assigned tracking link or code and check in at the convention.

This application is not intended for food vendors, general resale-only merchandise or standard Artist Alley tables.

By submitting this application, the applicant agrees to the following terms:

APPLICATION AND SELECTION
Only four 10×10 specialty vendor spaces are available. Ninjutsu Entertainment will review and approve or reject each application. Selection is based on event relevance, product quality, originality, professionalism, display presentation and maintaining a varied vendor lineup. Submission does not guarantee acceptance.

Applicants must provide accurate product descriptions, photographs, website links or social-media examples. Vendors may only sell products and operate under the business identity approved in their application.

ACCEPTED PRODUCTS
This application is intended primarily for custom controllers, fight sticks, leverless controllers, arcade parts, gaming accessories, controller stands, custom console accessories, gaming peripherals, acrylic artwork, plexiglass displays, LED acrylic signs and related gaming, anime or pop-culture products.

Counterfeit products, bootleg merchandise, unauthorized reproductions and products that infringe intellectual-property rights are prohibited.

BOOTH DEPOSIT AND PAYMENT
There is no charge to submit an application. Approved vendors will receive a $500 booth-deposit invoice. Payment must be completed by the deadline shown on the invoice. An unpaid booth may be released to another applicant.

The deposit covers one approved 10×10 vendor footprint for the NEXCON 2026 weekend. Vendors may not transfer, share, resell or sublease their space without written approval from Ninjutsu Entertainment.

ATTENDEE-REFERRAL REFUND
A vendor may receive a refund of the $250 deposit after the event by generating at least 10 verified early-bird weekend-pass purchases.

Each qualifying attendee must purchase a $50 early-bird weekend pass through the vendor’s assigned tracking link or code and check in at NEXCON. Unpaid registrations, refunded purchases, duplicate transactions, complimentary tickets and purchasers who do not check in will not count toward the requirement.

SALES AND TAXES
Non-food vendors retain 100% of their merchandise sales. The venue’s percentage requirement for food vendors does not apply to these booths.

Each vendor is responsible for collecting and reporting all applicable taxes and maintaining any licenses, permits or insurance required for their business and products.

BOOTH SPACE AND DISPLAY
All merchandise, signs, displays, storage and demonstrations must remain inside the assigned 10×10 footprint. Displays may not block aisles, exits, neighboring booths, emergency equipment or accessibility routes.

Included furnishings and utility availability will be confirmed with approved vendors. Vendors should not assume that electricity, internet access, tables, chairs or display equipment are included unless confirmed in writing.

Any vendor requesting electricity for controller demonstrations, lighting or acrylic displays must disclose those needs before the event. All equipment and extension cords must be safe, properly maintained and approved for indoor use.

SETUP AND OPERATION
Vendor setup will take place Friday, November 13, 2026. Exact load-in instructions and public operating hours will be provided before the convention.

Booths must remain staffed and professionally maintained during required public hours. Early breakdown is prohibited without organizer approval.

SAFETY AND CONDUCT
Sharp, hazardous, flammable, illegal or unsafe products are prohibited. Acrylic displays must have finished edges, stable bases and secure mounting. Vendors are responsible for the safety of all demonstrations and equipment within their space.

Harassment, discrimination, disruptive conduct or inappropriate behavior toward attendees, staff or other vendors may result in removal without refund.

SECURITY AND LIABILITY
Vendors are responsible for securing their merchandise, equipment, cash and personal property. Ninjutsu Entertainment, NEXCON, the venue and their representatives are not responsible for lost, stolen or damaged property.

Vendors accept responsibility for injury, damage or claims caused by their merchandise, displays, equipment, employees or activities.

CANCELLATIONS AND EVENT CHANGES
Vendor deposits are non-refundable following payment except through the verified attendee-referral program, organizer-approved exceptions or cancellation of the event by Ninjutsu Entertainment.

Ninjutsu Entertainment may adjust booth placement, operating procedures, schedules or event details when required by safety, venue or operational needs.

MEDIA RELEASE
Vendors authorize NEXCON and Ninjutsu Entertainment to photograph or record their booth, products and representatives during the event for event coverage and future promotional use.

Submitting this application confirms that the applicant has read, understood and agreed to these terms and conditions.
