Thank you for your interest in participating as a food vendor at the R-Ranch Fall Festival. We are excited to bring together great food, local businesses, and the community for a memorable fall event in the beautiful North Georgia mountains.

By submitting your food vendor application for the R-Ranch Fall Festival, you acknowledge that you have read, understand, and agree to all Terms & Conditions outlined below. Submission of your application and payment confirms your agreement to follow all event guidelines and requirements.

Food Vendor Registration & Payment
• Food vendor spaces are limited and available on a first-come, first-served basis.
• Your space is not reserved until your application has been approved and payment has been received.
• Food vendor fees are non-refundable once payment has been submitted, except in the event that the festival is canceled by the event organizer.
• Vendor spaces may not be transferred, shared, or subleased without prior approval from Freda Kalina Events.

Permits, Licenses & Requirements
• Food vendors are responsible for obtaining and maintaining all required permits, licenses, inspections, and certifications required by local and state regulations.
• Vendors must comply with all health department requirements and food safety regulations.
• Vendors are responsible for providing any required documentation upon request.
• Vendors must carry their own liability insurance and are responsible for their own operations, employees, and equipment.

Food Vendor Setup & Operations
• Setup instructions, arrival times, parking information, and vendor placement details will be provided prior to the event.
• Vendors must provide their own equipment, tables, tents (if needed), power sources, extension cords, water supply, cooking equipment, and supplies.
• All tents, equipment, and displays must be properly secured and safely operated.
• Vendors must remain open and available to serve guests during the full event hours of 12:00 PM – 4:00 PM unless approved by event management.
• Vendors are responsible for keeping their area clean and removing all trash, grease, and waste at the conclusion of the event.

Food & Beverage Guidelines
• Vendors must provide accurate menu information during the application process.
• Any changes to menu items must be approved by Freda Kalina Events prior to the event.
• Vendors must provide pricing information and clearly display menu items and prices for guests.
• Alcohol sales are not permitted unless specifically approved by event management and all required permits are obtained.

Weather Policy
• The R-Ranch Fall Festival is a rain-or-shine event unless severe weather creates unsafe conditions.
• No refunds will be issued due to weather, vendor cancellation, low attendance, or circumstances outside the control of Freda Kalina Events.

Liability & Responsibility
• Food vendors are responsible for their own equipment, products, employees, sales, and property.
• Freda Kalina Events and R-Ranch are not responsible for loss, theft, damage, injury, or accidents related to vendor participation.
• Food vendors agree to release and hold harmless Freda Kalina Events, R-Ranch, and their representatives from any claims related to participation in the event.

Vendor Conduct
• Food vendors are expected to provide friendly, professional service and maintain a clean, safe, and welcoming environment.
• Event organizers reserve the right to decline or remove vendors whose products, conduct, or operations do not align with the family-friendly atmosphere of the R-Ranch Fall Festival.
