Come be part of Movie Night Under the West Texas Sky! 🌙

 

West Texas Social Club is bringing the community together for a FREE evening at Heart of the City Plaza on Saturday, September 26 featuring local shopping, food + drinks, live music from JR McNutt, activities with the Howard County VFD, and an outdoor movie beginning at 8 PM!

 

Market vendors will be open beginning at 5 PM and are welcome to remain open through the movie. This means vendors must be set up and ready to sell by 5pm. The entry/ exits will be blocked by fire trucks at 5pm. No exceptions. 

 

We’re looking for a fun mix of local businesses including handmade goods, boutiques, artists, bakers and packaged foods, vintage, home goods, plants, jewelry, accessories and other unique local products.

 

Vendor spaces are FREE for this event. Because space is limited, applications will be curated to provide variety and a great experience for both vendors and attendees. Submission of an application does not guarantee acceptance. Morgan with West Texas Social Club will contact you with approval and further information. 

About the event

Our movie night is free to the community. We’ll have food and drink vendors and entertainment including live music from JR McNutt.

Terms & Conditions

Vendor Terms & Conditions


By submitting an application and participating in Movie Night Under the West Texas Sky, vendors agree to the following:

1. Acceptance & Participation

Vendor spaces are limited and curated by West Texas Social Club. Submission of an application does not guarantee acceptance. Vendor participation may be declined or revoked at the organizer’s discretion when necessary for event operations, safety, or compliance with event requirements.


2. Setup & Hours

Vendors must be fully set up and ready for guests by 5:00 PM on Saturday, September 26. Specific setup instructions and arrival times will be provided to accepted vendors before the event.


Vendors should remain set up until at least 8:00 PM, unless otherwise approved. Vendors may remain open during the movie.


3. Vendor Equipment

Vendors are responsible for providing their own tent/canopy, tables, chairs, lighting, extension cords and other equipment necessary to operate their booth. All tents/canopies must be properly weighted and secured.

Electricity is limited and must be requested in advance.


4. Products & Booths

Vendors may only sell products or services disclosed in their application unless prior approval is received. This helps maintain an intentional variety of vendors and prevents unexpected product overlap.

Booths must remain clean, safe and contained within the vendor’s assigned space.

 

5. Permits, Taxes & Compliance

Vendors are responsible for obtaining and maintaining any licenses, permits, insurance or certifications required for their individual business or products, as well as collecting and reporting any applicable sales taxes.

 

6. Food Products

Vendors selling food, beverages, baked goods or other consumable products are responsible for complying with all applicable health department, cottage food, permitting, labeling and food-safety requirements.


7. Weather & Cancellation

This is an outdoor event and is subject to West Texas weather. ? Event plans may be delayed, modified, relocated, postponed or canceled if weather or other circumstances make the event unsafe or impractical.


West Texas Social Club is not responsible for vendor expenses, lost sales, travel costs or other losses resulting from weather, cancellation or changes to the event.


8. Property & Liability

Vendors are responsible for their own merchandise, equipment and personal property. West Texas Social Club, the venue/property owner, event sponsors and participating organizations are not responsible for lost, stolen or damaged property.


Vendors participate at their own risk and are responsible for injuries, damages or claims arising from their booth, equipment, products or operations, to the extent permitted by law.

 

9. Conduct

This is a community event. Vendors are expected to interact respectfully with guests, other vendors, volunteers and event staff. Unsafe, disruptive, threatening or seriously inappropriate behavior may result in removal from the event.


10. Cleanup

Vendors are responsible for removing all merchandise, equipment and trash associated with their booth and leaving their space clean at the end of the event.


11. Photography & Promotion

By participating, vendors acknowledge that photography and video will be taken throughout the event and may be used by West Texas Social Club for social media, promotional materials and future event marketing.


12. Agreement

By submitting this application, I confirm that I have read and agree to these Vendor Terms & Conditions and understand that I am responsible for complying with requirements applicable to my business.
