Thank you for your interest in becoming a food or beverage vendor at the Carolina Rockabilly Antique Auto & Motorcycle Show!

To provide the best variety and minimize direct competition, food and beverage vendor spaces are extremely limited. We strive to offer attendees a diverse selection of quality food, desserts, snacks, and beverages.

Applications will be reviewed based on menu offerings, uniqueness, experience, and overall fit for the event. Submission of an application does not guarantee acceptance.

If selected, you'll be joining one of North Carolina's newest Rockabilly events, featuring classic cars, antique motorcycles, live entertainment, family activities, and thousands of expected attendees.

We encourage you to apply early, as spaces are expected to fill quickly.

Food & Beverage Vendor Terms & Conditions:
Thank you for your interest in participating as a food or beverage vendor. Please read the following terms carefully before submitting your application.

Vendor Selection:
Food and beverage spaces are limited.
Submission of an application does not guarantee acceptance.
Vendors are selected based on menu variety, quality, experience, and the overall needs of the event.
The event reserves the right to limit duplicate menu items to provide a diverse selection for attendees.

Licenses & Permits:
Vendors are responsible for obtaining and maintaining all required federal, state, and local licenses, permits, inspections, and health department approvals.

Insurance
Vendors must comply with all Richmond County and North Carolina health regulations.
Food must be stored, prepared, and served in accordance with all applicable food safety laws.
Vendors are responsible for maintaining a clean and sanitary booth throughout the event.

Booth Space:
Vendors must remain within their assigned space.
Additional equipment, trailers, tents, or seating areas must be approved in advance.
Vendors are responsible for providing their own equipment unless otherwise specified.
Vendors are responsible for bringing heavy-duty extension cords and any additional equipment needed for operation.
Water availability will be communicated before the event.

Vendor Setup, Breakdown & Weather:

Vendors must set up during the designated setup period on Friday. Setup hours, assigned spaces, vehicle access, and the deadline for completing setup will be provided before the festival.

Vendors are expected to keep their booths open during Saturday’s published event hours under normal conditions. If a vendor believes approaching or current weather makes it unsafe to remain, they may close, secure their booth, break down, or leave early without prior approval or penalty. 

Vendors are responsible for monitoring the forecast, radar, and weather alerts throughout the event and for deciding when to protect their tents, equipment, and merchandise. When event management becomes aware of approaching hazardous weather, we will make a stage announcement and have staff notify vendors. Weather can change quickly, so vendors should not wait for an announcement before taking action.

If conditions are already dangerous, stop breakdown and move to safe shelter. Follow staff directions for vehicle access; do not drive into vendor or pedestrian areas unless staff says it is safe to do so. 

Vendors are responsible for properly securing their tents, displays and equipment. The organizers, staff and venue are not responsible for weather-related loss or damage to vendor tents, equipment, merchandise, or other property. Vendor insurance is strongly recommended.

Waste Disposal:
Vendors are responsible for keeping their area clean throughout the event.
Grease, oil, wastewater, charcoal, and other cooking waste must be disposed of properly. Dumping on the ground or into storm drains is strictly prohibited.
Vendors must leave their space clean upon departure.

Fire Safety:
Vendors using propane, generators, fryers, grills, or open flames must comply with all local fire regulations.
Fire extinguishers must be readily accessible and in working condition.

Weather:
The event will be held rain or shine. No refunds will be issued due to weather unless the event is canceled by the organizer.

Cancellations:
Vendor fees are non-refundable unless the event is canceled by the organizer.

Conduct:
Vendors are expected to conduct themselves professionally at all times. Event management reserves the right to remove any vendor for unsafe conditions, violation of these terms, illegal activity, or behavior deemed detrimental to the event. No refunds will be issued in these cases.

Vendor Selection, Sales & Feedback:

We review vendor applications with the goal of offering products and services that fit the festival and interest its attendees. Approval to participate does not guarantee customer traffic, a particular number of sales, or any level of revenue or profit. Each vendor is responsible for deciding whether the event is a good fit for their business. Vendor fees will not be refunded solely because sales do not meet a vendor’s expectations.

We welcome honest feedback from vendors, including concerns about their experience. Vendors may share their opinions and experiences. The festival organizers reserve the right to correct materially inaccurate factual claims and to address any potentially defamatory statements through appropriate legal channels.

Liability:
Rally at the Rock, Rockingham Dragway, organizers, event staff, sponsors, volunteers, and affiliated organizations shall not be responsible for loss, theft, damage to equipment, merchandise, vehicles, trailers, or personal property, nor for injuries occurring before, during, or after the event.

Agreement:
By submitting an application and participating in the Rally at the Rock A Carolina Rockabilly Antique Auto & Motorcycle Show, the vendor acknowledges that they have read, understood, and agree to abide by these Terms & Conditions and all rules established by event management.
