Miles for Hope Vendo Market

Miles for Hope is a family-friendly 5K, 10K, and Kids Fun Run with. Vendor Market! This event was created to honor babies who are deeply loved and forever remembered while raising funds to support families experiencing pregnancy and infant loss.

Hosted by Hope Mommies, this meaningful community event brings together bereaved families, friends, runners, local businesses, churches, and supporters for a morning filled with remembrance, connection, and hope. Whether you run, walk, volunteer, sponsor, or simply join us at the finish line, you are helping ensure that grieving families feel seen, supported, and surrounded by a community that remembers alongside them.

The event will include professionally timed races, a Kids Fun Run, memorial opportunities, local vendors, family activities, food, and more. Participants of all ages and abilities are welcome.

Funds raised through Miles for Hope help Hope Mommies provide Hope Boxes, support groups, retreats, resources, and ongoing care for families walking through pregnancy and infant loss.

MILES FOR HOPE MARKET VENDOR TERMS AND CONDITIONS

By submitting an application to participate as a market vendor at Miles for Hope, the applicant acknowledges and agrees to the following terms and conditions:

Application and Acceptance:
Submitting an application does not guarantee acceptance. Hope Mommies reserves the right to approve or decline applications based on available space, product offerings, event suitability, and the overall needs of the market. Vendors may not transfer, sell, or share an accepted booth space without prior written approval.

Booth Fees and Cancellation:
Any required vendor fee must be paid by the stated deadline to secure booth space. Vendor fees are nonrefundable if the vendor cancels or fails to attend. If Miles for Hope is canceled by Hope Mommies and not rescheduled, paid vendor fees will be refunded. Fees may not be refunded when cancellation results from severe weather, government restrictions, emergencies, or other circumstances outside the organizer’s reasonable control.

Booth Space and Equipment:
Vendors are responsible for furnishing their 10x10 space: providing their own tent, tables, chairs, displays, signage, weights, and other necessary equipment unless otherwise stated. Booth displays must remain within the assigned space and may not block walkways, neighboring booths, emergency access areas, or event activities.

All tents and canopies must be properly secured with appropriate weights on each leg. Stakes may only be used when expressly permitted by the venue. Hope Mommies may require the removal or correction of any setup considered unsafe.

Setup and Teardown:
Vendors must arrive, set up, and be ready for customers by 8:15 AM. Vehicles must be removed from the market area by 8:00 AM. Early teardown is not permitted unless authorized by event staff or required for safety reasons. Vendors are responsible for leaving their booth space clean and removing all merchandise, equipment, trash, and debris.

Products and Services:
Vendors may only sell or promote the products and services described in their approved application. Hope Mommies reserves the right to prohibit or require the removal of products, displays, signage, or materials that are unsafe, unlawful, misleading, offensive, inappropriate for a family-friendly event, or inconsistent with the mission and values of Hope Mommies.

Licenses, Permits, Taxes, and Insurance:
Each vendor is responsible for obtaining and maintaining all licenses, permits, seller’s permits, health permits, insurance, and other approvals required for their business or products. Vendors are solely responsible for collecting and reporting applicable sales tax.

Sales and Payments:
Vendors are responsible for their own sales transactions, payment processing, cash, equipment, inventory, and customer service. Hope Mommies does not guarantee attendance, sales, revenue, or any particular level of customer traffic.

Electricity and Utilities:
Electricity, water, Wi-Fi, and other utilities are not guaranteed unless expressly confirmed in writing. Vendors approved to use electrical equipment must provide safe, outdoor-rated cords and follow all instructions from event staff and the venue.

Conduct:
Vendors and their representatives must behave professionally and respectfully toward attendees, volunteers, other vendors, venue personnel, and event staff. Harassment, discrimination, threatening behavior, excessive noise, unsafe practices, unauthorized solicitation, or disruption of the event may result in immediate removal without a refund.

Safety and Supervision:
Vendors are responsible for the safety and supervision of their booth, merchandise, equipment, employees, volunteers, and guests. Children accompanying a vendor must remain supervised and may not interfere with event operations.

Weather and Event Changes:
Miles for Hope is expected to take place rain or shine unless conditions make it unsafe or impractical to proceed. Hope Mommies reserves the right to modify the event hours, layout, vendor placement, schedule, activities, or other details due to weather, safety concerns, venue requirements, governmental directives, or circumstances outside its control.

Liability and Personal Property:
Vendors participate at their own risk and are responsible for their own property and operations. Hope Mommies, its representatives, volunteers, sponsors, partners, and the event venue are not responsible for lost, stolen, or damaged property or for injuries, losses, claims, or damages arising from a vendor’s participation, except where liability cannot legally be excluded.

Each vendor accepts responsibility for claims, injuries, damages, or losses caused by the vendor’s products, services, equipment, activities, negligence, or failure to comply with applicable laws or these terms.

Photography and Promotion:
Vendors understand that photography and video recording may occur during the event. Vendors grant Hope Mommies permission to use photographs or recordings of their booth, displays, products, and representatives for event documentation and promotional purposes without additional compensation.

Compliance:
Vendors must follow these terms, venue rules, applicable laws, and all reasonable instructions provided by Hope Mommies or event personnel. Failure to comply may result in the vendor’s removal from the event without a refund and may affect eligibility for future events.

By submitting an application, the vendor confirms that they have read, understood, and agreed to these Terms and Conditions.
