Vendor Terms & Conditions
By submitting this application, you acknowledge that you have read, understood, and agree to the following Vendor Terms & Conditions.
1. Application & Acceptance
Submitting an application does not guarantee acceptance into the event. The Local Habit reserves the right to approve or decline any application at its sole discretion in order to maintain a balanced vendor mix and create the best possible experience for attendees.
2. Vendor Fees & Payment
Vendor applications are paid immediately upon approval.
If payment is not received, The Local Habit will send one payment reminder. Vendors will then have 24 hours to submit payment. If payment is not received within that timeframe, the vendor's space will be forfeited and may be offered to another applicant without further notice.
3. No Refunds, Transfers & Credits
All vendor fees are non-refundable, non-transferable, and may not be applied to another event under any circumstances, including but not limited to weather, illness, scheduling conflicts, emergencies, low attendance, or removal from the event for failure to comply with these Terms & Conditions.
4. Arrival & Check-In
Vendors must arrive within the designated arrival and setup window communicated in the Vendor Load-In Email and any official event communications, including the vendor group chat.
To ensure a safe and efficient setup for all participants, vendors who arrive after the designated arrival window has closed will not be permitted to set up or participate in the event. Please plan accordingly and allow extra travel time for traffic or unforeseen delays.
5. Booth Requirements
Booth spaces are limited to 10' x 10' unless otherwise approved by The Local Habit.
All tents must be secured with a minimum of 10 pounds of weight per leg at all times.
Vendors are responsible for providing all equipment needed for their booth, including tents, tables, chairs, displays, extension cords, and any other setup materials.
Booths must remain within their assigned space and may not obstruct neighboring vendors or walkways.
6. Parking
Vendors must follow all parking, unloading, and traffic instructions provided by The Local Habit team. Vehicles must be moved to designated parking areas after unloading and may not remain behind booths or in unauthorized
locations during the event.
7. Vendor Engagement & Conduct
The Local Habit is intentionally creating a place where people know one another, support one another, and genuinely enjoy spending time together. The vendors selected for this event are more than businesses—they are an important part of creating that experience.
Vendors are expected to be present, approachable, and engaged throughout the event. Whenever possible, stand to greet guests, smile, start conversations, answer questions, and create a welcoming atmosphere around your booth. While we understand there may be moments when you need to step away or take a short break, vendors should actively participate rather than remain seated or disengaged for the duration of the event.
Because this is a weekly community event series, many Saturdays will feature themed experiences, activities, and special activations. Vendors are expected to participate whenever appropriate by decorating their booth, joining community activities, engaging with themed experiences, participating in event-wide initiatives, and helping create an exciting and welcoming environment.
We do not view our vendors as simply service providers or people renting booth space. We view them as members of the community we're building together. The relationships you build here are just as important as the products or services you sell.
All vendors are expected to treat guests, fellow vendors, volunteers, YMCA staff, and The Local Habit team with professionalism, kindness, and respect at all times. Harassment, discrimination, aggressive behavior, offensive language, intoxication, illegal activity, or any conduct that negatively impacts the event or its attendees will not be tolerated.
The expectations outlined in this section are an essential part of participating in The Local Habit Community Event Series. Vendors who fail to remain engaged, consistently choose not to participate in required themed activities or event-wide initiatives, or otherwise fail to uphold the culture, atmosphere, and expectations of the event may be asked to leave the event and may become ineligible to participate in future Local Habit events. These decisions will be made at the sole discretion of The Local Habit and are not grounds for a refund, credit, or transfer.
8. Respecting Our Shared Space
Each vendor is responsible for keeping their booth clean throughout the event and removing all trash, boxes, packaging, inventory, and other waste before leaving. Please leave your space as clean as you found it.
9. Health & Safety
Vendors agree to operate their booths safely and in accordance with all applicable local, state, and federal regulations.
Keep your booth clean, organized, and free of tripping hazards.
Walkways and emergency access routes must remain clear at all times.
All tents must remain properly weighted throughout the event.
Food vendors must comply with all applicable health and food safety regulations.
Report any accidents, injuries, or safety concerns to The Local Habit team immediately.
10. Food Vendor Requirements
Food vendors are solely responsible for obtaining and maintaining all licenses, permits, inspections, certifications, insurance, and health department approvals required by the State of Florida and any applicable local agencies.
11. Marketing & Event Promotion
The success of this event is a shared responsibility. The Local Habit invests significant time and resources into marketing, partnerships, community outreach, signage, advertising, and event promotion. We expect every participating vendor to actively promote both their business and the event.
By participating, vendors agree to:
Create a minimum of three (3) social media posts promoting the event prior to the event date.
