HallowTEEZ: The Grand Line Market – Vendor Information

🏴‍☠️ Welcome aboard, vendors!

Join us for HallowTEEZ: The Grand Line Market, an outdoor Halloween celebration inspired by ATEEZ and the spirit of adventure on the Grand Line with the Strawhat crew from One Piece! This all-ages community event will feature local artists, small businesses, food, performances, activities, cosplay, and more.

Vendor Fee

Standard Vendor Fee: $80
Returning Vendor Discount: $5 off (select this option only if you have vended with Triadkpop before )

Vendor Space

Each accepted vendor will receive one 10’ x 10’ outdoor space in the event parking lot.

Vendors are responsible for bringing their own:

• 10’ x 10’ canopy tent
• Tent weights (required for safety)
• Tables
• Chairs
• Displays and any additional setup materials

This is an outdoor event held in a parking lot. Please come prepared for changing weather conditions, including sun, wind, or light rain. Properly weighted tents are mandatory, and vendors without adequate weights may be asked to remove their tent for safety reasons.

We encourage vendors to embrace the event theme with pirate, Halloween, One Piece, anime, ATEEZ and K-pop-inspired displays and attire—but it is not required.

HallowTEEZ: The Grand Line Market – Vendor Terms & Conditions

By submitting an application, you acknowledge that you have read and agree to the following terms and conditions.

Application & Acceptance

• Submission of an application does not guarantee acceptance into the event.
• Vendors are selected based on product variety, overall event balance, and available space.
• Triadkpop reserves the right to decline any application that is not a good fit for the event.
• Duplicate or overly similar vendors may be limited to provide attendees with a diverse shopping experience.

Vendor Fee

• The vendor fee is $80 per 10’ x 10’  outdoor space.
• Returning Triadkpop vendors will receive a $5 discount.
• Vendor fees are non-refundable unless the event is canceled by the organizer.

Vendor Space & Setup

• Each vendor will receive one designated 10’ x 10’ outdoor space.
• Vendors must provide their own:
  • 10’ x 10’ canopy tent
  • Tables
  • Chairs
  • Tent weights (required)
  • Display materials

• This event takes place outdoors in a parking lot. Vendors are responsible for preparing for weather conditions including heat, sun, wind, and light rain.
• All tents must be properly weighted. Stakes are not permitted due to the paved surface. Vendors without adequate tent weights may be required to remove their tent for safety.
  Vendors must remain within their assigned space and keep aisles clear.
  Setup & Breakdown
• Vendors must arrive during the designated setup window provided prior to the event.
• All vehicles must be moved before the event opens to attendees.
• Vendors are expected to remain set up until the official end of the event unless given permission by the organizer.

Sales Tax

• Vendors are responsible for collecting and remitting all applicable North Carolina sales tax. 
• The current sales tax rate for this event is 7% (Forsyth County).
• Vendors must comply with all federal, state, and local tax laws.  

Products

• Vendors may only sell items approved in their application.
• We ask that you have at least some inventory that is ATEEZ related, it doesn't have to be all or majority but since this event is to celebrate ATEEZ you must have something related or inspired.
• Any significant changes to inventory should be approved by the event organizer before the event.
• The sale of illegal, counterfeit, offensive, or prohibited items is not permitted.
• Vendors are responsible for complying with all applicable federal, state, and local laws regarding the sale of their products.

AI-Generated Artwork Policy

• HallowTEEZ: The Grand Line Market is committed to supporting independent artists and creators.
• Vendors selling artwork, prints, stickers, keychains, apparel, or other merchandise featuring original artwork may not sell products that are primarily created using AI-generated images or artwork. ALL artwork should be the result of the vendor’s own artistic skill and creative process.

• Failure to comply with this policy may result in the removal of the unapproved products or removal from the event without a refund.

   

• If you have any questions about whether your products meet this policy, please contact the organizer before the event.

Conduct

• Vendors are expected to maintain a welcoming, respectful, and inclusive environment for all attendees.
• Discrimination, harassment, threatening behavior, or inappropriate conduct toward attendees, volunteers, staff, or other vendors will not be tolerated and may result in immediate removal without refund.
• Vendors are responsible for the conduct of anyone assisting at their booth.

Clean-Up

• Vendors are responsible for keeping their space clean throughout the event.
• All trash, boxes, zip ties, tape, and merchandise must be removed at the end of the event.
• Do not leave unwanted items or trash behind.

Liability

• Vendors participate at their own risk.
• HallowTEEZ: The Grand Line Market, Triad K-Pop, Kingdom K-Pop, event staff, volunteers, venue partners, and affiliates are not responsible for lost, stolen, or damaged merchandise, equipment, vehicles, personal belongings, or injuries occurring before, during, or after the event.
• Vendors are encouraged to carry their own business liability insurance.

Weather Policy

• This is a rain-or-shine outdoor event.
• The event will proceed in light rain or typical seasonal weather.
• In the event of severe weather or conditions deemed unsafe, the organizer reserves the right to delay, modify, or cancel the event.
• Refunds due to weather-related cancellations will be determined at the organizer’s discretion based on expenses already incurred.

Photography & Media

• Photos and videos will be taken throughout the event.
• By participating, vendors grant permission for HallowTEEZ and Triad K-Pop to use images and video featuring their booth or products for promotional and marketing purposes without additional compensation.

Final Decisions

• The event organizer reserves the right to modify event policies if necessary to ensure the safety and success of the event.
• Failure to follow these terms and conditions may result in removal from the event without refund and may affect eligibility for future Triad K-Pop events.
• Any and all event changes will be communicated accordingly. Updates and communications will be made via email and Instagram group chat so it is your responsibility to check periodically so you never miss any updates, information or changes/adjustments that may arise
