About the application

Welcome to the official OUTDOOR Vendor/Artist application for CBF Isekai Anime Convention in Macon, Georgia! We are thrilled to invite creators, makers, and visionaries to showcase their talents at our upcoming convention taking place on March 13-14, 2027.

Outdoor booths DO NOT include tables and chairs so please bring your own. CBF Isekai Anime Convention is a rain-or-shine event. Please read the terms and conditions for information regarding our weather policy and overnight security.

Our Theme & Vision 🌸

To ensure an immersive and high-quality experience for our attendees, we are prioritizing artists whose work aligns with our core themes. We are actively seeking art, crafts, and merchandise that celebrate:

  • Cherry Blossoms & Traditional Japanese Culture
  • Anime, Manga, & Isekai Adventures
  • Esports, Gaming, & Cyber Culture

The Selection Process: Jury & Staggered Acceptance

  • To maintain a diverse, vibrant, and high-quality marketplace, CBF Isekai utilizes a jury system for all Vendor applications. Applications will not be accepted on a first-come, first-served basis; instead, our panel will review portfolios based on quality, uniqueness, and adherence to our con themes.
  • We will be releasing acceptances on a staggered basis to give artists ample time to prepare. Review and notification waves will roll out at the end of the following months:
    • Wave 1 Acceptances: September 2026
    • Wave 2 Acceptances: November 2026
    • Final Wave Acceptances: January 2027

Hard Deadline: The absolute final day to submit your application is January 11th, 2027. No late applications will be reviewed by the jury under any circumstances.

We can't wait to see your incredible work and welcome you to our convention!

Terms & Conditions

Please read these Terms and Conditions carefully before submitting your application. By submitting an application and/or purchasing a space, you (the "Exhibitor") agree to comply with and be bound by the following rules and regulations set forth by CBF Isekai (the "Convention").

Weather Policy (No Refunds / No Relocation)

  • CBF Isekai is a rain-or-shine event. In the event of inclement weather (including rain, high winds, storms, or extreme heat), the convention will not provide indoor relocation, alternative spacing, or financial refunds. Outdoor vendors assume all risks associated with the weather.
  • No Equipment Provided: Unlike our indoor spaces, tables and chairs are NOT provided for outdoor booths. Outdoor vendors are entirely responsible for bringing their own 10x10 pop-up tents, tables, chairs, and display setups, hence the cheaper vendor fee.
  • Tent Safety Requirements: To ensure the safety of all attendees and staff, all outdoor tents must be securely weighted down (sandbags, water weights, or weights attached to the tent legs). Stakes are not permitted. Tents without proper weights will be required to be taken down.

Over Night Security

Because CBF Isekai is a two-day event, outdoor vendors must plan ahead for the transition between Day 1 and Day 2. Please review our overnight policies below:

  • No Overnight Security: There will be NO security personnel stationed in the outdoor vendor area after convention hours on Saturday night. CBF Isekai, the convention staff, and the venue are not responsible for any lost, stolen, damaged, or vandalized items left outside overnight.
  • Merchandise Removal: Outdoor vendors are strongly advised to pack up and remove all valuable merchandise, electronics, and valuables from their booths at the end of Day 1. Leaving inventory unattended in an outdoor space overnight is done entirely at your own risk.
  1. Application, Jury, and Selection Process Jury Selection: All spaces (Artist Alley and Vendor) are awarded via a jury system based on portfolio quality, uniqueness, and relevance to the convention’s themes (Cherry Blossoms, Japanese Culture, Anime, and Esports). The Convention reserves the right to accept or deny any applicant at its sole discretion.
  • Staggered Notifications: Acceptances will be issued in waves (September 2026, November 2026, and January 2027).
  • Deadline: The final deadline to apply is January 11th, 2027

How Payment Works (Risk-Free Application)

Because we use a jury system to curate our Artist Alley and Vendor spaces, we use Eventeny's secure upfront billing.

  • When you submit: Eventeny will securely process your payment for your selected booth/table space immediately upon submission.
  • If you are APPROVED: Your space is officially locked in, and no further action is needed!
  • If you are DENIED: You will receive a refund immediately following our jury's decision.

2. Space Allocation and Badges

  • Subletting & Sharing: Exhibitors may not sublet, resell, or transfer their assigned space to another party. Table sharing is strictly prohibited unless explicitly approved in writing by the Convention prior to the event.
  • Badges: Each booth/table purchase comes with two Exhibitor badges. Additional badges must be purchased separately. Badges must be worn at all times during setup, breakdown, and convention hours.

3. Merchandise, Copyright, and Theme Compliance

  • Bootleg & Counterfeit Goods: The sale of bootleg, counterfeit, or unlicensed merchandise (such as fan-subbed DVDs, pirated software, traced art, or unauthorized reproductions of official merchandise) is strictly prohibited. Violation of this rule will result in immediate eviction from the convention without a refund.
  • A Note on AI Art: CBF Isekai is dedicated to celebrating the hard work, unique skills, and original creativity of human artists. To support the community and maintain the integrity of our Artist Alley, AI-generated art, assets, or merchandise are strictly prohibited from being showcased or sold as your own artwork. All portfolios submitted will be thoroughly vetted by our jury.
  • Theme Preference: Exhibitors displaying merchandise that aligns with the convention themes (Cherry Blossoms, Japanese Culture, Anime, Esports) must maintain the quality presented in their application portfolio.
  •  Adult Material (18+): Any mature or adult-oriented material must be kept behind a binder, under the table, or otherwise obscured from the view of minors.

4. Displays, Safety, and Fire Codes

  • Display Dimensions: Displays must not exceed the footprint of the assigned space or block the view of neighboring booths.
  • Structural Safety: All display structures must be stable and secure. Tall backdrops or structures must be securely anchored and may not exceed 10 feet in height.
  • Aisle Rules: Exhibitors, chairs, and merchandise must remain within the boundaries of the allotted space and may not encroach into the aisles or walkways.
  • Fire Hazards: No open flames, candles, incense, or unapproved electrical modifications are allowed. All electrical cords must be taped down safely if electrical access is used.

5. Conduct and Noise Levels

  • Professionalism: Exhibitors are expected to conduct themselves in a professional, courteous manner toward attendees, staff, and fellow artists/vendors.
  • Audio Devices: Music, videos, or gaming displays must be kept at a reasonable volume that does not disrupt neighboring booths. The Convention reserves the right to request any audio to be turned down or shut off.

6. Cancellation and Refund Policy

  •  All cancellations must be requested in writing.
  •  Full or partial refunds may be issued up to January 11th, 2027.
  •  No refunds will be issued for cancellations made after January 11th, 2027, or for "no-shows" on the day of the event.

7. Liability, Theft, and Security

  • Assumption of Risk: The Exhibitor assumes all financial and physical risk associated with participating in CBF Isekai. The Convention, its staff, and the venue are not responsible for any loss, theft, damage, or injury to the Exhibitor’s property or person.
  • Security: While general overnight security will be provided for the exhibition hall, Exhibitors are highly encouraged to secure or remove high-value items at the close of each day.
  • Taxes and Licenses: Exhibitors are solely responsible for collecting and reporting any applicable local, state (Georgia), and federal sales taxes generated during the event.

By submitting your application, you acknowledge that you have read, understood, and agree to abide by all the Terms and Conditions outlined above. Failure to comply may result in the forfeiture of your space without a refund and restriction from future CBF Isekai events.