Promote their participation through additional methods beyond social media whenever possible, including email, text messages, flyers, newsletters, customer conversations, word-of-mouth, and other marketing efforts.
Tag and collaborate with The Local Habit on social media whenever applicable.
Invite their existing customers, family, friends, supporters, and network to attend.
Businesses that consistently market themselves and the event help create stronger attendance and a better experience for everyone involved.
12. Attendance, Sales & Foot Traffic
The Local Habit does not guarantee attendance, foot traffic, leads, or sales for any event.
Most of our events are not ticketed, making it impossible to accurately estimate attendance beforehand. Attendance is influenced by many factors, including weather, competing events, holidays, vendor participation, community engagement, and the collective marketing efforts of everyone involved.
While The Local Habit actively promotes every event, vendors are expected to take ownership of promoting their own participation and encouraging their customers and supporters to attend.
Please understand that every business serves a different audience. One vendor may have a line throughout the event while another may experience slower traffic. This does not mean the event was unsuccessful, nor does it mean those customers were necessarily your target audience.
Success at events often comes down to preparation, customer engagement, merchandising, pricing, product selection, marketing, consistency, and the effort invested by each individual business.
Vendors are encouraged to create engaging experiences by offering demonstrations, event-only specials, bundled pricing, giveaways, samples (when permitted), or other creative promotions. Depending on the event, participation in themed promotions, collaborative activities, or event-wide activations may be required.
13. Photography & Media Release
By participating, vendors grant The Local Habit permission to photograph and record their booth, products, branding, employees, and event participation for promotional, educational, website, print, and social media purposes without additional compensation.
14. Weather Policy
Events are held rain or shine unless otherwise announced by The Local Habit.
Vendors are responsible for preparing their booths for changing weather conditions, including rain, wind, heat, and other environmental conditions.
15. Assumption of Risk & Liability
Vendors participate at their own risk and assume full responsibility for their property, equipment, inventory, employees, representatives, and guests associated with their business during the event.
The Local Habit Community Initiative, the Leonard & Marjorie Williams Family YMCA, the property owner, sponsors, volunteers, event partners, and affiliates shall not be held responsible for lost, stolen, or damaged property, personal injury, business interruption, or any other loss incurred as a result of participating in the event, except where required by applicable law.
16. Right to Refuse or Remove
The Local Habit reserves the right to refuse any application or remove any vendor from the event, with or without notice, if the vendor:
Violates these Vendor Terms & Conditions or event policies.
Creates an unsafe environment.
Acts in a disruptive, dishonest, or unprofessional manner.
Misrepresents products or services.
Fails to follow directions from event staff.
Engages in conduct inconsistent with the values, mission, culture, or atmosphere of the event.
Removal from the event does not entitle the vendor to a refund, transfer, or credit.
17. Agreement
By submitting this application, you certify that all information provided is accurate and complete and that you have read, understood, and agree to abide by these Vendor Terms & Conditions, as well as any additional event instructions communicated by The Local Habit before or during the event.

The Local Habit is providing the opportunity for my business to set up, showcase, and sell my products/services within the marketplace. I understand that The Local Habit does NOT guarantee sales, profits, customers, or foot traffic. It is my responsibility to market and promote my own business before and during the market. Each business participating is responsible for creating awareness of their presence, engaging with customers, and promoting their own products or services. I understand that The Local Habit provides the market space, overall marketplace marketing, and community exposure throughout Orlando and surrounding areas; however, this is not a guaranteed sales opportunity where vendors should rely solely on The Local Habit, its organizers, or partners to provide customers, sales, or individual business promotion.
- I understand that late arrivals will NOT be permitted to set up and that booth sharing is NOT permitted unless previously approved by The Local Habit team. I understand that misconduct, unsafe behavior, disrespect, or disruptive conduct may result in removal from the market and possible trespassing from the property. I understand there are NO refunds, transfers, credits, or exchanges under any circumstances. I understand payment is due within 48 hours of approval or my spot may be released to another vendor. I understand that The Local Habit is a community-driven market and vendors are expected to be friendly, communicative, respectful, and contribute positively to the atmosphere of the market. I also acknowledge that this application is for consideration only and submission does not guarantee acceptance into the market.

- I understand that all tent vendors must have a 10x10 tent or smaller and MUST have proper tent weights attached at all times (40 lb minimum required). I understand that all food vendors must comply with all State of Florida permits, licenses, and health requirements. I understand that NO open flames, drugs, alcohol, or smoking are permitted at the market. I understand that I am responsible for following all vendor guidelines and requirements to participate in The Local Habit marketplace. By checking this box, I confirm that I have read, understand, and agree to follow all vendor rules and requirements.
