This is an electronic agreement, and by selecting your booth, you are validating and approving this agreement electronically.

 

Category A: Food Trucks or Vendors Preparing & Selling Food at the Event – $200 per space.


Category B: Carts/Booths Selling Pre-Packaged or Already Prepared Food Products at the Event – $150 per space.

 

In addition to this Application Form, you must submit the required paperwork and fees to the Union County Health Department and/or the City of Plainfield. 

 

If required, food vendors must have a fire extinguisher on site and comply with all fire and health inspector codes.

 

A special permit from the Plainfield Fire Department may be required if you are using propane, charcoal, gasoline, an open flame, fryer, or gas generator.

 

If you use an Ansul Fire Suppression System, you must provide up-to-date maintenance and inspection certificates.

 

A Certificate of Liability Insurance (COI) is required when serving any type of food, including prepackaged items. See the names of all parties that must be included on your COI below.

 

The COI must be received by Downtown Plainfield by September 28, 2026.

 

Required parties to be listed as additionally insured on COI:
City of Plainfield, Downtown Plainfield, and INK Creative Strategies.

We are now accepting applications from artists, crafters, makers, specialty vendors, food vendors, and food trucks interested in joining one of Central Jersey’s premier arts and jazz events. Showcase your products, creations, or cuisine to festivalgoers from across the region while being part of an exciting day of live music, culture, and community. Vendor Agreement – Downtown Plainfield 5K Jingle Dash & Holiday Festival

 

All exhibitors must be set up and ready to sell by 12:00 PM on the day of the Jazz Festival. Exhibitors may begin setting up at 10:00 AM. Breakdown can begin no earlier than 6:00 PM and must be completed by 7:00 PM. No vendor may close before the official closing time.

 

Vendors are responsible for keeping their selling space clean and free of trash.

 

Booths must be staffed at all times and remain intact until closing. Downtown Plainfield is not responsible for merchandise or display materials.

 

Each exhibitor is fully responsible for any loss or damage to their property by theft, fire, or casualty. Downtown Plainfield expressly disclaims any responsibility for such losses. 

 

Exhibitors are responsible for any damage to facilities resulting from or connected to their operations.

 

Each exhibitor is responsible for the conduct of their employees and representatives, and all activities must maintain the positive image and integrity of the event.

 

Exhibitor spaces will be assigned based on placement, flow, and variety to ensure the best experience for attendees. If you have special space needs, please include your request with your application and we will make every effort to accommodate you.

 

Spaces are reserved on a first-come, first-served basis. Vendors must ensure that none of their display equipment extends beyond the space they have booked; this includes any rails, stands, or additional equipment.

 

Only one business is permitted per space; space may not be sublet or shared without prior approval from Downtown Plainfield administration. Downtown Plainfield reserves the right to decline any application for space if it deems such action to be in the best interest of the market.

 

The full payment is a non-refundable registration fee for the selected space and is due with the submission of this agreement. Music will be provided throughout the event.

 

Each exhibitor must furnish their own chairs, tables, stands, tents, or canopies. Electricity is not provided; vendors may bring their own generator or portable power source.

 

Application fees are not refundable. Downtown Plainfield is not liable if weather or other conditions prevent the exhibitor from attending and fulfilling their contractual obligation.

 

No refunds will be made for weather, accident, health, or other causes for non-participation.

 

Exhibitors agree to indemnify and hold harmless Downtown Plainfield, the City of Plainfield and the Central Jersey Jazz Festival from and against any loss, expense, claims, damages, causes of action, injuries, or suits to person or property, including attorney’s fees, arising out of or related to their participation in the 2026 Central Jersey Jazz Festival.

Prices

Food Trucks up to 24 feet long $250.00 Non-refundable Single booth space is 10 feet wide and 10 feet deep.
